Project Statistics Dashboard ‐ Analyzing Projects
The Project Statistics Dashboard provides an interactive view of projects at various stages of
development. It is designed to help you measure the volume of jobs created, completed, in progress, or
in any particular status for levels such as client, division, product, account executive, sales class,
department and job type.
Select the Production button on the Main Menu.
Hover over the Dashboards button to access the Project Statistics application.
The dashboard is designed to display data for the current year and/or the previous year. Before data
can be displayed, and to view the most recent information, click the ‘Refresh Data’ button. Data only
needs to be refreshed when the data has changed. Refreshing the data may be done at any time from
by clicking on the ‘Selection’ button from within the dashboard.
Once data is refreshed, make selections to determine the timeframe and other criteria.
Selection
Month and Year Buttons
• The current year and prior year will be displayed.
• Year 1 ‐ Select the current year to view only that year.
• Year 2 ‐ Select both current year and prior year to see a rolling total that crosses years. Only
one year of data will be displayed at once, but it may cross over years. Example: If today is
1/15/11, choose both 2011 and 2010 to see data for 1/15/10 to 1/15/11. To see only data for
the current year (1/1/11 to 1/15/11), select 2011.
Month and Year to Date Buttons
• To view one year‐to‐date based on selections, select Year to Date.
• To view a single month based on selections , select Month.
• You can toggle between year‐to‐date and a single month from within the Dashboard as well.
Select Month Ending and Week Ending Selections
• Select the Month to view. If the Month button is selected, you will see a single month of data.
If the Year‐to‐Date button is selected, you will see data for the year‐to‐date ending with the
month selected.
• Select the Week Ending cutoff. If the Month button is selected, you will see a single month of
data ending with the week selected. If the Year‐to‐Date button is selected, you will see data for
the year‐to‐date ending with the month and week selected.
Criteria to Narrow the Results
• Office – The Office selection displays all offices available and initially defaults to ‘All Offices’. To
• Account Executive – The Account Executive selection displays all employees established as
Account Executives who could possibly be assigned to Jobs, and initially defaults to ‘All Account
Executives’. To view information for a specific AE, select an AE from the list. Use the 'ctrl' key to
select multiple AE's.
• Client – The Client selection displays all clients available, and initially defaults to ‘All Clients’. To
view information for a specific Client, select a Client from the list. Use the 'ctrl' key to select
multiple Clients. The Clients available for selection may be limited based on
Client/Division/Product Security.
• Department – The Department selection displays all departments available and initially defaults
to ‘All Departments’. To view information for a specific department, select a Department from
the list. Use the 'ctrl' key to select multiple Departments. Department data is based on the
Department assigned to the Job.
• Sales Class – The Sales Class selection displays all sales classes available, and initially defaults to
‘All Sales Classes’. To view information for a specific Sales Class, select a Sales Class from the
list. Use the 'ctrl' key to select multiple Sales Classes.
• Job Type – The Job Type selection displays all job types available, and initially defaults to ‘All Job
Types’. To view information for a specific Job Type, select a Job Type from the list. Use the 'ctrl'
key to select multiple Job Types.
Display Options
Once all filters have been selected, a Display Option may be selected to begin viewing the Dashboard
data.
• Projects Created ‐ Displays jobs created based on the Job Component Date.
• Projects Completed ‐ Displays the number of jobs completed based on the Completed Date
entered on the Project Schedule.
• Projects Due ‐ Displays the number of jobs due based on the Due Date entered on the Job
Component.
• Projects Pending ‐ Displays the number of jobs that are considered open (Process Control and
Completed Date considered) and also have a project schedule assigned to them. The
job/component creation date and due date are NOT considered. Not available for Month, Year
and Week views.
• Projects Cancelled (or other Status) ‐ Displays the number jobs that fall into the Cancelled or
other Status . If Cancelled, the status is counted only if the Completed Date of the job falls
within the range. (Counts number of jobs cancelled in the range based on the completed date).
If other status, the status is counted if the job is pending (see definition above for Projects
Pending) and is in the status selected. This allows you to see pending projects in cancelled or
any other status.
Summary Levels
After selecting a Display Option, the Summary view is displayed and a number of other options become
available, including Summary Levels. Summary Levels represent different categories for which jobs
statistics may be measured. For example, view how many jobs are created, completed, due, pending or
cancelled for any of the following levels for any period of time.

Views
Various dashboard views are available to analyze the information fitting the selection criteria for the
summary level selected.

Summary
• Chart ‐ A chart is displayed for the summary level selected, displaying the number of projects
that fall into the criteria. Click on a chart segment to drill down to the jobs and details that
make up the summary data displayed. Job details include (for all job detail drill‐downs noted):
o Job and Component Number
o Component Description
o Sales Class
o Job Type
o Department
o Status (Project Schedule)
o Opened Date
o Due Date
o Completed Date
o Difference (difference between due date and completed date)
• Grid ‐ Below the summary chart is a list view of the same information represented in the chart.
Year
• Chart ‐ A chart is displayed for the summary level selected, displaying the number of projects
that fall into the criteria. All years selected are displayed for each category in a separate chart.

Print ‐ Prints the chart onto a basic report.
• Detail ‐ After selecting the Year button, a Detail button becomes available. This option displays a
chart listing the projects by year, and categories in the summary level listed across the page.
o
Print/Export ‐ When on the Year, Month or Week views, printing or exporting sends all
three grids onto a single report or Excel sheet.
Month
• Chart ‐ A chart is displayed for the summary level selected, displaying the number of projects
that fall into the criteria. All months selected are displayed for each category in a separate
chart.
o
Print ‐ Prints the chart onto a basic report.
• Detail ‐ After selecting the Month button, a Detail button becomes available. This option
displays a chart listing the projects by month, and categories in the summary level listed across
the page.

Week
• Chart ‐ A chart is displayed for the summary level selected, displaying the number of projects
that fall into the criteria. All weeks selected are displayed for each category in a separate chart.
The 4 week average is displayed for each week (indicated on graph).

• Detail ‐ After selecting the Week button, a Detail button becomes available. This option displays
a chart listing the projects by week, and categories in the summary level listed across the page.
This chart includes the 4‐week average.

three grids onto a single report or Excel sheet.
