1. Go to http://smart.utm.my/admission/
• Please check and prepare all the documents required
• The application MUST BE submitted together with the following documents.
• All supporting documents that are other than English or Malay language must be with certified English translation.
• Please upload the file in Portable Document Format (.pdf) or JPEG (.jpg) format.
2. Click at LOGIN button
• For the first time user, please click on CREATE an account
• The existing user can proceed to login
• If the existing user forgot the account, click on password recovery and follow the steps to retrieve
the password
3. For the first time user, please fill in the required information to CREATE an account.
4. Once you can log in to the system, you can start to CREATE the new application. Click at the menu on the left side of the system.
• VERIFY if the information in the form is correct and UPDATE if necessary
• CHOOSE the level of study you wish to APPLY
• Click CONFIRM & NEXT
5. FILL IN e applicant information in the A. Personal Info Section
6. In the B. Field of Study section, please verify the level of study, session of study and mode of study.
Click to choose the programme button to select the program to apply.
• All programs offered by Razak Faculty of Technology and Informatics is Normal Studies
7. After clicking on the choose programme button, a new window will prompt. At the Faculty dropdown menu, Select Razak Faculty of Technology and Informatics.
• For the Master level of study, automatically 18 Master Programmes will be listed in ‘List of Programmes Offered’.
• For the PhD level of study, automatically 4 PhD Programmes will be listed in ‘List of Programmes Offered’.
8. Choose the programme you want to apply MASTER PROGRAMME BY TAUGHT COURSE
For the taught course you can choose either you want to enrol in Full-Time (weekdays class) or Part-Time (weekend). However, this is just the common practise in UTM. It may vary according to the programme so it is best if you contact the Program Coordinator to Razak Faculty Office ([email protected]) to further information

• For study planning, can choose either ‘Spend FULL-TIME in UTM’ or ‘Remote-supervision’ (Please refer to the GUIDELINES OF REMOTE SUPERVISION FOR MASTER BY RESEARCH AND DOCTORAL PROGRAMS for further details).
11. Type in Title of Research
• You are also required to upload a brief research proposal (2-4 pages) at the ‘UPLOAD DOCUMENT’
section.
12. Choose the Name of Proposed Supervisor
• If you identified the supervisor (s), please stated the name in the form
• If you do not have any proposed supervisor yet, you may leave it blank and the faculty will assign a suitable supervisor for the particular research area and expertise based on the research proposal that you have submitted.
13. Complete the information required for Section C. Academic Qualification
14. Complete the information required for Section D. Work Experience (if any)
15. Complete the information required for Section E. English Language Proficiency
16. Complete the information required for Section F. Financial Support
17. Complete the information required for Section G. Referee
18. Please pay for the application processing fees (Ringgit Malaysia EIGHTY /RM80.00) as per the
instruction given. Make sure to upload the Proof of Processing Fees in the UPLOAD DOCUMENT

(The purpose of this guideline is to clarify the roles and responsibilities of student, supervisor(s) and faculty involved in the implementation of remote supervision arrangement both at Master's and PhD level).
2. SYARAT-SYARAT/ REQUIREMENTS
Calon pelajar perlu memenuhi syarat-syarat berikut:
(The candidate must fulfil the following conditions):
2.1 Pelajar mestilah memenuhi kelayakan akademik yang sama dengan syarat kemasukan bil 1998 pindaan 1 2013 untuk pengambilan pelajar bagi program perdana.
(Students must fulfil the academic qualifications stated in admission requirement No 1998 pindaan amendment 1 2013 as the mainstream programs).
2.2 Pelajar perlu memiliki kelulusan Bahasa Inggeris seperti yang disyaratkan merujuk syarat kemasukan Bahasa Inggeris UTM sebelum pendaftaran program dijalankan.
(Students are required to satisfy the UTM English language requirement as stated before program registration is conducted).
2.3 Mempunyai pengalaman penyelidikan dan kemampuan melaksanakan penyelidikan secara kendiri.
(Having research experience and able to work independently).
2.4 Bekerja di institusi penyelidikan atau institusi pengajian tinggi atau di tempat yang mempunyai kemudahan penyelidikan yang dipersetujui oleh penyelia dan fakulti.
(Working in a research institute or a higher education institution or a place with research facilities approved by the supervisor and faculty.)
2.5 Pelajar mengemukakan kebenaran oleh majikan untuk menjalankan penyelidikan.
(Student submit permission by his/her employer to carry out the research work).
2.6 Pelajar perlu menulis kertas cadangan pelaksanaan program yang menggariskan pelaksanaan penyelidikan dan membuktikan perkara 2.1.4 – 2.1.7.

3.0 PERATURAN VISA & IMIGRESEN/ VISA & IMMIGRATION REGULATIONS 3.1 Pelajar antarabangsa yang ingin belajar sepenuh masa di mana-mana
institusi pendidikan di Malaysia perlu memohon Pas Pelajar. Ini adalah merupakan Peraturan 13, Peraturan Imigresen 1963.
(International students who wish to study full-time at any educational institution in Malaysia must apply for a Student Pass. This is a requirement of Regulation 13 of the Immigration Regulations 1963).
3.2 Pelajar antarabangsa perlu memohon dan mendapatkan kelulusan untuk belajar di Malaysia sebelum memasuki Malaysia.
(International students must apply and obtain the approval to study in Malaysia before entering Malaysia).
3.3 Penukaran Pas Sosial yang sedia ada (Tourist Visa) untuk Visa Pelajar tidak dibenarkan.
(Conversion of an existing Social Pass (Tourist Visa) to Student Visa is strictly not allowed).
3.4 Sebagai pelajar antarabangsa yang belajar di Malaysia, pelajar akan diberikan pas pelajar dan visa untuk satu tahun (atau sebahagian daripada setahun), bergantung kepada negara yang mengeluarkan pasport.
(As an international student studying in Malaysia you will be granted a student pass and visa for a year (or part of a year), depending on the country which issues your passport).
3.5 Mulai 1 April 2015, permohonan baharu untuk Pra-Ketibaan Visa (VAL) permohonan Visa diuruskan oleh Perkhidmatan Pendidikan Malaysia Global (EMGS) [http://educationmalaysia.gov.my/] sebelum dikemukakan kepada Jabatan Imigresen Malaysia.
(With effect from 1 April 2015, new application for Pre-Arrival Visa (VAL) Visa applications is managed by Education Malaysia Global Services (EMGS) [http://educationmalaysia.gov.my/] prior of submission to Malaysia Immigration Department).
3.6 Pelajar antarabangsa digalakkan untuk memohon visa 2 bulan sebelum pendaftaran. Kelulusan visa akan mengambil masa antara 6-8 minggu. Pasport mestilah mempunyai tempoh sahlaku 15 bulan semasa permohonan dibuat.
(International students are encouraged to apply for a visa two months before enrollment. Visa approval will take between 6-8 weeks.
Passports must be valid for 15 months during the application)

3.8 Universiti tidak bertanggung jawab terhadap kemalangan yang menimpa pelajar semasa menjalankan kajian di lokasi berkenaan serta semasa perjalanan ke Universiti selain yang tertakhluk kepada insuran pelajar.
(The University will not be responsible if accidents occur at the remote locations or while travelling to the university other than those subjected to student insurance).
3.9 Pelajar digalakkan mendapat perlindungan insurans peribadi.
(Students are encouraged to obtain personal insurance protection).
3.10 Sebarang perubahan maklumat terkini tertakhluk kepada Jabatan Imigresen Malaysia dan EMGS (Education Malaysia Global Services) (Any changes to the latest information are subject to the Immigration Department of Malaysia and EMGS (Education Malaysia Global Services) ).
4.0 PERATURAN PENYELIAAN/ REGULATION OF SUPERVISION 4.1.1 Kelayakan Penyelia/ Appointment of Supervisor
Syarat bagi perlantikan penyelia adalah berikut:
(The conditions for the appointment of supervisors is the following:)
4.1.1.1 Peringkat Ijazah Kedoktoran/ (Doctoral Degree)
Penyelia Utama mestilah staf akademik siswazah yang layak menyelia sebagaimana yang ditetapkan oleh UTM.
(Supervisors must be faculty members supervise graduate eligible as defined by UTM).
i. Penyelia Utama mestilah terdiri daripada staf akademik siswazah yang berdaftar dalam Sistem Daftar Penyelia, UTM.
(Supervisors must be a registered graduate academic staff in the Supervisor Registry System, UTM).
ii. Penyelia Utama yang dilantik bagi pelajar ijazah kedoktoran mestilah mempunyai Sijil Penyeliaan

must have a Postgraduate Certificate in Supervision (SPPS) conducted by UTM or has been certified to qualify as Supervisor).
iii. Penyelia Utama Program Ijazah Kedoktoran mestilah mempunyai sekurang-kurangnya ijazah kedoktoran dengan pengalaman sekurang-kurangnya dua (2) tahun dalam pengajaran dan penyelidikan ATAU sebagai Penyelia Bersama DAN telah memenuhi syarat kelayakan menyelia yang ditetapkan oleh UTM.
(Supervisor of Doctoral Degree Program must have at least a doctoral degree with experience of at least two (2) years in teaching and research as Co-Supervisor AND fulfill all the requirements set by UTM).
iv. Staf Akademik yang mempunyai kelayakan ijazah kedoktoran DAN mempunyai pengalaman sekurang- kurangnya dua (2) tahun dalam pengajaran dan penyelidikan ATAU sebagai Penyelia Bersama tetapi belum didaftar dalam Sistem Daftar Penyelia boleh menjadi Penyelia Bersama.
(Academic staff who possess a doctoral degree and have experience of at least two (2) years in teaching and research or as co-supervisor but have not been registered in the Registry System Supervisor can become Co- Supervisor).
v. Jika pelajar diselia oleh panel, Pengerusi Panel Penyelia pelajar ijazah kedoktoran mestilah terdiri daripada staf akademik UTM yang berkelulusan ijazah kedoktoran dan berpangkat Professor Madya.
(If students are supervised by the panel, the Chairman of the Supervisory Panel doctorate student must consist of UTM academic staff who holds a doctorate and a Associate Professor).

(Supervisor of Master students in mixed mode and research must be a UTM Graduate Faculty staff).
a. Jika pelajar diselia oleh panel, Pengerusi Panel Penyelia peringkat ijazah sarjana penyelidikan mestilah terdiri daripada staf akademik siswazah UTM.
(If students are supervised by the panel, the Chairman of the Supervisory Panel master student must consist of UTM graduate faculty).
ii. Penyelia bagi pelajar Sarjana secara kerja kursus mestilah sekurang-kurangnya berkelayakan ijazah Sarjana dan berjawatan Pensyarah Kanan
(The supervisor for the student's degree by coursework must be at least a Master's degree and was qualified as a Senior Lecturer).
4.1.2. Perlantikan Penyelia/ Appointment of Supervisors
4.1.2.1 Penyelia dilantik oleh SPS berdasarkan cadangan fakulti.
(Supervisor appointed by SPS based on the recommendation of the faculty).
4.1.2.2 Penyelia bersama dari luar UTM dilantik oleh SPS bagi pihak Universiti tanpa sebarang implikasi kewangan.
(A co-supervisor from outside UTM will be appointed by SPS for the university without any financial implications).
4.1.2.3 Penyelia bersama Institut Penyelidikan/Institusi Pengajian perlu dilantik mengikut syarat perlantikan penyelia UTM.
(A co-supervisor from research institutes/higher education institutions will be appointed by SPS for the university but without any financial implications).
4.1.2.4 Penyelia industri boleh dilantik oleh SPS tanpa sebarang implikasi kewangan berdasarkan cadangan pencalonan daripada organisasi dan sokongan.

5.0 PERANAN DAN TANGGUNGJAWAB PENYELIA DAN FAKULTI/ROLES AND RESPONSIBITIES OF SUPERVISOR AND FACULTY
5.1 Fakulti perlu memastikan pelajar mengemukakan bukti adanya kemudahan dan peralatan penyelidikan di lokasi penyelidikan.
(Faculty must ensure that student present evidence of the availability of research facilities at the location).
5.2 Fakulti perlu memastikan ada kemudahan komunikasi seperti internet, komputer dan perpustakaan di lokasi penyelidikan.
(Faculty must ensure the availability of communication facilities such as internet, computer and library at the location).
5.3 Fakulti akan menyediakan kursus Metodologi Penyelidikan dan kursus elektif universiti dengan jangka masa yang bersesuaian untuk diikuti oleh pelajar di bawah penyeliaan jarak jauh.
(Faculty will provide the Research Methodology and university elective course with an appropriate period to be followed by students).
5.4 Penyelia perlu menyatakan dengan jelas mutu dan kualiti kerja bertulis yang diharapkan dari pelajar.
(Supervisor should be explicitly clear about the expectation of written work quality).
5.5 Fakulti dan penyelia perlu memastikan kemajuan penyelidikan pelajar di akhir setiap semester dengan melengkapkan borang Laporan Kemajuan secara atas talian di laman web GSMS.
(Faculty and supervisor must ensure of student’s research progress at the end of each semester by submitting the completed online Progress Report form that can be access from GSMS website).
6.1 Pelajar perlu mengikuti kursus-kursus berkenaan mengikut jangkamasa yang telah ditetapkan oleh UTM.
(Students must attend courses concerned over the period stipulated by UTM).
6.2 Pelajar perlu berkomunikasi bersama dengan penyelia sekurang- kurangnya sekali sebulan melalui telekomunikasi seperti telefon, SKYPE atau video conferencing.
(Students need to communicate with supervisors at least once a month via telecommunication such as telephone, Skype or video conferencing).
6.3 Pelajar dikehendaki hadir secara fizikal di UTM untuk tempoh sekurang-kurangnya 2 bulan setiap sesi bagi memenuhi tempoh pemastautin selama 1 semester sepanjang pengajian.
(Students are required to be physically present in UTM for at least 2 months per session to fullfill the residential requirement of one (1) semester throughout the study).
6.4 Pelajar perlu mengisi borang Laporan Kemajuan secara atas talian di laman web GSMS pada setiap akhir semester.
(Student must fill in the Progress Report form at the end of each semester that can be accessed from GSMS website).
7.0 URUSAN PENYELIDIKAN/ RESEARCH MATTERS
7.1 Kursus Metodologi Penyelidikan dan kursus elektif universiti boleh diambil menerusi MOOCs dan dibenarkan pindah kredit secara horizontal.
(Research Methodology and university elective course can be taken in a form of MOOCs and horizontal credit transfer is allowed)
7.2 Pertemuan bersemuka mestilah berlangsung sekurang-kurangnya sekali setahun.
(Physically meeting must take place at least once a year).
7.3 Dalam keadaan tertentu, jika penyelia perlu mengesahkan penyelidikan pelajar di luar kampus, kos adalah ditanggung oleh pelajar.
(In the event that the supervisor has to verify the research work at the remote location, the costs incurred is the responsibility of the student).

7.5 Fakulti dan pelajar perlu memastikan bahawa Kursus Metodologi Penyelidikan, Kursus Elektif Universiti dan Penilaian Peringkat Pertama diambil selewat-lewatnya pada semester ke dua (2) oleh pelajar Sarjana dan semester ke tiga (3) oleh pelajar Kedoktoran.
(Faculty and students must ensure that the Research Methodology Course, University Elective Courses and Proposal Defense to be taken by semester two (2) for students enrol in Master of Philosophy Program and by semester three (3) for students enrol in Doctorate Program).
7.6 Pelajar tertakluk kepada semua peraturan universiti dan Akta Universiti dan Kolej Universiti (AUKU) sepanjang tempoh pengajian.
(Students are subject to university’s regulations and Universities and University Colleges Act (AUKU )).
8.0 PEPERIKSAAN/ EXAMINATION
8.1 Pelajar perlu hadir di UTM bagi pembentangan penilaian peringkat pertama
(Students must be present at UTM during the first assessment presentation).
8.2 Sesi peperiksaan lisan mesti diadakan di UTM dan pelajar perlu menghadiri sesi berkenaan secara fizikal.
(The viva-voce sessions must be held at UTM and students must physically attend the session).
8.3 Semua proses dan syarat lulus peperiksaan perlu dipenuhi seperti yang tercatat dalam Kod Amalan Penyelidikan Pasca Siswazah – KAPS 10.
(All process and examination requirements must be satisfied as stated in Kod Amalan Penyelidikan Pasca Siswazah – KAPS 10).
9.1 Pelajar perlu memenuhi semua syarat graduan universiti, contohnya lulus kursus Metodologi Penyelidikan, Elektif Umum Universiti dan lain–lain syarat yang dinyatakan dalam kurikulum pengajian.
(Students must fulfill all the requirements for graduation required by the university, e.g. pass the Research Methodology course, University Elective courses, etc. and others stated in program curriculum).
9.2 Telah menjelaskan segala bayaran yang telah ditetapkan.
(Paid all fees).
9.3 Tarikh lulus pelajar pengajian siswazah secara penyelidikan ialah pada tarikh viva jika tiada apa-apa pembetulan tesis/disertasi.
Jika tesis/disertasi perlu dibetulkan, maka tarikh lulus ialah tarikh pelajar menghantar tesis selepas pembetulan dan disahkan oleh pemeriksa/ penyelia.
(Approval date for postgraduate research student is the viva date if there are no corrections of thesis/dissertation. If there are corrections, the approval date is the submission date of corrected thesis/dissertation verified by examiner(s)/supervisor).
9.4 Syarat-syarat tambahan penganugerahan juga adalah tertakluk kepada Peraturan Akademik di bawah Perkara 24.
(Additional conditions for the award is also subject to the academic regulations under Article 24).

2. Students’ Image :- a. Males
i. Attired in a shirt or collared T-shirt.
ii. Short and tidy hair, with hair not touching the collar. Hairstyle should be appropriate and not outrageous.
iii. Not allowed to wear songkok, kopiah, turban (except for Sikh) and the like.
b. Females
i. Attired in baju kurung, long kebaya, kebarung or any ethnic costumes that are appropriate, neat and modest.
ii. Muslims are encouraged to wear the hijab covering the hair but not part of the face (veil).
