The Vision Destination Management – Online Booking System Quick Guide

Our B2B system is valid only for Tour Operators. A dedicated password, ID, will be assigned by The Vision DMC to access the Online Booking System.

Login to the system:

Once you have been provided access credentials, you have to key in that information in the Login Box.

Making a booking

From the main menu, you may book a specific product by selecting one of the following links:

 Book Hotels

 Book Services (Arrival, Departure, Tours/Excursions etc.)

 Find Bookings (allows you to find past and future dated bookings)

 Manage your Account (you can create an ID/passwords for your staff, if you have been given a Supervisory mode log-in by The Vison DMC)

 View Hotel Tariff – rates for all seasonality and room types.

Book Hotels Search Criteria:

How to Book?

City – you need to enter either the city , for example DXB for Dubai International or the city name like : Dubai

Check-in Date – travel date Nights – total number of nights

Country of Residence – optional, this is referring to the client nationality

Rooms – define the number of rooms you want to book and the number of Adults and Children in the room

Example: 2 Adults + 2 Children

Hotel Names – you have 2 options:

1 – you can make a blank search, without inserting any information, this will show you all the available hotels in the city

2 – you can enter the specific an official (exact) hotel name

Click Search – once you filled in all search criteria click on search to get the results.

Zone – optional, this option allows you to filter hotels by location/ zone, such as BEACH AREA or NON-BEACH AREA

Choose the room type you would like to book:

Step 1:

Tick the room type you want to book | Status – OK means confirmed, RQ – on request. STOP SALE – not available

By clicking the price in green color, you can see the price breakdown including: supplements and discounts/promotions applied to the selected room type/s.

If you wish to book, click:

Step 2:

Input Passengers details | This page shows you as well important Information such as: Terms & Condition | Cancellation Policy | Discounts & Supplements

Once you have filled in all the necessary details click on the following:

Options:

Save As Quote – if you would like to book / save as quote and later change the status – for quotation purposes only, the system will not check the real availability of the rooms – it will just show the price in quote status.

Save As Booking – the system will check real time availability of the hotels, if the room is available – the status will be: Confirmed. If the room is not available, – RQ (Request) Status or Stop Sale will appear.

RQ: meaning you may still request by e mail to the Vision. Stop Sale: meaning the Hotel is sold out.

Booking Summary:

This shows you the details of the booking and the options to Add Hotel Element & Add Service Element To add Service Elements (services such as Transfers, Excursions & Other Services) proceed as follow, same procedure as the hotel booking :

Book Services:

To book a transfer you need a From & To location:

Example:

From: Airport = DXB (Pickup location) To: Hotel = Atlantis (Drop off location) Service: One Way or Return

Type: Private or Shared

Service Date with arrival or departure time Nr. of Adults & Children

Click Search button

Click on the selected Transfer

Select the vehicle type and insert the nr. of passengers:

Airline: can be selected from the list of airlines

Flight Nr.: insert the flight number.

Terminal details: optional

Submit – this will save the

booking.

City/Destination – Place where the excursion tales place.

Pick Up – either from the Hotel or within a city meeting point.

Location – name of the location for example the hotel name.

Excursions Type – Private or on Shared basis Excursion Date – select the date for the service No of Passengers – Nr. of Adults & Children Service Name – Optional

Service Type – example: Sightseeing Tour or you may select ALL Click Search to get the results.

Click on the selected Excursion or Tour

Select the Excursion and click submit.

All elements you have booked will show in the Booking Summary.

6 | Online Booking Quick Guide FIND BOOKINGS:

You can retrieve your bookings using the following criteria:

- Reference Nr.

- Agent Reference Nr.

- Client (Party) Name - Booking Dates - Arrival Date - Departure Date

- By the name of the Consultant that made the booking

*** Only with a Supervisor ID (given to the main contact person) you can retrieve bookings made by consultants and bookings made from the back office. A consultant ( ID can be given to a consultant / colleague by the MAIN contact person) can see only his own bookings.

*** With a Supervisor ID you can access bookings and modify all elements of the bookings.

MANAGE ACCOUNT:

Only with the Supervisor ID status, you can do the following:

- Add other Users / Consultants / colleagues - Change Password given by The Vision DMC

- View Credit Details if you have Credit Facility status

To View the Hotel Tariff throughout the whole season and for all room types follow these steps:

Insert Hotel Name (just enter the correct hotel name for the system to show the Hotels)

2 Important points:

- Min Stay Column: This indicates the minimum number of nights to be booked for certain periods, for example New Year or major exhibitions:

- TPL Column ( Triple room occupancy) here you find the:

- Triple Rate Supplement (to be added to the Double Room Rate)
