How to make a transfer?

In My Company Plus, users with different rights can participate in money transfers at different stages. The process of preparing money transfers by the authorised users looks the same as in the standard BZWBK24 Internet service. Differences occur only at the stage of confirming the order.

Transfer order confirmation

Depending on the rights assigned to the user who prepared the transfer and depending on whether the transfer is intended to go directly to the Bank, the user selects the appropriate operation type and – if necessary – shows where the order should be temporarily stored.

The following operation types are available:

Place order – the order is saved under Unreleased orders where it will wait for the approval by an authorised user or users.

Sign and place order – the order is signed and saved under Unreleased orders where it will wait for sending out and/ or signing off by the second approver.

Sign and send for execution – the order is signed and sent for execution without going through Unreleased orders. This option can be used exclusively by users authorised to individually sign off orders. If the user does not have such rights or of the value of the transfer exceeds the user’s individual authorisation limit, choosing the option Sign and send the order for execution will be equivalent to choosing the option Sign and place order. This means that the order will be saved under Unreleased orders where it will wait for the signature by the second approver.

Instead of going to Unreleased orders, the order may be added to a batch. Batching of orders is a functionality addressed to companies handling large batches of transfer orders. A separate section of this guide is devoted to this functionality entitled “How to use order batching?”

Unreleased orders – presentation of orders

In My Company Plus package, all orders which need additional authorisation are saved in the Unreleased orders section. This section can contain maximum 200 orders awaiting modification, amendment, authorisation or sending out. In the Unreleased orders, all types of transfers requiring authorisation by another approver can be stored: transfers to own accounts, deposit opening and termination and transfers to 3rd party accounts. When a user with limited rights views the Unreleased orders, only orders concerning the accounts to which the user is authorised are displayed. Orders saved under Unreleased orders may have a different status.

An order may be:

Incorrect – this means that some of the order data are incorrect (most often the account number)

Expired – order execution date is in the past

Placed – an order has been prepared but has not been signed

Awaiting second signature – an order signed by one approver requiring authorisation by another approver.

Ready for sending – an order is correctly signed by one or two approvers as required and is ready to be sent.

Below the table with orders, there is a summary of all orders saved under Unreleased orders, broken down into Placed, Awaiting second signature and Ready for sending.

Unreleased orders – filters

When viewing unreleased orders you can arrange the list displayed according to different criteria. In My Company Plus three additional filters are available:

Orders to be modified – orders which can be modified by the logged user

Orders to be authorised – orders which can be signed off by the logged user individually or together with another approver (in accordance with the discretions defined in the signing off matrix)

Orders to be sent – orders which can be sent by the logged user.

Unreleased orders – order processing

Orders stored under Unreleased orders can be processed individually or in a batch. Select an order or a group of orders (maximum 50 orders) and click on one of the available buttons. Depending on the assigned rights, the user can choose between the following options:

Sign - signing orders without a need to send them directly for execution. A signed order will wait under Unreleased orders for sending and/ or authorisation by another approver. Sign and send for execution – signing the order and sending it to the bank for execution. The order will be sent for execution only when it has the required signatures (in accordance with the signing off matrix).

Send for execution – sending correctly signed orders for execution. Orders which are not ready for sending can be amended or modified. This applies only to orders which are unsigned (status Placed). Modification can be introduced by a user authorised to sign the order individually or in a pair with another user.

Such a user may also delete from the Unreleased orders those orders which should not be executed. There is a possibility of transferring an order to a batch – option Add to a batch. Detailed information can be found in the section entitled “How to use order batching?”

Viewing orders

Information about orders which have already been executed and are not displayed under Unrealised orders any more can be found in the View order option available under Released orders. Only orders associated with accounts to which the user is authorised are displayed. By clicking on the transaction description in the table you can read more detailed information about the users who were involved in the preparation and execution of the order, including the user parameters and the date and time of executing the following activities:

creating the order

first signature of the order

second signature of the order (if two-step authorisation was required) sending the order.
