INTRODUCTION

The conference “Modernising EU Justice systems by boosting training of justice

professionals” will be a fully digital event, and you will be requested to join it via Interactio for the plenary sessions and Webex for the break-out and working groups sessions. This document aims at making sure you are well prepared to join the event. It includes information about the technical requirements and the conduct of the event.

To join the event on 6th and 7th May, please connect via MyAgenda here:

Please only use Google Chrome, and open a “New incognito window”.

When joining the event, you might have to wait in the lobby. This is normal. We will let you in when your session is about to start.

GENERAL GUIDELINES

• If possible, connect your computer to your modem with a cable to guarantee a more stable connection.

• If you are connecting from a portable device, do it from a place with a strong Wi-Fi signal.

• Try to avoid connecting with your mobile phone. It will make it difficult for you to hear and for the others to hear you when you speak.

• To avoid background noise and an echo effect, connect from a room where you can be alone and close all doors and windows. Mute or switch off other devices or appliances that might create background noise (ventilation, heating).

• For better audio quality, ideally use a wired headset with a built-in echo-cancelling microphone. If possible, avoid using a wireless headset or the built-in microphone of your laptop, which might create interference.

• Place your webcam at eye-height and sit at a distance of around 50-70 cm from it, making sure that you are in the centre of the image, avoiding unnatural camera angles.

• Work from a well-lit room and choose a neutral background that is not distracting. • Avoid sitting in front of bright sources of light (such as a window), or your image will

ENTERING A WEBEX MEETING

Click on Join Online Session, available in MyAgenda https://european-judicial-training-2021.eu/agenda?my=true

If this is the first time you're joining a Webex meeting, Webex automatically downloads the app.

• Click the installer file to install the app.

• If the automatic download didn't work, click download the app again.

We strongly recommend downloading the app as it is more reliable than running Webex from the web browser. However, if you do not want to download anything, you can choose to join from your browser: then close the window asking you to download the app and select ‘Join with the browser’.

YOUR IDENTIFICATION

When connecting to the event, you will be requested to enter your name and email address. When entering your information, please enter your first name and last name written in full as it will be needed in order to identify you.

AUDIO SETTINGS

In the preview window, you can make sure your audio and video sound and look good before you join the meeting. First, choose the settings you use for audio in the meeting.

2. Choose how you want to hear the audio in the meeting:

Use computer audio—Use your computer with a headset or speakers. This is the

default audio connection type. You can change your headset, speakers, and microphone.

Call me (Not recommended for this event)—Enter or select the work or home phone

number that you'd like the meeting to call.

Call in (Not recommended for this event)—Dial in from your phone when the meeting

starts. A list of global call-in numbers is available after you join the meeting.

Don't connect to audio (Not recommended for this event)—You won't hear any audio

in the meeting through your computer or phone.

If you want to join the meeting with your audio muted, click Mute .

You'll see when your microphone is muted.

VIDEO SETTINGS

Before you join or start a meeting you can choose the settings you use for video in the meeting:

If you want to join the meeting with your video turned off, click Stop video

You will see when your video is turned off.

Click Start video when you want to show your video.

If you want added privacy or to limit possible distractions from your video, you can use a virtual background. Click Change background, and then choose to blur or replace your background.

LIGHTING SETTINGS

Do not sit in front of a bright window. You will show up as a dark silhouette. Take the time to look at your own image and place yourself in a comfortable position, keeping in mind that all

the other attendees in the meeting may see you at all times.

Make sure a bright light shines on you, so you are well lit.

Ideally, place the webcam between you and the window, facing away from the window.

LOCATION

Take the time to find the right spot from where you will connect on the event day and keep a close eye to the background you will show on camera.

Make sure you have a neutral background, without any controversial content that can be viewed by the audience online.

YOUR INTERNET CONNECTION

Please keep in mind that the quality of your video, audio and shared content are all directly related to your internet connection. If possible, we always suggest using a WIRED internet connection (rather than Wi-Fi).

This way, the signal quality is not influenced by external factors (i.e., other devices connected to the Wi-Fi, etc.).

ENTERING A INTERACTIO MEETING

First, please make sure that you have:

• A fast and reliable internet connection – broadband wired (preferred) or wireless; • Speakers and a microphone – built-in or USB plug-in or a headset with microphone

(preferred);

• A webcam - built-in or USB plug-in.

Please make sure you use an incognito window in Chrome in order to avoid any problem

with the platform.

YOUR IDENTIFICATION

Enter your email address, first name, last name and click on “continue”. It is with this first name and last name that you will be identified during the meeting, so make sure it is correct.

Click on “Join” to join the meeting. You are now connected.

MEETING DEVICES

On the top left of the screen, click on the buttons to select your preferred camera,

microphone, and speaker. Failure to do this will result in Interactio using the devices set by default on your computer. If these, are not the ones you want to use, you may end up with unavailability issues (e.g. no sound). After selecting your preferred device(s), you may need

to refresh the page for the changes to take effect.

• To ask questions, you will be able to use the Chat function through the ‘Chat’ button on the top right and then the Chat box on the bottom right side of the screen. • The Chat function also allows you to chat with all participants, or with a single
