You define a location for each facility you want to use in Kewill Transport. You can define docks at locations that belong to your company.
For example, an outbound shipper delivers products to its customers. The shipper defines the following locations:
v The shipper's plants or factories. Shipments depart from these locations.
v Customer warehouses or distribution centers. The shipper delivers to these locations.
You can define only shipping and receiving docks for locations that are owned by your organization. You cannot define docks for locations that are owned by a customer, supplier, or third party.
Defining a location in Kewill Transport is a multi-step process. When you add a location, you define the general location profile and then define the dock profile.
The following illustration shows the process for defining a location that has docks.
The illustration shows how to navigate the location setup process in Step 2 of Shipper Configuration.
Process for Defining Locations With Docks
When you define a location in Kewill Transport, you can configure the docks at that facility.
About this task
You define locations and docks in Step 2 of Shipper Configuration. For general information about the location setup process, see the Kewill Transport Shipper Configuration Guide.
Procedure
To add a new location and configure the dock profile, follow these steps:
1. Open the Set Up Locations page and click Add. The Add Location page opens:
a. Define the location address and other settings.
b. Set the Location Ownership field to Owned.
2. Click Continue to open the Add Location - Work Week Calendar page.
Use this page to define the hours of operation and days when the location is closed. Some organizations refer to this calendar as the dispatching calendar or the front-office calendar.
3. Click Continue to open the Add Location - Appointments and Calendar Rules page.
Use this page to define the following settings:
v Location contact
v Transportation modes that can make pickups and deliveries v Appointment restrictions
v Calendar rules that are more precise than the work week calendar you defined in Step 2
4. Define the docks and the dock usage rules for this location. The dock usage rules control when your carriers, customers, and suppliers can use this dock.
You can also define a calendar that applies only to this dock.

5. When you are done defining docks, click Continue on the Add Location -Docks page to open the Add Location - Partner Appointment Scheduling Profile page.
Use this page to define the carriers, customers, and suppliers that can make dock appointments at this location.
6. Click Continue to open the Add Location - Partner Load/Unload Profiles page.
Then click Add to open the Load/Unload Rate page. You can define loading and unloading profiles for the docks at this location.
For example:
v A supplier can make up to 12 delivery appointments per day at this location.
v Pallets can be unloaded at a rate of 25 per hour.
v Slipsheets can be unloaded at a rate of 22 per hour.
v Floor shipments can be unloaded at a rate of 65 per hour.
v The location can handle 48-foot and 53-foot dry vans, but cannot accept 57-foot dry vans.

Add Location Page
On the first page of the Add Location process, you define general settings for the facility.
For example, you can specify the following entries:
v Location address
v Pool point and cross dock settings v Stop priorities
After defining the basic location information, set the Location Ownership field to Owned. You can only define docks and for locations you own.
For more information about the settings on the first Add Location page, refer to the Kewill Transport Shipper Configuration Guide.
When you finish defining the fields on this page, click Continue to define the work week calendar for the facility.
Add Location - Work Week Calendar
Use the Add Location - Work Week Calendar page to define the work week calendar for this location. Some organizations refer to this calendar as the dispatching calendar or the front-office calendar.
The Add Location - Work Week Calendar page is the second step of the Add Location process. This page opens when you click Continue on the Add Location page.
Location Work Week
You can define the daily schedule for this location.
Kewill Transport automatically uses the time zone for this location when it calculates the location schedule. For example, a location in Baltimore would show as being open 9 a.m. to 5 p.m. EST. A location in Chicago would show as being open 9 a.m. to 5 p.m. CST.
To specify that the location is closed for a day, set the times to dashes as shown here: - - - to - - -.
Location Holidays
Use the following buttons to add or remove a location holiday:
Add
Opens the Add Holiday page, where you specify a date that this location is closed.
Remove
Deletes a holiday that you defined for this location.
When you finish defining the location schedule, you have the following options:
v Click Continue to define a location contact, appointment restrictions, and other settings.
v Click Back to return to the previous page.
v Click Cancel to exit without saving your location profile.

Defining Appointments and Calendar Rules
When you set up a location, you can define appointment restrictions and calendar rules that control dock appointments at the facility. You can also enter a contact person for the location.
About this task
Use the Add Location - Appointments and Calendar Rules page to define the shipping and receiving schedule for this location. If you do not set up any calendar rules, Kewill Transport uses the location work week calendar to manage
appointment scheduling.
Procedure
To define appointment and calendar rule settings, follow these steps:
1. Open the Add Location - Appointments and Calendar Rules page. This page is the third step in the Add Location process and the page opens when you click Continueon the Add Location - Work Week Calendar page.
2. Enter the name and telephone number for the contact person at this location.
3. Select the transportation modes that can make pickups and deliveries at this location.
4. Under Appointment Restrictions, select the settings to use for dock
appointments at this location. Kewill Transport uses these settings to determine when appointments can be scheduled.
These restrictions only apply to the docks at this location. If you do not set up any docks, Kewill Transport does not use these restrictions.
5. Under Location Operational Calendar Rules, you can manage the shipping and receiving schedule for the location. Some shippers refer to the operational calendar as the back-office calendar. This schedule can be different from the location work week calendar, which is referred to as the front-office calendar.
6. Under All Dock Calendar Rules, you can set up scheduling rules that are used for all docks at the location. The dock calendar rules allow you to define the dock schedule with more precision than the operational calendar you defined in Step 5.
7. When you finish defining the settings on this page, you have the following options:
v Click Save to create the location profile.
v Click Continue to open the Add Location - Docks page, where you can define the docks at this location. The Continue button appears for locations that your organization owns.
v Click Back to return to the previous page.
v Click Cancel to exit without saving your location profile.

Add Location - Appointments and Calendar Rules
Use the Add Location - Appointments and Calendar Rules page to define a location contact, appointment restrictions, and calendar rules.
The Add Location - Appointments and Calendar Rules page is the third step of the Add Location process. This page opens when you click Continue on the Add Location - Work Week Calendar page.
General Settings for Appointments and Calendar Rules
Define the following general settings on the Add Location - Appointments and Calendar Rules page:
Contact
Enter the contact person for this location. You can type in the name of a Kewill Transport user or a contact person who does not log on to Kewill Transport.
Contact Phone
Enter the telephone number for the location contact.
Supported Modes
Select the transportation modes that can make pickups and deliveries at the location.
This field is optional. If you do not select any modes, the location is available to all transportation modes.
Appointment Restrictions
Use the Add Location - Appointments and Calendar Rules page to define settings that control and restrict dock appointments.
Define the following appointment restriction settings:
Pickup Appointment Required
Specify whether you require carriers to make an appointment for pickups at this location.
If you select Yes, Kewill Transport sends an EDI 204 shipment update transaction to the carrier when a shipment is tendered. The transaction includes the dock contact information and provides a reminder to schedule the appointment.
Delivery Appointment Required
Specify whether you require carriers to make an appointment for deliveries to this location.
If you select Yes, Kewill Transport sends an EDI 204 shipment update transaction to the carrier when a shipment is tendered. The transaction includes the dock contact information and provides a reminder to schedule the appointment.
Dock Plan Window Option
Specify whether carrier appointments are required to fit within the planned departure window or planned arrival window of a shipment.
Select one of the following options:
Ignore plan window
Kewill Transport does not restrict carrier appointment times, based on the planned departure or arrival window. The carrier can make an appointment that is outside of the planned window.
Must be within plan window
The appointment time must be within the start and end of the planned departure or arrival window.
Must not precede plan window
The appointment time must be the same as or later than the start of the planned departure or arrival window.
Must not follow plan window
The appointment time must be the same as or earlier than the end of the planned departure or arrival window.
Dock Lead Time Option
Specify whether you require carriers to create a dock appointment a certain amount of time before the planned departure or arrival window.
You have the following options:
v Select No lead time requirement. There is no restriction on when the carrier can create a dock appointment.
v Select a specific lead time, such as 8-hour lead time requirement.
For example:
1. You set the Dock Lead Time Option to 4-hour lead time requirement.
2. You create a shipment with a planned departure window that begins at 2 p.m. on 15 May.
3. The carrier must create the pickup appointment no later than 10 a.m.
on 15 May.
Use the Dock Lead Time Option to control when your carriers set up new dock appointments. Use the Appointment Edit Lead Time setting to control when carriers can change an appointment.
Dock Calendar Option
If you define the Dock Lead Time Option, select which calendar Kewill Transport uses to calculate the lead time:
Work Week Calendar
Kewill Transport uses the work week calendar for the location to determine dock appointment requirements.
Operational Calendar
Kewill Transport uses the operational calendar rules for the location to determine dock appointment requirements.
Some shippers select Work Week Calendar so they can block carriers from making dock appointments for a time when the dispatching office is closed. For example:
v The docks at this location are open 24 hours a day, seven days a week.
v Your dispatching office is open from 7 a.m. to 7 p.m. Monday through Friday and is closed on weekends.
v You set the Dock Calendar Option to Work Week Calendar. You also set the Dock Lead Time Option to 4 hours.
v The carrier makes an appointment Sunday night for Monday. The earliest appointment the carrier can make is 11 a.m. Monday. The working calendar states that the dispatching office is closed Sunday and opens at 7 a.m. Monday. Kewill Transport adds the 4-hour lead time to the 7 a.m. start time to calculate an 11 a.m. appointment.
Earliest Appt Time
Select the earliest appointment time if you selected Work Week Calendar
For example:
v You define the work week so that your location opens at 7 a.m. every day.
v You define the Earliest Appt Time as 9 a.m. You do not want carriers to make appointments before 9 a.m. at this location.
If you selected Operational Calendar as the Dock Calendar Option, you do not set the Earliest Appt Time.
Appointment Edit Lead Time
You can restrict carriers from changing a dock appointment a specific amount of time before the current appointment.
Set the Appointment Edit Lead Time to a specific number of minutes, hours, or days.
For example:
1. You set Appointment Edit Lead Time to 2 hours.
2. The carrier schedules a dock appointment for 3 p.m. on 15 May.
3. The carrier cannot change the appointment after 1 p.m. on 15 May.
The default value for Appointment Edit Lead Time is 0 minutes. This default setting means that there is no restriction on when the carrier can edit a dock appointment. The carrier can update the appointment at any time.
If the shipper wants to restrict when carriers can edit a dock appointment, the shipper has to set Appointment Edit Lead Time to a non-zero value.
The Appointment Edit Lead Time option is different from the Dock Lead Time Option:
v The Dock Lead Time Option specifies when the carrier must make the original appointment.
v The Appointment Edit Lead Time specifies when the carrier can update an appointment.
Tip: The Appointment Edit Lead Time restriction only applies to carriers.
Your shipper users can still edit dock appointments after the Appointment Edit Lead Time expires. You might want to instruct your carriers to contact you if they are unable to change an appointment.
Location Operational Calendar Rules
Use the location operational calendar to define when the location is open for shipping and receiving operations. Some organizations refer to this calendar as the back-office calendar.
For example:
v The work week calendar for the location shows that the dispatching office is open Monday through Friday from 8 a.m. to 5 p.m.
v You define an operational calendar rule for the location, which shows that the warehouse and docks are open Monday through Saturday from 7 a.m. to 10 p.m.
If you do not define an operational calendar rule for this location, Kewill Transport uses the default operational calendar, which you define in Step 1 of Shipper Configuration.
You can define multiple operational calendar rules. For example, you might set up a rule to close a location for a single day so you can perform scheduled
maintenance. Your carriers, customers, and suppliers cannot make appointments for that day.
Use the following buttons on the Add Location - Appointments and Calendar Rules page to manage your calendar rules:
Add Rule
Opens the Add Operational Calendar Rule page, where you define a rule.
Edit Rule
Opens the Edit Operational Calendar Rule page, where you can modify a rule. Select a rule and click Edit Rule.
Remove Rule
Deletes a calendar rule. Select the rule and click Remove Rule.
All Dock Calendar Rules
By default, all docks use the location operational calendar rule. You can set up all dock calendar rules to add restrictions to the docks at this location.
For example, you might want to set up different calendar rules for the shipping docks and receiving docks at the location.

Add Rule
Opens the Add Operational Calendar Rule page, where you define a rule.
Edit Rule

Add Calendar Rule Page
Use the Add Operational Calendar Rule page and the Add Dock Calendar Rule page to define scheduling rules for your organization, a location, or a dock.
You can set up the following calendar rules:
Location Operational Calendar Rule
This rule controls the shipping and receiving schedule for a single location.
To define a location calendar rule, click Add Rule in the Location
Operational Calendar - Rules section of the Add Location - Appointments and Calendar Rules page.
All Dock Calendar Rule
This rule controls the schedule for all docks at a single location.
To define a dock calendar rule, click Add Rule in the All Dock Calendar -Rules section of the Add Location - Appointments and Calendar -Rules page.
Individual Dock Calendar Rule
This rule controls the schedule for a single dock at one location.
To define a dock calendar rule, click Add Rule on the Location Docks -Dock Calendar page.
Default Operational Calendar Rule
This rule controls the default shipping and receiving schedule for all of your organization's locations. Kewill Transport applies the default calendar to locations that do not have their own operational calendar rules.
You define the default operational calendar in Step 1 of Shipper Configuration.
You can define multiple calendar rules to create different versions of the calendar.
When multiple calendar rules exist for the same dock or location, Kewill Transport uses the effective and expiration dates along with precedence rules to determine which rule is in effect.
Calendar Rule Settings
Define the following settings for your calendar rule:
Effective Date
Enter the effective date for the rule. The default is the current date.
Expiration Date
Enter the expiration date for the rule. The default is the current date.
Recurrence
Select the daily structure for the calendar rule:
Fixed
Select this option to set up a rule for one or more consecutive days.
Use the effective and expiration dates to specify the duration of the rule.
Daily
Select this option to use the same calendar every day. The week begins on Sunday and ends on Saturday.
Weekly
Select this option to use the same calendar every day. If you select this option, use Weekly Day Start to specify the first day of the week.
