WHO ARE OUR EXHIBITORS?

Participation in LABACE 2021 is limited to products and services

directly associated with

manufacturing, design, operation or services related to executive aircraft.

LABACE Management reserves the right to deny space for any company whose products and services are not

relevant to business aviation.

LABACE MANAGEMENT RESERVES THE RIGHT TO change the event layout (including, but not limited to circulation space) without prior notice in order to adapt to fire prevention, safety, technical and accessibility

regulations or to offer, in its own judgment, a safer, more satisfying, attractive and successful event.

STAND CONFIGURATION IN THE EXHIBITION PAVILION

STANDARD BOOTH, PERIMETER, ISLAND, PERIMETER ISLAND AND AT THE PAVILION ENTRANCE

Our Standard Booth can be set as one or more units grouped in a straight line and bounded by other booths on the sides and rear.

Perimeter booths are standard booths supported by the pavilion’s outside walls.

The Island Booth has circulation aisles on all four sides and requires a much larger exposition area. In this sort of booth, signing, installation or suspended equipment are not allowed.

Exhibition Pavilion Island Perimeter Booths require wall finishing also in the perimeter area. In this sort of booth, signing,

installation or suspended equipment are not allowed.

The assignment of 6 linear meters of booth parallel to the entrance of the exhibition hall will only be allowed if the exhibitor reserves a minimum of 36m² of total booth area.

Exhibitors with any of the above configurations must follow the regulations below.

Exhibition materials, equipment and identification signs will only be permitted up to a maximum height specified in the setup technical manual with an unlimited horizontal extension, being permitted to occupy the entire area of the stand.

More information will be provided in the Exhibitor’s Service Kit which will be distributed on a date to be informed by LABACE Management.

IMPORTANT: Booth plans must be sent at least 30 days before the initial set up date. (Chalet Village plans: deadline is October 1st - 2021 with set up starting on October 31st - 2021;

Exhibition Pavilion plans: deadline is October 2nd - 2021, with set up starting on November 1st - 2021).

If the plans are not delivered by the specified date, LABACE Management will charge an additional fee of R$ 1800.00 - approximately US$ 340.00.

Although LABACE Management provides carpeting for the corridors, exhibitors are responsible for their own carpeting within the booth area. Exhibitors are also responsible for the structure dividing their boot from others, with back and side walls of a minimum height of 3.30 meters (10’8”).

CHALET VILLAGE BOOTHS WITH MEZZANINE

LABACE must approve all Chalet Village booths with mezzanines.

Projects must indicate the name of the event, booth number, specify the maximum number of occupants allowed. It must also include the ART (notation of technical responsibility) and carry the stamp and signature of an engineer certifying that the platforms will bear the maximum weight of the occupants.

Some multi-story or covered stands and chalets require a fire brigade, structural calculations, emergency exits, etc. in line with state and city law. Tents, canopies and other coverings should have a detailed plan describing the size, height, localization, points of fixation and an official certificate attesting that the material is fire retardant. The safety and fire prevention regulations will be available in the Exhibitors’ Services Kit, which will be distributed on a date to be informed by LABACE Management.

Chalet Village plans must be sent to LABACE management until October 1st, 2021.

STATIC DISPLAY AREA AND CHALET VILLAGE

Exhibitors should not design chalets that cannot be built and dismantled within the timetable established by LABACE Management.

More information will be provided in the Exhibitor’s Service Kit which will be distributed on a date to be informed by LABACE Management.

SETUP AND BREAKDOWN OF EXPOSITION SPACES

To ensure that set up, operation and breakdown of the booths is organized and efficient, LABACE Management will indicate official suppliers of support services (listing available in the Exhibitors’

Services Kit, with distribution date to be informed by LABACE Management). LABACE Management will be responsible for the service quality and for guaranteeing proper pricing, as well as interceding on behalf of the Exhibitor in case of inadequate service or abusive fees.

SET UP SCHEDULE AND BOOTH DECORATION:

SET UP

CHALLET VILLAGE

OCTOBER 31st to NOVEMBER 05th from 8am to 6pm EXHIBITION PAVILION

NOVEMBER 01st to 05th - from 8 am to 6pm DECORATION

NOVEMBER 06th to 08th - from 8 am to 6pm.

No construction of any kind will be permitted after 12 pm (noon) on November 5th, 2021.

Note: all booths must be decorated by 6 pm on Monday,

November 8th 2021, so that circulation aisles are carpeted in the Exhibition Pavilion and necessary equipment are installed in the Static Display area. If the booth area is not completed by that time, LABACE Management will consider the reservation as canceled and reserves the right to use the space as it deems appropriate.

More information will be provided in the Exhibitor’s Service Kit which will be distributed on a date to be informed by LABACE Management.

BREAKDOWN SCHEDULE:

Removal of material (furniture and electronic equipment) from the Airport will start at 12pm (noon) on Friday, November 12th, 2021.

Aircrafts should leave the static display area by 8pm on Saturday, November 13th, 2021. Other items must be removed from the Airport by 6 pm on Sunday, November 14th, 2021

THURSDAY, NOVEMBER 11, 2021

From 12pm to 7pm - Exhibition and Static Display areas functioning.

Exhibit areas should always be staffed during the event. Exhibitors will be admitted at 9:00 AM every day in order to prepare the

venue. No activity, except for booth preparation, can be scheduled outside official hours of the event.

LABACE Management reserves the right to alter the schedule above.

Note: the booths should not be dismantled before 7:30 pm on Thursday, November 11, 2021 (including moving displayed aircrafts). Exhibitors who violate this rule will be ineligible for the 2022 space lottery for Priorities A, B, C booths in the exhibition pavilion and the external area. LABACE Management reserves the right to dispatch (with a fee charge) packages, boxes, crates, etc., left in the exhibition areas after the days and times established for removal. In these cases the exhibitor will be responsible for all costs, unless there’s a special agreement with LABACE

Management.

STATIC DISPLAY AREA

The movement and placement of aircrafts in the Static Display Area begins on Saturday, November 6, 2021, at 7 am.

The movement of aircraft will obey arrival order, respecting the position of each Exhibitor’s Chalet. The process will be

coordinated by LABACE Management. The timetable informed by LABACE Management via the Aircraft Static Display Agreement, cannot be altered to accommodate Exhibitors’ requests. If an aircraft is not positioned at the specified time and place, the next aircraft in line will be positioned, and the skipped aircraft cannot be positioned later. For reasons of safety, LABACE Management reserves the right to deny the positioning of aircraft outside the established timetable. We recommend obtaining an aircraft slot with a local operator at the Air Navigation Management Center – CGNA. Landing, stay and navigation fees (airport charges) are the exhibitor's responsibility. The Static Display cannot be dismounted before 7:30 pm on Thursday, November 11, 2021, including

removal of the aircraft.

The online form should be filled out with the aircraft information (serial number, ETA etc.) by November 2, 2021. Failure to follow the assigned timetable may result in inability to participate.

The use of any aircraft Auxiliary Power Unit (APU) in the Static Display Area during the event is not allowed, under any

circumstances. No kind of support vehicle may access the Static Display Area space during the event’s official days of operation (November 9th to 11th, 2021).

DEMONSTRATION FLIGHTS: Aircrafts displayed are not allowed to carry out demonstration flights.

More information will be provided in the Exhibitor’s Service Kit which will be distributed on a date to be informed by LABACE Management.

Approved Booth/Chalet plans will be returned by email to the Exhibitors. Please, do not plan booth construction before the approval. Other rules may still be applied by the Airport

Administration and by LABACE. Exhibitors will be notified via the Exhibitors’ Kit, by email or personally, depending on the situation.

RESERVED SPACE

All exhibit and demonstration material should be limited to the space acquired by the Exhibitor, whether in the Exhibition Pavilion or in the Airport Static Display Area. Therefore, please plan the size of the reserved spaces accordingly. The booth should be installed not exceeding the indicated area, so as not to interfere with

guests’ circulation.

NOISE LEVEL

LABACE Management reserves the right to restrict expositions which, due to noise, method of operation or any other reason, become inconvenient.

SUBLEASE OR SHARING OF EXHIBITION SPACE

No Exhibitor may donate, sublease or share the Exhibition Space acquired, in part or in whole, without the knowledge and consent of LABACE Management. Failure to previously inform LABACE Management (even if only to disseminate another company’s products or services) may result in an additional fee of a minimum of R$ 1014.00 (approximately US$ 190.00) per m² of the space shared per company, or R$ 92.40 (US$ 17.40) per m² of static display area per company. Promotional material of any nature may be distributed or divulged only in the respective Exhibitor’s space.

No exhibitor is authorized to distribute promotional material outside of its immediate exhibition space without prior written approval by LABACE Management.

DIRECT SALES

Direct Sales in the Exhibition Pavilion and the Aircraft Static Display Area are limited to the exhibitor’s space. Prospecting by exhibitors outside their stand or static display space is strictly forbidden. Prospecting is also prohibited in common and public areas of the event.

RULES FOR EXHIBITION SPACE

No display piece, or signage, should be affixed with adhesive tape, nails, tacks, staples, glue or any other material, to the ceiling, walls, doors, windows, painted surfaces, columns, marbles, or cloth in any way; no holes are allowed in the walls, floors, runway or ramp. Also it’s not allowed to paint signs, displays or other objects. The use of decals and similar materials is prohibited. Exhibitors will be fined in case of damage resulting from violation of these rules. Booths should receive finishing (including the rear) to prevent any inconvenience to other Exhibitors, Representatives, or LABACE Management.

SUSPENDED SIGNS, MATERIALS, COMPONENTS, ETC.

For safety reasons, suspended signs or other material may not, in any circumstances, be affixed to the ceiling or to the overhead beams in the Exhibition Hall. Helium balloons and animals,

including pets, are not allowed in the hall or the static display area of the airport.

INFRACTIONS

By signing LABACE registration form and contracts for the Exhibition Hall and Static Display Area, the Exhibitor agrees to submit to the Rules and Regulations as interpreted by LABACE Management. Out of respect for all participants, Exhibitors who violate the LABACE Rules and Regulations will be warned to make necessary changes in their area, assuming responsibility for all related expenses. If changes cannot be made in a satisfactory manner, LABACE Management reserves the right to revoke any and all rights to the exhibition area, and the Exhibitor will lose the entire value paid. Infractors will be ineligible for the space lottery for Priorities 1 and 2 in 2022 and/or will be penalized in reference to the location of their aircraft in the Static Display Area.

RESPONSIBILITIES

The Exhibitor is the only responsible for safe keeping its materials, devices and items on display at all times.

LABACE Management will provide security when the Exhibition Hall and Static Display Area are closed. However, LABACE Management, the Airport and Infraero are not responsible for any loss, theft, damage, injury or destruction of the exhibitor’s

property or the property of its agents or employees, by or from any cause whatsoever. Exhibitor expressly releases LABACE

Management, the Airport and Infraero and their respective officers, employees, members and agents from any and all claims for such loss, theft, damage, injury or destruction, or for loss of goodwill or damage to reputation (whether or not in relation to any property).

Exhibitors must comply, in all cases, with the Rules and

Regulations of LABACE, the Airport and Infraero. The Rules and Regulations are subject to change prior to the start of the event.

Any lack of compliance will result in a breach of contract.

Further, by signing the LABACE 2021 registration form and contract for the Exhibition Hall or the Static Display Area, the Exhibitor agrees to abide by our Rules and Regulations (as interpreted by LABACE Management) described in the LABACE 2021 Exhibitor’s Brochure, available on our website:

www.abag.org.br/labace.

INSURANCE

It is mandatory that Exhibitors have a Civil Liability Insurance for Fairs and Exhibitions with coverage for losses, such as theft and property damage. For this, the Exhibitor assumes full

responsibility and agrees to protect, secure, defend and hold harmless LABACE Management, the Airport and Infraero and their respective officers, employees, members and agents from any and all claims, loss, injury and damage to persons or property,

governmental charges, fines and legal fees arising from or caused by Exhibitor’s activities, such as installation, removal, maintenance,

occupancy or use of the exhibition areas, or any part thereof, or even resulting from Exhibitor’s participation in other activities linked to the Exhibition.

More information will be provided in the Exhibitor’s Service Kit which will be distributed on a date to be informed by LABACE Management.

Exhibitors cannot set up their booths without having delivered a copy of the Liability Insurance for Exhibitions and Fairs covering LABACE 2021.

SECURITY

While LABACE Exhibition Hall and Static Exhibition Area are open, there will be a security team at the exhibition perimeter. However, LABACE, the Airport and INFRAERO are not responsible for loss and damage to the Exhibitors’ property, as established in the section “Responsibility”.

It is recommended that Exhibitors hire additional insurance to cover losses due to theft and property damage. Request forms for additional security to the booth and static exhibition area will be available in the Exhibitor’s Kit, which will be distributed on a date to be informed by LABACE Management.

GENERAL INFORMATION IMAGE USE AUTHORIZATION

All LABACE participants authorize the use and publication of your image by LABACE for any usual purpose, including LABACE advertisements or related activities.

CLEANING

LABACE will provide for cleaning circulation areas in the hours before the scheduled opening of the fair every day. However, this service does not include cleaning, organizing or preserving the materials on display. Exhibitors must keep their areas clean and organized. Request forms and more information on cleaning will be provided in the Exhibitor’s Kit.

CARPET COATING

LABACE Management provides carpeting for the corridors and circulation areas. Exhibitors who prefer raw space and chooses to build their own booths are also responsible for their own

carpeting. PREMIUM packages already include installed carpeting.

Exhibitors should have LABACE’s approval to supply aisle carpeting in the areas between booths. The charge will be made according to the exposition area.

SETUP, MAINTENANCE AND BREAKDOWN STAFF

For safety reasons the use of IPE (individual protection equipment) during setup, maintenance and breakdown is mandatory and it is absolutely forbidden the access the area wearing bermudas, shorts, sandals and flip-flops.

Setup credentials are mandatory, personal and non-transferable and identification may be required at any time during the entire setup, maintenance and breakdown periods. Setup credentials do not allow access during the event.

DRESS CODE

Due to the professional nature of the business aviation industry, business attire is preferred.

VISITORS

LABACE is a trade show for executive aviation products. Among the exhibitors are the world’s largest aircraft and product

manufacturers and service providers for companies and/or aircrafts. Being strictly a business fair, some rules have been determined to ensure that LABACE remains focused on its objectives.

PAY ATTENTION TO THE FOLLOWING RULES

For safety reasons, it is strictly forbidden for visitors to enter the event wearing bermudas, shorts, sandals and flip flops. Your credential is personal and non-transferable and your personal identification could be requested at any time. It’s mandatory to use your credential during the entire time of your visit and stay at LABACE. Children under the age of 14 are strictly prohibited from accessing the event. Minors between 14 and 18 years old can only enter if accompanied by a responsible adult who will sign a declaration of responsibility. The credential will be valid for all three days of the event, but does not include access to paid courses, lectures or seminars. Public employees identified by ANAC, civil servants of the Air Force Command, the Brazilian Navy, the Brazilian Army and state Military Police do not pay admission to LABACE. show your ID document or employee ID directly at the event box office.

ELECTRICITY

Electric current can be used to operate equipment that does not produce inconvenient noise.

SMOKING

Smoking is permitted at LABACE, exclusively in the designated areas.

AIRPORT FIRE PREVENTION REGULATIONS

All exits and corridors that lead to exits must be kept free at all times. No furniture, sign, scaffolding, chair or showcase should obstruct the corridors. Fire hoses, extinguishers, sprinklers or other fire safety equipment should not be hidden, obstructed or

unaccessible. All material used in the event, decoration or temporary finishing should be certified as flame-retardant. No inflammable material of any kind should be used. All materials and installations should comply with LABACE rules.

SHIPMENTS AND STORAGE

More details on shipping and storing material will be available in the Exhibitors’ Kit, which will be distributed on a date to be informed by LABACE Management.

SPECIAL CONNECTIONS

Water, sewage, electrical and Internet services will be available only through the event’s official support services providers.

Request forms to the services above or other services for the booth will be included in the Exhibitors’ Kit.

EXHIBITORS’ KIT

The Exhibitors’ Kit (login and password for online manual and setup manual) will be distributed to all exhibitors. The package will include the following request forms:

• Furniture

• Rental of materials

• Carpet and installation

• Shipping and storing materials

• Additional KWA

• Catering.
