Introduction
This document describes how-to use and benefits on the Extended Communication Server Fax server feature which allows you to:
- Send faxes from your e-mail tool (Mail2Fax) - Receive faxes in your mailbox (Fax2Mail) - Store received faxes
- Send faxes from a printer (Print2Fax)

Sending a Fax from your Virtual Desktop
Fax sending from the virtual desktop is managed as an e-mail. To send a fax:
1. Open your virtual desktop 2. Click Compose fax
3. Enter recipient name, fax number, subject and text
A file can also be attached.
4. Click Send

Sending a Fax from your E-mail Client Software
You can use your e-mail client software to send a Fax (for example,Mozilla Thunderbird). In this case, fill the field to with the following syntax: recipient first name recipient last name <ExitprefixFax#@fax.ecshostname>

An add-in has been developed by Alcatel-Lucent Enterprise for Outlook 2003 and Outlook 2007 to make sending faxes easy.

Installing the Fax Add-in
The fax add-in is downloaded from the Extended Communication Server server:
1. Open your virtual desktop
2. Click the icon (top right of the window)

3. Select the add-in to download according to the e-mail client installed on your system 4. Execute the downloaded file to install the add-in

Configuring the Fax Add-in
To configure the fax add-in:1. Open your Outlook application 2. Navigate to Tool > Options 3. Select the Fax Settings tab
The fax setting window is displayed.

4. Enter the Fax server domain name (example fax.myserver.com) 5. Enter the PBX external prefix (typically 0 or 9 is used)
6. Select the Country of the installation
7. Optionally enter the Local area code of the installation (if the country manages local
areas)
8. Click OK to validate

Sending a Fax via the Add-in
To send a fax:1. Open your e-mail client (Outlook 2003 or Outlook 2007) 2. Click New (or Replay)
3. Enter contact names or fax numbers in fields to, cc or cci in the same way as for a
standard e-mail
4. Enter subject and text

5. Click Send a Fax
The add-in translates contact names to fax numbers using the address book. When several fax numbers are found for a contact, the add-in selects it in this order:
a. Fax office b. Fax other c. Fax home
The add-in converts fax number as described in§ Fax Number Processing.

Sending a Fax as a Printer
You can send a fax directly from a document. To do that you should first install the printer driver provided by your Extended Communication Server administrator on your PC:
- Uncompress the fileEFS_client.zipprovided by your Extended Communication Server administrator
- Launch the installer setup.exe then follow the instructions to install the PrintToMail component.
A new printer is installed on your PC.
Once the new printer is installed, you can use it as a standard printer. It opens automatically a new e-mail from the messaging client installed on the PC with the document in attachment. Enter the called fax number as described in§ Sending a Fax from your E-mail Client Software

Receiving a Fax
You can receive faxes directly in your mailbox if the administrator has assigned you a fax number. The faxes received can be distinguished from other e-mails with the flag FAX (See
figure: Received Fax Example).

Storing Received Faxes
All received faxes are stored by default in your mailbox.
For more comfort, you can redirect all received faxes to a specific folder by implementing a
filtering rule.
For example, you can redirect automatically all your e-mails which contain the subject Fax
Received to aFAXfolder.

Fax Number Processing
When the add-in is configured for the ECS, the Extended Communication Server fax server provides a called fax number compatible with its associated Alcatel-Lucent OmniPCX Office Communication Server and the public network:
- An external prefix is added (when required) - The country code is removed for national calls - The local area code is removed for local calls
The Extended Communication Server fax server domain address is added to all numbers. The Extended Communication Server fax configuration is performed as shown in figure: Fax Setting Window.
Example 1:
The user is located in Bonn (Germany). The user wants to send a fax to a customer in Berlin (Germany). Initial number:+49 30 838 5652
After Extended Communication Server translation:30 838 5652(the country code is removed) Finally, the fax server domain address is added:[email protected]
Example 2:
The user is located in Berlin (Germany). the user wants to send a fax to customer in Berlin (Germany). For a caller located in Berlin, the local area number is not required.
Initial number:+49 30 838 5652
After Extended Communication Server translation:838 5652(the country code and the area code is re-moved)
The fax server domain address is added:

In the case of a caller located in Berlin with a PBX configuration where an external prefix number is re-quired, the PBX external prefix is added to the number.
Initial number:+49 30 838 5652
After Extended Communication Server translation:30 838 5652(the country code and the area code is removed)
If the PBX external prefix field is configured to 9, the called number is translated to9 308385652
