Exposure to Delegates

In planning the 2014 SecTor Conference, special consideration is given to the location of the Exhibitor show floor. As illustrated by our floor plan, the Sponsorship booths and tables will be located in Hall G. Hall F will serve as the location for Tuesday and Wednesday breakfasts, lunches, coffee breaks and keynote speakers. The conference agenda is being created with a focus on providing informal and ongoing interaction between attendees and exhibitors.

Exhibitor Booths

As part of your Exhibitor partnership, we will provide you with the following:

• 10 ft. deep booth defined with pipe and drape, carpeted. Booths are available in 10’ and 20’ widths. Direct any booth configuration inquiries (i.e. 20’ x 20’; 20’ x 30’ by email to

[email protected] for pricing and floor placement. • 6 ft. skirted table and two chairs per 10’ x 10’ space • 1 x 800 Watt electrical outlet per 10’ x 10’ space • Internet Connection (wireless)

Exhibitor Classifications

Full Delegate

Full access to all sessions, keynotes, activities, Tuesday and Wednesday breakfasts, breaks, lunches, and the Networking/Reception Party on Tuesday.

Exhibit Area Staff

Each Exhibitor at the trade show may send as many exhibit area staff as identified by their level of sponsorship (see page 5). Exhibitors will enjoy Tuesday and Wednesday breakfasts, breaks, lunches, and the Networking/Reception Party on Tuesday.

Expo Only Guests

Each sponsor will receive a discount code enabling them to invite guests to the expo for free (regular $50 value). Expo guests will have access to the expo hall and activities including expo theatre and Gold sponsor sessions. Expo guests WILL NOT have access to any meals, keynote speakers, the main tracks, or the Networking/Reception Party.

Exhibit Space Allocation

The conference committee will work to accommodate your requested booth preference. The exhibitor recognizes that the floor plan may change to meet the needs of other vendors for larger floor spaces, additional lab spaces, on-floor speaker areas, special attractions and events, etc. In cases of conflict with equally sized booth areas – preference will be given based on date payment was received.

Venue

As in 2013, the conference is held the South Building of the MTCC, utilizing both Halls F and G. The keynotes and meals are held in Hall F, which is only accessible though the Expo area located in Hall G. The Expo Hall, which includes the lounge, exhibitor space and activity areas, is open all day to all of the attendees and expo guests. With a great deal going on, and an increased amount of time between keynotes and sessions for attendees to visit the Expo Hall, there is a constant buzz of traffic and energy both days of the conference. Be sure to staff your booth appropriately.

Sponsorship table set up will be as permitted by the MTCC in accordance with Fire Safety rules and regulations. Floor plans subject to change.

Sponsors must have a representative in their booth by 8 am until the end of the day on each day of the conference (Oct. 21 and 22, 2014). In order to receive SecTor leads after the conference, Sponsors agree to not take down their booths until after closing remarks on the final day (Oct. 22, 2014).

All exhibitors must arrange for the pickup of their exhibit materials no later than Wednesday, October 22nd, 2014, 8:00 PM. All appropriate paper work and phone calls are the responsibility of the exhibitor.

Vendor Staff Registration

It is essential that each person attending from your organization have the correct identification in the form of an official conference name badge.

All delegates and exhibitors are required to wear their identification badge at all times.

Identification badges are NON transferable.

Persons without an identification badge will be denied access to the Hall, meals and events.

CVS is pleased to be appointed Official Show Decorator for Sector 2014. CVS is a full service show contractor and can provide additional furnishings, tables, chairs or plants, signage and exhibits for your booth. Note that any additional furnishings are at the exhibitor’s own expense. All display material, furniture and selling aids must be kept within the perimeter of your allocated booth area.

Additional Audiovisual Equipment

The audiovisual supplier for the conference is Apex Sound & Light. Apex Sound & Light Corporation was founded in 1990 and since that time has been engaged in production, design, and supply of audio, video, lighting, multimedia systems in both show service, and permanent installation. Our Experience Includes:

major concerts and tours, product launches, corporate functions and many other events spanning across North America.

Note that any additional audiovisual requirements are at the exhibitor’s expense. All display material, furniture and selling aids must be kept within the perimeter of your allocated booth area.

Print and Marketing

Prinnovation is a full service print company that offers fast turnaround times at competitive prices. We are dedicated to making sure your order is printed correctly and on time. Products offer include,

business cards, postcards, flyers, signage, and any other marketing materials that you may require. Print is completed locally and shipped directly to your booth. Please contact Brent Bourne at Prinnovation:

Telephone & Fax Lines

Telephone and fax lines are not included in the cost of your booth rental on the exhibit hall floor. Pay phones are available at the convention center along with complimentary wireless connection in the foyer space outside all rooms. Your company will be responsible for all long distance charges incurred. In the event a phone or fax line is required to facilitate your display – email the conference coordinator

[email protected]. We will investigate your requirements and if they can be accommodated will provide contact information to the applicable providers for these services. Exhibitors will be responsible for contacting the provider to arrange invoicing, equipment requirements, etc. Each exhibitor will be responsible for their related costs, including any long distance charges.

Lead Retrieval Badge Scanners

To help our valued exhibitor’s follow-up with attendees, SecTor is proud to include a Conexsys

Registration lead retrieval badge scanner with your booth space. Conexsys Registration badge scanners are extremely easy to use – simply push the scan button and wave over the attendee’s badge. The attendee’s company and contact information will be captured and will be sent to you in Excel format at the end of the show.

Security & Insurance

It is the exhibitor’s responsibility to attend your booth during show times. During non-show times the exhibit hall and hallways will be secured, and after hours security will be provided. Neither SecTor nor the Metro Toronto Convention Center will accept responsibility for goods and equipment left at exhibitor booths.

Exhibitors are reminded that their insurance for goods and services should take effect from the day that the goods are delivered to the exhibition venue and should remain in force until their exhibits are removed. Exhibitors are required to take out adequate insurance coverage against the kinds of risks they will incur in connection with the exhibition, especially public liability.

Exhibit Set-up

SecTor nor the Metro Toronto Convention Center provide manpower. CVS can be contacted for staffing requirements of help with set-up, please contact Joanne Alcamo at [email protected] or T: 905-338-6955 x231. Registration staff will procure facility staff to provide access to your shipments on Monday, October 20th, 2014.

Shipping, Customs & Storage

SecTor has partnered with Mendelssohn Commerce to provide customs clearance, shipping and storage

services for your exhibit materials. Mendelssohn Commercehas the expertise to move complex

shipments for exhibitors and vendors into Canada or the United States from anywhere in North America, across the border and back again. As the customs clearance specialists for conventions, trade shows and special events, Mendelssohn will look after permits, advance electronic filing and security requirements on your behalf. Your goods will arrive where they need to be, when they need to be there – hassle-free. Full details and forms are found in appendix C. After the Show

MTCC will not be responsible for the loss or damage of any items left atthe facility. All items / freight left after 8:00 pm onWednesday, October22nd, 2014 will beconsidered stranded. All stranded freight will be disposed of. If your departing goods arebeing returned via a third party – your staff must complete the appropriate bill(s) of lading andpackage appropriately for pickup. Your staff must wait for the shipper to pick up and takeresponsibility for your goods. Your shipments must be shipped pre-paid on your own account,including all applicable duty, brokerage, customs and freight charges.

Airline/Airport

Individuals traveling into Canada require a valid Passport to gain entry.

Pearson International Airport is just twenty minutes away and handles all major national and

international carriers. The Airport Express bus drops off and picks up passengers at the North Building of the Convention Centre. South Building can be accessed through the North Building.

The City Centre Airport, just five minutes from the Centre on the Toronto Islands, specializes in "short-hop" inter-city traffic.

Public Transportation:

The MTCC is just a short walk from Union Station via the Skywalk. For more information, visit

Contract Terms

• One company per booth space; sharing of booth space is not permitted without approval. • SecTor conference staff reserve the right to alter or change the space or location assigned to the

exhibitor.

• Eligible exhibitors are organizations providing products, professional expertise or management consulting services to local government authorities.

• Exhibitors agree to abide by the rules and regulations as set forth by SecTor and the conference planners.

• Exhibitors agree to maintain a staff member in their booth during the show hours.

Payment Terms / Process

• Upon receipt of your application (completed at www.sector.ca) an acknowledgment of your interest to participate in SecTor 2014 will be emailed with the applicable invoice. Payment in full is due within 30 days of the invoice issue date. Overdue accounts will be charged 2% per month after 30 days. Payment can be made by credit card. Please contact [email protected] for more information.

• Sponsors joining SecTor after September 1st must provide payment upon signing the

agreement. No sponsors will be provided access to the event or to exhibit unless their invoice is paid in full before October 17th, 2014.

• Exhibit space will be tentatively held for 30 days or receipt of your payment. If at the end of 30 days, payment has not been received, your space may be released. Please ensure that your payment is processed as identified on the invoice – Payable to SecTor – mailed to the attention of SecTor c/o Black Arts Illuminated Inc., 140 Yonge Street, suite 400, Toronto, Ontario M5C 1X6 Attention: Diana Flak to facilitate this process.

Exhibitor Load In/Out: Moving in / out of South Building Hall G will be conducted through the two truck elevators. The entrance to the truck elevators is located on Lower Simcoe Street, North of Bremner

Boulevard. The truck elevators can accommodate straight trucks, cube vans and 5 ton vehicles. The maximum length is 38 feet; height is 13’6”, width 10’ and the load capacity of 27,500 kg or 30 tons. NOTE: The off-loading area is NOT at dock level. Alternatively, exhibitors can off load and hand carry their material via the parking garage and dolly their material to Hall G. Exhibitors should bring their own dollies to transport material directly to the room as the MTCC does not have any in inventory. Materials shipped or delivered to the MTCC in advance of Oct 20th, will either be turned away or subject to a storage and labour charge of $200.00 + HST (to
