Use the Docks tab in the Execution module to manage your dock schedules and track appointments.

The Docks tab is the backbone of the Dock Scheduling application. The Docks tab provides two views for shippers:

Detail

Use the Detail view to manage appointments for multiple orders or shipments at a single location. It lists each shipment stop for dock appointment scheduling and management.

Day

The Day view provides a graphical view of the daily appointments for each dock, color-coded by shipment status.

To switch between the two views, shippers can select Detail or Day from the View By list on the Docks tab.

Carriers can only see the Detail view of the Docks tab. The View By list is not displayed for carriers. When carriers use the Docks tab, they can select a shipper from the Shipper list to manage appointments for that organization.

Default Docks Tab Settings

To speed up searches and data entry, select the default settings to use when you open the Docks tab in the Execution module. To define these default settings, click Optionsat the top of the main Kewill Transport window. When the Options page opens, click the Docks tab.

Select the options you want to use as your default dock appointment settings:

Default Location

You can select a default location for searches on the Docks tab.

Docks Tab - Default to Day View

Select whether the Docks tab in the Execution module defaults to the Day view or the Detail view:

Yes When you open the Docks tab, the Day view is displayed by default. Select this option to manage appointments using the daily dock schedule at a location.

No When you open the Docks tab, the Detail view is displayed by default. Select this option to manage appointments for orders or shipments at a location.

The default selection is No.

Default to Appointments Needed

Select the default Appointment Status on the Docks tab - Detail view:

Yes When you open the Docks tab, the Appointment Status is set to Appointments Needed. You can search for shipments and orders that do not have an appointment.

No When you open the Docks tab, the Appointment Status is set to Appointments Scheduled. You can search for shipments and orders that have an appointment.

The default selection is No.

Default New Appointment Tab

Select the default tab that is displayed on the New Appointments page:

v Pickup Appointment v Delivery Appointment

The default selection is Pickup Appointment.

When you finish defining the default settings to use for the Docks tab, you have the following options:

v Open a different tab of the Options page.

v Click Save to save your changes and close the Options page.

v Click Cancel to close the Options page without saving your changes.

Docks Tab Buttons

Use the buttons on the Docks tab to manage your appointments.

The following buttons are available on the Detail view or Day view of the Docks tab:

New Appts

Opens the New Appointments page, where you can enter one or more appointments.

Use the New Appointments page to add appointments for orders that have not been entered in Kewill Transport. You can add the dock appointment first and then submit the order to Kewill Transport later.

To add an appointment for an existing order, click Make Appts instead of New Appts.

Make Appts

Opens the Schedule Appointment page, where you can enter appointments for an existing order or shipment. Select one or more stops and click Make Appts.

The Make Appts button is only displayed on the Detail view when you set Appointment Statusto Appointments Needed.

Tip: On the Docks tab - Day view, you can double-click in a time slot to open the Schedule Appointment page. You can make a new appointment for an open time slot or update an appointment for a scheduled time slot.

Edit Appt

Opens the Schedule Appointment page, where you can update appointments. Select one or more stops and click Edit Appt.

The Edit Appt button is only displayed on the Detail view when you set Appointment Statusto Appointments Scheduled.

Cancel Appt

Opens the Cancel Appointment page, where you can delete an appointment. Select the appointment and click Cancel Appt.

The Cancel Appt button is only displayed when you set Appointment Status to Appointments Scheduled.

Note: Canceling an appointment does not cancel the order that is associated with the appointment.

Print Summary

Opens the Shipment Summary document in a separate browser window.

You can view or print the document.

Print Detail

Opens the Shipment Detail document in a separate browser window. You can view or print the document.

Print BOL

Opens a Bill of Lading for the shipment as an Adobe Acrobat PDF file. You can view or print the document using Acrobat Reader. The following Bill of Lading documents are available:

v If the shipper organization is enabled to receive custom forms, Kewill Transport displays the form the shipper designed. To use this feature, the shipper must be licensed to print custom forms. For more

information, contact your Kewill Transport enrollment manager or Customer Support.

v By default, Kewill Transport provides a Bill of Lading form that is based on Voluntary Interindustry Commerce Solutions (VICS) standards.

Notes/History

Opens the Notes/History page, where you can view the history of an appointment.

Status

Opens the Update Status page, where you can change the shipment status.

View Details

Opens the Shipment Details page, which displays information about the shipment and each stop.

Docks Tab - Detail View

Use the Detail view of the Docks tab to manage appointments for multiple orders or shipments at a single location.

When you work with the Detail view, use the following options to control how orders and shipments are listed:

View By

Shippers can use this option to toggle between the Detail view and the Day view.

Carriers do not select the View By option. Carriers use only the Detail view and cannot access the Day view.

Shipper

Carriers can select a single shipper to manage appointments for that organization. This option is not displayed for shippers.

Appointment Status

Select one of the following options:

Appointments Needed

Kewill Transport displays orders or shipments that do not have a dock appointment.

Appointments Scheduled

Kewill Transport displays orders or shipments that have a dock appointment.

To select the default status, click Options and open the Docks tab of the Execution Options page.

Searching on the Docks Tab - Detail View

When you open the Detail view, use the Search, Find, and Date lists to locate and display order, shipment, and appointment information.

You can use the following search options on the Detail view of the Docks tab:

Search

Use the Search feature to select the information you want to display. You must specify a date and location for your search.

Tip: Instead of defining a new search each time you open the Detail view, you can create and save a default search. When you log on to Kewill Transport, the Docks tab displays a message to click Go to run the default search. The default search criteria is shown at the bottom of the page. The default search does not run automatically.

Find

Use the Find feature to locate and display individual shipments or orders.

Select an option from the Find list, enter the specific number, and click Go.

You can select the following options:

v Order Number v SID Number v PO Number

v Confirmation Number v Master BOL

Tips:

v You can use your computer clipboard feature to copy data. For example, you can copy the SID number from another application and paste it in the Find box.

v You can search using a wild card. Enter at least four characters and then an asterisk. For example, enter ABCD* to find SID numbers ABCD1234, ABCD6874, and ABCD4478.

v You can find multiple SID numbers, order numbers, or other reference fields. Separate each value with a comma.

Date

Use the Date feature to display all items for a specific date:

1. Select Scheduled Appointment, Issue Date, Planned Departure, or Planned Arrival.

2. Select Yesterday, Today, Tomorrow, or Fixed from the new list that displays. You can also select a range of days to include in your search.

Select Fixed if you want to search on a specific date.

3. Click Go.

Tip: To use the Date feature, you should select a default location for your Docks tab searches. To select the default location, click Options and open the Docks tab of the Execution Options page.

Running a Standard Search on the Docks Tab - Detail View

You can run a standard search on the Detail view of the Docks tab to find appointments using multiple search parameters.

When you search for information on the Docks tab - Detail view, you must select a date and a location. You can also select additional fields to tailor your search criteria. For example, you might want to only search for appointments that require refrigerated equipment.

Tip: If you use the same search frequently, you can define that search as the default search. You can run that search each time you open the Docks tab.

Use the following fields on the Search page to enter criteria about the appointments you want to locate:

Date

You must specify a date when you run a search on the Docks tab - Detail view. You can select one of these options:

Scheduled Appt

Displays orders or shipments with an appointment on that date.

Issue Date

Displays orders or shipments that were created on that date.

Planned Departure

Displays orders or shipments that are scheduled to depart from the origin on that date.

Planned Arrival

Displays orders or shipments that are scheduled to arrive at the destination on that date.

Then select Yesterday, Today, or Tomorrow from the new list that displays.

You can also select a range of days to include in your search. Select Fixed if you want to search for a specific date.

Location

You must select the location you want to use for the search.

The shipper has the following options:

v Enter a complete location name. Kewill Transport displays that name on the right side of the page.

v Enter the beginning of a name and then press Enter. Kewill Transport returns all locations that start with those letters. If Kewill Transport returns multiple locations, the list box displays a red border. You can then select the location that you want.

v Enter the location code.

v Click the Select icon to choose a location.

Shipper

You can search by shipper to find the following appointments:

v Appointments that were made for that shipper's locations.

v Appointments that were made by that shipper to pick up or deliver goods to other companies' locations.

For example, Customer ABC might want to search for the appointments made by Shipper XYZ to deliver goods to Customer ABC's warehouses.

Tip: When shipper users perform a search, the search usually returns results faster if they specify their company in the Shipper field.

Carrier and SCAC

Shippers can search by carrier to find the following appointments:

v Appointments that were made by that carrier for your shipments.

v Appointments you made for shipments that are being transported by that carrier.

After you select a carrier, you can also specify a SCAC if you want to search for a specific fleet.

When carrier users search for appointments, they only see appointments where that carrier is making a pickup or delivery.

Tip: When carrier users perform a search, the search often returns results faster if the users specify the company in the Carrier field.

Description

You can search for an appointment based on the item description. For example, you might search for appointments that contain the same commodity.

Tips:

v You can enter the beginning of the description. For example, searching for “Model 123" will return shipment appointments that have the description “Model 123 Printers.”

v Searching by description works best when each shipment or order consists of a single item. If a shipment or order consists of multiple items, Kewill Transport only searches for the first item that was entered on the manifest.

v You can use the item description to search for a shipment appointment, even though the item is assigned to an order within the shipment.

Type

You can search for the appointment type:

v Pickup Appointments v Delivery Appointments

v All - both pickup and delivery appointments Mode

You can search for shipments based on the transportation mode.

For example, you might want to only view truckload shipments.

Equipment

You can search for appointments based on the equipment type:

v Dry

v Refrigerated v Frozen

v Any equipment type Load Scheme

You can search for appointments based on these load schemes:

v Floor (such as cartons or cases) v Palletized

v Slipsheets

v Unspecified (no load scheme was defined for the appointment)

Docks Tab - Detail Table

The Docks tab - Detail view displays a row for each shipment stop. For example, a single-stop shipment has one row for the pickup appointment at the origin and one row for the delivery appointment at the destination.

Tip: You can tailor the contents of the table to meet your needs. Click the Customize Tablelink to rearrange columns or hide columns you do not use. For example, if your shipments are always picked up and delivered on pallets, you might want to hide the Package Type and Load Scheme columns.

The Docks tab - Detail view displays the following columns:

From

The beginning date and time for the appointment. This is the earliest time that the carrier can pick up or deliver the load.

To

The end date and time for the appointment. This is the latest time that the carrier can pick up or deliver the load.

Dock

The name of the dock.

Type

The dock type can be one of the following entries:

v Shipping v Receiving v Both SID Number

Shipment identifier.

Order Number

The order number assigned to the freight. If a shipment contains more than one order, Multiple is displayed.

Trailer/Container Number

The trailer or container number, which you can use to track this load:

v Shippers can enter this number when they create a truckload shipment.

v Shippers and carriers can enter this number on the Update Status page.

P.O. Number

Purchase Order number.

Qty

The total number of items being picked up or delivered. For example, if the shipment contains two pallets, the Qty column shows 2 Eaches.

Shipping Quantity

The number of shipping units, such as the number of pallets or rolls. For example, if the shipment contains two pallets, the Shipping Quantity column shows 2 Pallets.

Line Item Quantity

The number of items, such as cartons or cases. For example, if the

shipment contains two pallets, each with 100 cases, the Line Item Quantity column shows 200 Cases.

Package Type

Kewill Transport supports many package types.

For example:

v Pallets v Skids v Cases v Cartons v Pieces v Units

Note: The package type is different from the load scheme, which shows whether the freight is a palletized, slipsheet, or floor shipment.

Volume

The space, such as cubic feet or cubic meters, used by the load.

Weight

The weight of the load in pounds or kilograms.

Location

The name of the stop for the pickup or delivery appointment.

Double-click in the Location cell to open the Location Detail page, where you can view the address and the work week calendar.

Shipper

The Kewill Transport organization that is planning the shipment.

Carrier and SCAC

Shows the carrier assigned to the load.

The SCAC can be the legal carrier SCAC or it can be a non-standard fleet SCAC.

Your user role controls whether you can see the Carrier column:

v Shippers: The Carrier column is hidden by default for the Dock Manager user role. You can use the Customize Table feature to display this

column. All other Execution user roles can view the Carrier column by default.

v Carriers: The Carrier column is hidden by default for the Dock Manager user role. You can use the Customize Table feature to display this column. The Carrier column is not available to other Execution user roles.

Planned Date

The planned date and time, which can be one of the following entries:

v The beginning date and time of the planned departure window for a pickup stop

v The beginning date and time of the planned arrival window for a delivery stop

Loaded Date

The date and time that the shipping organization set the Shipment Status to Loaded.

Setting the status to Loaded is optional.

Arrival Date

The date and time the shipment or order arrived at the destination.

Unloaded Date

The date and time that the receiving organization set the Shipment Status to Unloaded.

Setting the status to Unloaded is optional.

Equipment

The required equipment type:

v Dry

v Refrigerated v Frozen v Any Load Scheme

The Load Scheme shows whether the freight uses pallets, slipsheets, or is a floor shipment.

Status

Kewill Transport displays the following information:

v The Shipment Status, such as Loaded, Departed, or Arrived v The location where the status event occurred

For example, the Status column might show that the truck arrived at the origin to pick up the shipment.

Confirmation Number

The confirmation number for the appointment, which can be one of the following entries:

v A number that the shipper or carrier entered for an appointment.

v A number that Kewill Transport automatically generated for an

appointment. The system generates a confirmation number if the shipper or carrier did not specify one for the appointment.

Description

If an order consists of one item, Kewill Transport lists the item description.

If the order contains multiple items, Kewill Transport displays the first item description, followed by the + sign.

Origin

The initial origin where the freight is picked up.

Tip: The Origin column can be useful when viewing a multi-stop shipment. Use the Origin column to view the initial pickup location and use the Location column to view the pickup location for an interim stop.

Ship To Customer

The location name of the customer receiving the shipment. The city and state or city and province of the customer facility are also displayed. If you use pool points, this column allows you to determine the ultimate

destination of the shipment.

Reason Code

The reason code that is assigned to the shipment.

Group

The reason code category, which is displayed if your shipper administrator organized reason codes into categories.
