Introduction
Parcel labels and especially their barcoded information constitute the distributional link for the DPD system. This documentation defines for all concerned a standard which is necessary for production and use of the DPD Parcel Labels. Only by observing this standard, the DPD system can work with high efficiency.
1.1
How to use this documentation
As you can see in the tabel of contents, different chapters refer to different types of parcel labels. The best way to start is reading the main chapters and then to continue with the chapters dealing with your application.
DELICom DPD GmbH & Co. KG 2-1 Parcel Label Documentation (E).doc - 15.11.2001
2
General run of events
2.1
The DPD system
Both, the distribution system and the automatic tracing system „glass DPD“, are performed by regular scanning (using stationary and manual scanners) of parcels. Herefore, required data is encoded in two barcodes which must be attached to each parcel. Exceptionally, additional „special parcel labels“ with extra information may be applied. Each barcoded information is also written in normal characters on the parcel labels for security reasons. It refers to the following information:
§ Parcel label number (ident code)
§ routing code, routing number (destination information)
§ special codes (additional information)
In order to guarantee a safe, correct and fast transport of parcels, at least the information „parcel label number“ and „routing code, routing number“ must be applied on each parcel.
2.2
Standard parcel labels
Using standard parcel labels („Maxi“ or „Mini“), DPD customers are provided with parcel labels by their attending depot. The labels – filled in completely – must be applied on the upper side of the parcel, then it may be delivered the DPD.
The DPD depot applies the target information next to the parcel label using a so-called „routing label“ (and if necessary adding special parcel labels). The parcel now runs through the DPD system until it is duly delivered.
DELICom DPD GmbH & Co. KG 2-2 Parcel Label Documentation (E).doc - 15.11.2001
2.3
Parcel label printed by the customer
Parcel labels printed by the customer means that the DPD parcel label including all barcoded information is produced only when needed. This way, characteristics referring to customers and orders can be connected with a DPD parcel label number (signifying a continuous pursuit of the parcel from the execution of the order until the parcel’s delivery).
Beside the possibility to program this printing of parcel labels himself, the customer may use one of the existing standard systems offered by several firms. These were developed in co-operation with the DPD and they may be accorded to the EDP (electronic data processing) system used by each customer. The attending depot may explain advantages and possibilities of application of the different standard systems to the customer in order to find out the best solution for each customer.
2.3.1
Parcel label with routing
Apart from the parcel label number the destination can be integrated into the parcel label. The routing code (destination information) can be determined directly from the destination address thus reducing the number of sources of error and leading to a maximal security of sorting. The parcel is delivered to the DPD and runs through the DPD system until it is duly delivered.

Requirements
To ensure a safe transport of the parcels at a reasonable time, some rules for the use of parcel labels should be observed.
3.1
Handling
All types of parcel labels are equally handled. Because parcels are also registered by automatic overhead scanners, the following rules are essential for a safe sorting in the DPD system.
3.2
Guidelines for the handling of DPD parcel labels
A parcel is qualified for sorting when the largest surface faces down. This way, the parcel cannot tip over.
Figure: correct orientation of parcel
The following rules refer to this qualified position of parcel:
1. All parcel labels relevant for the DPD must be applied on the upper side of the parcel.
2. The parcel labels must not overlap one another, that means that they must be applied one beside the other.
3. The parcel labels containing the information referring to the parcel, are not to be covered with a cord or tape.
4. The parcel labels must not be hidden by pigments (e.g. traces of felt-tip pens) or the labels.
5. If shrinking foils are applied, the must not be wrinkled or imprinted over the information. To ensure readability in the whole DPD, these foils must be tested by the DELICom DPD GmbH & Co. KG before they can be used. Please contact your depot which will arrange all necessary steps.
To give you some examples of the rules previously mentioned please see appendix 1. the following chapters above all deal with the correct data content of DPD parcel labels.
DELICom DPD GmbH & Co. KG 3-2 Parcel Label Documentation (E).doc - 15.11.2001
3.3
Standard Parcel labels
To ensure a fast transport of a parcel in the DPD without any difficulties, two aspects of the use of standard parcel labels must be observed: The handling rules and the correct filling in of the parcel label. When using mini parcel labels, easily readable address labels must be used.
Important aspects for that are especially:
§ correct and complete receiver’s address
§ correct and complete sender’s address
§ declaration of weight
§ number of parcels (only in case of multiple-parcel sendings) e.g. 1 of 3, 2 of 3, ...
The following declarations are optional:
§ customer reference
§ dispatch date
DELICom DPD GmbH & Co. KG 3-3 Parcel Label Documentation (E).doc - 15.11.2001
3.4
Parcel label printed by the customer
Analogous to the use of Standard parcel labels, parcel labels printed by the customer must generally contain the declarations, „receiver’s address“, „sender’s address“, „declaration of weight“ and, if necessary, „number of parcels“. If you intend to add further internal information beside „customer reference“ and „dispatch date“ to the parcel label (bar coded or in normal characters) please contact the DPD. Only by according this with the DPD, possible sources of error can be excluded. The available standard systems already offer the integration of the data previously mentioned. Further data may be added for the customer’s needs but only in accordance with the DPD.
3.4.1
Parcel label with Routing
Additional to the parcel label number, in this case the DPD target information is printed on the parcel label. It consists of a so-called routing code (in barcode and normal characters) and a so-called routing number (only in normal characters).
The routing code is based on the target postcode which can be determined from the receivers address. Digits relevant to the DPD are added. Both together make up the so-called routing code.
The 5-digit „routing number“ symbolizes one of the DPD depots. It is important for the logistical run of events in the DPD and it is only printed in normal characters. The routing number can be determined from the routing code shown in the DPD routing lists. The table showing the relation routing code ↔ routing number is available as an ASCII-file and is placed to the customer’s disposal on floppy disk. Some DPD depots support their internal run of events by so-called „internal gate number“. If necessary, the attending depot adds this number to the previously mentioned table.
For detailed definition of the digits in a parcel label number, the calculation of the check digit and necessary quality of the printer resp. geometrical data please see chapter 4 (Technical basics).

Technical basics
This chapter describes the technical frame of this parcel label documentation which is essential for the reliability of the DPD system. Further help in order to achieve this technical data (e.g. for programming the customer’s own printing of a parcel label) can be found in appendix 6 „Check list“. This check list contains the following data in a short summary.
4.1
General facts
4.1.1
Parcel label number
The DPD parcel label number is the only basis to identify parcels in the DPD system. This ident code (serial number belonging to a defined group of numbers) should occur in the DPD system just once a year. The following key of numbers explains the structure of the parcel label number bar coded and in normal characters.

4.1.2
Routing code
The target information in the DPD system is the so-called routing code. This 10-digit number is printed in bar coded as well as in normal characters and it has the following structure:
Figure -1: 10-digit routing code as target information in the DPD
The check digit „P“ is computed of the nine preceding digits as shown in chapter 4.1.3 „calculation of the check digit“.
Routing code structure:
LL DPD country code as per DPD table of countries
12345 Postcode field. If the postcode has less than 5 digits this field must be right-aligned, e.g. 01234

02 small parcel / PARCELLetter
P check digit
DELICom DPD GmbH & Co. KG 4-3 Parcel Label Documentation (E).doc - 15.11.2001
4.1.2.1 Routing number
The routing number is an essential part of the target information and must be determined from the up-to-date DPD routing lists. This 5-digit number results from the corresponding routing code according to appendix 3 „DPD routing lists“. It is only printed in normal characters, placed under the routing barcode and it is a support for visual check or manual sorting. The point between digit 3 and 4 is imperative to prevent reading a number upside down and for internal sorting procedures.
4.1.2.2 Internal gate number
Some DPD depots perform the sorting by means of so-called „internal gate number“. It results from the DPD-wide routing number. The relation is performed by the according DPD depot through the DPD routing file.

4.1.3
Calculation of the check digit
The check digit can be calculated based on the preceding digits of the number to be encoded. The calculation is determined by the formula „Modulo 10“ factor 3131.

4.1.4
Barcode specification
While the parcels are automatically scanned and sorted, the conveyor achieves a maximal speed of more than 2,5m/s. This can only be performed when the bar coded information is of high print quality. Both the routing code and the parcel label number must accomplish the following specifications:
Type of barcode code 2/5 interleaved
calculation of check digit Modulo 10, factor 3131
narrow bar width x ≥ 500µm ± 50µm (10%)
ratio (ratio between narrow and wide bars) 1:2,0
reflectance factor of white background Rw≥ 50% reflectance factor of bar Rb≤ 10% print contrast signal PCs ≥ 80%
white quiet zone on both sides smin≥ 5mm 1
quiet zones growing under 45°
coloring of code dull black covering
parcel label hps≥ 25mm barcode height
routing barcode hrc≥ 30mm Barcode orientation in thermo printing 90° to thermomodul
4.1.5
Printing operation
Generally every print system can be used, if the quality according to chapter 4.1.4 „Barcode specification“ is achieved. We recommend to employ one of the following procedures.
§ Thermo printing
§ Thermo tranfer printing
§ Laser printing
§ ionic printing
§ magnetic printing

Authorization method for parcel label printing
The printing of bar coded information implies many sources of error. These may affect the whole DPD system. That is why it is essential to have an authorization for parcel label printing from DELICom DPD GmbH & Co. KG, unlike when using preprinted parcel labels. Please contact your attending depot.
5.1
Method of development
For the development of a parcel label printed by the customer, the attending DPD depot has to co-operate very closely with the customer. Thus wants and needs of both customer and DPD are assembled.
After this, the depot can forward the developed printing pattern to DELICom DPD GmbH & Co. KG. There it will be tested especially on the quality of the barcode and, if possible, the DELICom DPD GmbH & Co. KG will approve to the layout and the printing process of the parcel label.
5.2
Printing approval
It is essential that both, the attending DPD depot and the DELICom DPD GmbH & Co. KG, are acquainted with every installation of each customer printing system, for even when the layout has been approved, installation defects are possible. Thus each installation must be checked before the first day of dispatch. The samples to be checked must have a parcel label number taken from the defined group of numbers of according installation.
Hereto, the DPD depots forward one original from each installation system „for approval“. Each system is approved separately. The parcel labels may only be used in the DPD system after this technical verification.
It is mandatory that for each product (normal parcel, small parcel, ParcelLetter) and each from the customer used service satellite (ex works, dangerous goods, cash on delivery, exchange service, Garantiepaket) labels are forwarded for approval, because their different markings are indispensable for a smooth transportation in the DPD system. The accurate product marking is the self-printing customers’ responsibililty and therefore of greatest interest to him.

5.3
Basic requirements for the authorization of parcel labels
printed by the customer
After the system has completely installed at the customer’s, the attending depot applies for approval at the DELICom DPD GmbH & Co. KG.
The following aspects are minimum requirements for the parcel label printed by the customer and they are unalterable
§ correct group of numbers for parcel labels is used
§ up-to-date DPD routing file is used
§ correct address of the receiver is filled in
§ original parcel label on carrier material (no copies)
§ if routing is done by the customer, at least one label with parcel code 01 for normal parcel and at least one label with parcel code 02 for small parcel (if used also one label with parcel code 03 for Garantiepaket) must be forwarded
§ if service satellites are used at least one label for each satellite must be forwarded
§ if foils are used, these must be forwarded, too
§ if the label shall be glued on, the original cardboard with the glued parcel label is needed
§ technical requirements according to the check list (´5.4)

Résumé
Parcel labels can only be authorized, if they accomplish the requirements of this documentation. The DELICom DPD GmbH & Co. KG can revoke the authorization if serious defects as to quality occur. The authorization method for parcel labels printed by the customer is represented in the following scheme: Here we want to point out that the method previously mentioned may take some time because of the iterative process that is generally needed to achieve the necessary quality. Developmental periods of 1 to 6 months are possible.
The developed standard systems already accomplish the demanded quality. In this case, an authorization for printing may be given without complication after the pattern has been forwarded for approval.

Epilogue
In regard of data and material flux the DPD is based on a barcode system. Without this system, the DPD cannot work with the reliability and safety you are used to. Thus each DPD parcel needs two barcodes: the parcel label number barcode and the so-called routing barcode.
There are many ways to apply all this information on DPD parcels. Mainly, DPD standard products and information printed by the customer are employed.
This documentation represents the technical standard for all bar coded information carriers in the DPD and its partners which is vital in order to work with homogenous technical data through the whole DPD system. At this place we would like to apologize for the quite complicated method of authorization for customers who wish to print parcel labels themselves. But this is obligatory, so that the DPD can in future guarantee for the high quality standard our customers are used to.
For using both standard parcel labels and parcel labels printed by the customer it appears advisable to read the concerning chapters in this documentation to get the necessary detailed information.
We wish you success and a good co-operation with the DPD. Yours,
