1. Record a Broadcast Voice File. 2. Login to the VoiceConnect site and
Create a Broadcast List. 3. Schedule a Broadcast.
4. View the Progress of, Cancel/Kill, or Suspend a Broadcast.
You need your:
1. 10-digit voicemail number. 2. Your Voicemail password.
Step 1. Dial your 10-digit voicemail number. You will hear your personal greeting.
Step 2. Press * while your greeting is playing. The automated attendant will say, “Please enter your security code.”
Step 3. Enter your security code and press the # key. After a brief pause, you will hear the attendant say, “You have _ voice messages …Main Menu...”
Step 4. Press “2” (Broadcast Menu).
Step 5. Press “1” to record your Broadcast Voice File. The attendant will say, “Begin recording at the sound of the tone.”
Step 6. Say your message. Then wait for the attendant to speak. Do not press any more keys until you are prompted. The attendant will say, “To review, press “1”. To re-record, press “2”. If you are satisfi ed with your message, press #. To return to the previous menu, press *.”
Note: If you intend to allow broadcast recipients to press a key to reach a live operator or press a key to opt-out of future broadcasts, please include these options in your broadcast message. “0” is the typical key for a live operator. “9” is the typical key used for an opt-out option.
Step 7. Press “1” to review your message.
Step 8. To re-record, press “2” and return to Step 6.
If you are satisfi ed, press # to save the recording. The attendant will ask you to enter a document number to save. This number may be any number from 1 to 1000. Use a different number for each message.
Step 9. Enter the number and press the # key. If this extension was not previously recorded, you will hear, “Document saved.” Go to Step 10.

Step 1. Open Internet Explorer. Type in our web address, www.VoiceConnectInc.com,
and hit Enter. You will see the
VoiceConnect Home Page.
Step 2. Click the gray box, located toward the middle of the right-hand column on this page, that says “Existing Customers Click Here to Login to your Virtual Offi ce.” You will see the Virtual Offi ce Login screen.
Step 3. Enter your 10-digit User Name in the “Username” fi eld. Your User Name is your voicemail number. Enter your User Name without dashes.
Step 12. Click “Create.” At the bottom of the screen, the message “List Added” will notify you that your list has been created.
Step 13. To create a Broadcast list by uploading a data fi le, position your mouse pointer on “Broadcast” in the top navigation bar. Do NOT click.
Step 14. Slide the mouse pointer down to “List” in the drop-down menu and over to “Create from File (Upload).” Now click.

Step 5. Hit Enter or click the “Login” button. You will now see your Dashboard.
Step 6. To view your list of available Voice on Demand fi les, position your mouse pointer over “Broadcast” in the navigation bar.
Step 7. Slide the pointer down to “Voice Files” and click. You will see your “Voice on Demand” screen. From here, you may Play, Delete, Copy, or Forward a fi le.
Step 8. To create a Broadcast list, you may enter phone numbers manually, upload numbers from a data fi le, or build a fi le from your received calls. You may modify existing lists.
To create a Broadcast list manually, position your mouse pointer on “Broadcast” in the top navigation bar. Do NOT click. A menu will drop down under “Broadcast.”

Step 9. Slide the mouse pointer down to “List” in the drop-down menu and over to “Create.” Now click. You will see the “List Creation” screen.
Step 10. Enter a “Broadcast List Number” and a “Broadcast List Description.” Choose meaningful names to aid your memory regarding the list contents, as in this example.
Step 11. Enter up to 100 telephone numbers (with extensions, if applicable). Include a “1” before the area code if the number is not in the 404, 678, or 770 area codes.
Step 15. Enter a “Broadcast List Number” and a “Broadcast List Description.” Choose meaningful names to aid your memory regarding the list contents.
Step 16. Click “Browse” to fi nd the data fi le on your computer. The fi le must be Comma Delimited (Comma Separated, or CSV). Click the online “help” button for more specifi cs.
Step 17. Select the fi le and click “Upload.”
Step 18. To create a Broadcast list from received calls, position your mouse pointer on “Broadcast” in the top navigation bar. Do NOT click.
Step 19. Slide the mouse pointer down to “List” in the drop-down menu and over to “Create from Rcvd Calls.” Now click.
Step 20. Enter a “Broadcast List Number” and a “Broadcast List Description.” Choose meaningful names to aid your memory regarding the list contents.
Step 21. Enter a “Start Date” and an “End Date” to see a list of callers who fall within the requested time range.
Step 22. Click “Create.” You will see the “List Update” screen.
Step 23. Review the list and click “Update” to save this broadcast list. All redundant numbers are automatically removed. You may delete any numbers you wish to exclude.

Step 5. Hit Enter or click the “Login” button. You will now see your Dashboard.
Step 6. To schedule a Broadcast Voice Message, position your mouse pointer on “Broadcast” in the top navigation bar.
Step 7. Slide the mouse pointer down to “Schedule” in the drop-down menu and over to “Message.” Click. You will see the “Schedule a Voice Message Broadcast” Screen.
Step 8. Type the name you want to assign to this broadcast in the “Broadcast Name” box.
Step 9. Use the drop-down menu to the right of “Select a Broadcast List” to select the name of the list to which you will broadcast. You named this list in Section II.

Step 10. Select a fi le from the drop-down box next to “Live Answer File” that you would like to play should a person answer the phone during your broadcast. The fi le must be .wav format.
Step 11. Select a fi le from the drop-down box next to “VM Answer File” that you would like to play when a person’s voicemail answers during your broadcast. This fi le must also be .wav format.
Step 12. In the “Max Attempts” fi eld, enter the number of times you would like for the system to call when a particular number on your broadcast list gives a busy signal or “no answer.” The default system setting is 3 attempts.
Step 13. Leave the “Max Ports” fi eld set at 10. Please do not change this setting.
Step 14. Enter a “Broadcast Start Date” in the format: YYYY-MM-DD HH:MM:SS (year, month, day, hours, minutes, seconds) as shown below. Here, the time the broadcast will begin is highlighted in blue.
Note: The time you enter in “Broadcast Start Date” is based on the “Time Zone” you selected in your virtual offi ce. To check your time zone setting, return to your “Dashboard” and locate the “Time Zone” box in the lower right hand corner of your screen. As shown below, select your time zone from the dropdown list, and indicate whether you want to “Respect Daylight Savings” Time (if in doubt, select “Yes”). Click “Update.” Then return to this step.

Step 15. If you wish to limit broadcast calls to certain hours during the day, click the box to the left of “Restrict Broadcast to the following times.” Then enter the “Start Time” and “End Time” for calls to be made. Use the 24-hour time format when entering these times. For example, the default setting is 08:00:00 (8am) to 18:00:00 (6pm). Please see below.
Step 16. If you wish to suspend your broadcast for a specifi c period during the day, click the box to the left of “Suspend Broadcast.” Then enter the “Start Time” and “End Time” during which calls will NOT be made. Use the 24-hour time format when entering these times. For example, the default setting is a one-hour lunch window beginning at 12:00:00 (noon). See below.
Step 17. To allow broadcast recipients to press a key and transfer to an operator, click the box to the left of “Permit route to Live Operator.” If you do NOT want to utilize the live operator option, please skip to Step 20.
Note: If you did not include this option and key when you recorded your voice fi le, please return to Section I and re-record the voice fi le.
Step 18. Enter the operator number to which broadcast recipients will be transferred in the fi eld to the right of “Operator Number.” Place a “1” before the area code if you are outside the Atlanta area.
Step 19. Enter the one-digit number that recipients should press to transfer to the operator in the fi eld to the right of “Operator Key.” See the completed example below.
Step 20. To allow broadcast recipients to opt-out of future broadcasts, click the box to the left of “Permit Opt-Out of broadcast list.” Then enter the key they should press in the fi eld to the right of “Opt-out Key.” The default key is 9. Note: If you did not include this option and key when you recorded your voice fi le, please return to Section I and re-record the voice fi le.
Step 1. From your Dashboard, position your mouse pointer over “Broadcast” in the navigation bar.

Step 3. Select “Message” in the drop-down box to the right of “Select a Broadcast Type,” as shown below.
Step 4. If your message is scheduled to broadcast today, click “View.” You will see a screen of scheduled voice broadcasts. Note: If you want to view a broadcast that is scheduled for a future date, enter that date and the time the broadcast is to BEGIN in the box to the right of “Broadcast Time End” on the “View Scheduled Broadcasts” screen. Enter the date and time in the format: YYYY-MM-DD HH:MM:SS (year, month, day, hours, minutes, seconds). Use the 24-hour time format when entering these times. For example2:00 PM should be entered as 14:00. Click “View.” If you want to view a previous broadcast, enter the date that the broadcast began in the box to the right of “Broadcast Start Time.” Click “View.”
In summary, the start time of the broadcast you want to view must fall within the timeframes found in the “Broadcast Start Time” and “Broadcast End Time” boxes.
Step 5. If your broadcast is already in progress or completed, click the circle under “Rep” next to the broadcast name to generate a broadcast report. A sample report is shown here. Click “Refresh” to update the report.
Step 6. To change a scheduled broadcast that is not already in progress, click the circle under “Sel” next to the broadcast name that you want to modify. The voice broadcast settings will appear, and you may make changes as necessary.

Step 7. To save your changes, click “Update” at the bottom of the screen.
Step 8. To cancel (kill) or suspend a scheduled broadcast that is not already in progress, click the circle under “Sel” next to the broadcast name that you want to modify. The voice broadcast settings will appear.
Step 9. To suspend the broadcast until a later time, click “Suspend” at the bottom of the screen.
