PROPOSAL:

MOBILE

APPLICATION FOR

SCIENCE FAIR

EVENT

Overview

The Society for Science & the Public (SSP), the non-profit organization that administers the Intel lInternational Science and Engineering Fair (ISEF), is seeking proposals from qualified Contractors to provide a mobile event application for Intel ISEF.

The IntelISEF is the world’s largest international pre-college science competition. It provides an annual forum for more than 1,600 high school students from over 50 countries, regions, and territories to showcase their independent research. The Intel ISEF has approximately 5,500 registered attendees, plus a public outreach day that brings an additional 5,000 students to the event.

The Mobile Application envisioned for the event is intended to assist attendees in

navigating the event, along with other goals detailed below. This document is a Request for Proposal (RFP) for the solution described below, but does not obligate SSP to accept responses from eligible Contractors.

The RFP establishes minimum requirements a bidder must meet in order to be eligible for consideration as well as information to be included in the Contractor's bid response. Please carefully examine the specifications, conditions and limitations and respond fully to each requested item.

Submission of Proposals

Responses to this RFP are due by Noon EST on February 24, 2012. Late submittals will be rejected.

The selection of the successful Contractor will be made based on SSP’s evaluation and

determination of the relative ability of each Bidder to deliver quality service in a timely, cost-effective manner.

The Selection Criteria below will be evaluated and must be addressed in the proposal. Society for Science & the Public is not obligated to accept the lowest bid and

reserves the right to reject any and all bids or amend the scope of the project. All of the Bidders must be duly licensed or otherwise have the ability to perform work in

accordance with all governing local

authorities and to the satisfaction of those authorities.

Scope

Overview

Goals and objectives

• To assist attendees in navigating the event before, during and after the event. • To minimize event signage expenses where possible.

• To reduce carbon footprint. • To add value for sponsors.

• To provide more year-round exposure for the event. Availability Timeline

• Testing: App must be ready for testing by April 20, 2012.

• Production: The ISEF Event occurs May 13-18, 2012, and the app must be hosted and able to support high-volume usage (10K users) this week.

• Archival: It must stay active until April 2013. App target platforms

• iPhone/iPad, Android, and HTML5 for other mobile platforms and PC

• Standalone app – no other branding or other conferences visible • Custom logo

• Web-based interface for staff, exhibitors and sponsors to post their info • Host-city information (hotels, entertainment, restaurants, transportation) • Ability to update content during the event (exhibitor listings and sessions) • Interactive maps (convention center, exhibit floor, etc.)

• Reports detailing number of downloads by platform and basic analytics • Require parent/guardian consent for those under 18 years of age

Selection Criteria

Bidder is to address the following subjects in the response. Reference any attachments in the text and include printed copies of attachments at back of this document.

1 Company History and Organization

Provide a brief company history, mission statement and organizational summary. Explain ownership (private or public) and include brief biographical information regarding the personnel who would be directly responsible for the management and supervision of this project. Also include:

• Years in business • Number of employees • Location • Markets/industries served • App expertise 2 Management Approach

Describe in detail how your firm will be organized to manage this project. Indicate by position or title the person who will have the overall responsibility for the Society for Science & the Public account. Indicate the support staff available to this project manager by function. Bidder must supply an Organization Chart depicting the structure of the servicing project manager and support.

3 Proposed Solution

Please describe your proposed plan to meet the Scope listed above. Specify your development platform (Sencha Touch, Titanium Appcelerator, or platform-specific), and whether you intend to deliver native applications or an HTML5 solution or both. Specify your testing platform (ie, which specific devices you have available for carrying out testing; any test suite software you intend to use.)

4 Hosting and Maintenance

Please include a description of hosting and maintenance services required. Specify how the web-based components will be delivered, whether they will need to be hosted by us or you will provide the web infrastructure. If you provide hosting, please provide details of the server’s physical location, bandwidth allocation, and proximity to the event location in Pittsburgh, PA.

Indicate features or programs not covered elsewhere in the response which are offered to enhance your firm’s ability to effectively manage this project.

6 References

Provide at least three (3) client references and example apps whose events are comparable in size, profile to the Intel International Science and Engineering Fair. Include company name, address, contact person, and contact number.
