Exercise 1: Manage user-driven client deployments

Scenario

Lucerne Publishing plans to use a combination of user-driven and managed deployments, depending on the employment relationship and working practices of individual users. Associates, those who have brought their own devices, and home workers, will all install Office 365 ProPlus manually from the Office 365 website. Heidi wants to review how Office 365 on-demand installation works for Shirley Mayer from the Accounts Department, as she is keen to see the effect of attempting to install and run the software without administrator permissions. Heidi then wants to see what happens to users when she activates and deactivates Office 365 ProPlus subscriptions.

The main tasks for this exercise are as follows:

 Task 1: Using Office On Demand

1. On your host computer, switch to the 20346B-LUC-CL1 virtual machine.

2. Ensure you are logged on as Student2 with a password of Pa$$word.

3. Press the Windows key to go to the Start screen.

4. Press Ctrl+Tab to show the All apps page.

5. Verify that Word 2013 is not an installed application.

6. On the Windows Start screen, click Desktop, then click Internet Explorer.

7. In the address box, type http://portal.microsoftonline.com, and press Enter.

8. On the sign page, in the name box, type [email protected] (where XXX is your unique Lucerne Publishing number).

9. In the password box, type Pa$$w0rd, and then click Sign in.

10. On the Office 365 toolbar, click OneDrive.

11. If you get the Get the most out of SharePoint dialog box, click No Thanks.

12. If you get the We're almost ready! page, wait for the page to refresh to show the Documents page.

13. If the screen does not refresh, click OneDrive again.

14. On the taskbar, click File Explorer, and navigate to E:\Labfiles\Lab04.

15. Select the three document files in that folder, and then drag them on to the drag files here area of the web page. A Move message appears next to your cursor.

16. Wait until the upload is complete, before proceeding to the next task.

17. On the Documents page, click Sales Proposal to open the document in Word Online.

18. On the Word Online toolbar, click Edit Document drop down list and click Edit in Word.

19. In the Want to use Office on Demand? dialog box, click Yes, let's go!.

20. In the Internet Explorer bar, click Run.

21. On the You’re ready to use Office on Demand message box, click Close.

22. Wait while Word is streamed to this computer; this process may take a few minutes to complete.

23. On the Sign in page, in the e-mail address box, type

[email protected] (where XXX is your unique Lucerne Publishing number), and then click Next.

24. On the Sign in page, in the password box, type Pa$$w0rd, and then click Sign in.

25. Click Enable Editing, and then make some changes to the document.

26. In Word, click File, and then click Save.

27. Close Word.

28. Press the Windows key to go to the Start screen.

29. Press Ctrl+Tab to show the All apps page.

30. Verify that Word 2013 is not an installed application.

 Task 2: Managing Software and Licenses

1. Switch back to Internet Explorer on the Desktop, and on the Documents page, click Shirley Mayer, and then click Sign Out.

2. If necessary, browse to http://login.microsoftonline.com and on the sign page, in the name box, type [email protected] (where XXX is your unique Lucerne Publishing number).

3. In the password box, type Pa$$w0rd, and then click Sign in.

4. On the toolbar, click Admin, and then click Office 365.

5. In Office 365 admin center, click users and groups, and then click Shirley Mayer.

6. Clear the checkbox for Office 365 ProPlus, to remove license from Shirley.

7. Click Save.

8. In Office 365 admin center, under active users, click Robert Schmid.

9. On the Robert Schmid page, note the licenses for Robert – he has rights to everything.

10. Click the cancel button.

11. Repeat steps 8-10 for Karen Gruber.

12. In Office 365 admin center, click service settings, and then click user software.

13. In the Manage user software through Office 365 section, click to clear Office and Lync, and SharePoint Designer (by default, both check boxes are selected).

14. Click Save.

15. On the user software page, click Heidi Leitner, and then click Sign Out.

16. On the sign in page at https://portal.microsoftonline.com, in the name box, type

[email protected] (where XXX is your unique Lucerne Publishing number).

17. In the password box, type Pa$$w0rd, and then click Sign in.

18. On the Get started with Office 365 page, click PC & Mac.

Note: This user has no license, and Office is not available for download; only desktop setup is available for Office.

19. Click Lync; note that only the app is available.

20. On the software page, click Shirley Mayer, and then click Sign Out.

21. On the sign page, in the name box, type [email protected] (where XXX is your unique Lucerne Publishing number).

22. In the password box, type Pa$$w0rd, and then click Sign in.

23. On the Get started with Office 365 page, click PC & Mac.

Note: This user has a license, but Office is not available for download.

24. Note the message: “The administrator has disabled Office installations. Contact your administrator for information about how to install Office”.

25. Verify that OneNote and Lync apps are available.

26. Click Karen Gruber in the top right-hand side of the screen and click Sign out.

27. Press the Windows key to go to the Start screen, and then click Internet Explorer.

28. In the address box, type http://portal.microsoftonline.com, and press Enter.

29. On the sign page, in the name box, type [email protected] (where XXX is your unique Lucerne Publishing number).

30. In the password box, type Pa$$w0rd, and then click Sign in.

31. In the Office 365 admin center, click service settings, and then click user software.

32. In the Manage user software through Office 365 section, select Office and Lync.

33. Click Save.

34. Press the Windows key and click Desktop.

35. In Internet Explorer, on the software page, click Karen Gruber, and then click Sign Out.

36. On the sign page, in the name box, type [email protected] (where XXX is your unique Lucerne Publishing number).

37. In the password box, type Pa$$w0rd, and then click Sign in.

38. On the Get started with Office 365 page, click PC & Mac.

Note: This user has no license, but Office is available for download.

39. Verify that only desktop setup available for Office.

40. Click Lync, and verify that desktop and app is available.

41. On the Get started with Office 365 page, click Shirley Mayer, and then click Sign Out.

42. On the sign page, in the name box, type [email protected] (where XXX is your unique Lucerne Publishing number).

43. In the password box, type Pa$$w0rd, and then click Sign in.

44. On the Get started with Office 365 page, click PC & Mac.

Note: This user has a license, and Office is available for download.

45. Verify that Office and Lync desktop software is available to install.

46. This user can now select whether to install the 32-bit or 64-bit version of Office 365 ProPlus and which language they want to install.

47. Note also that OneNote and Lync apps are available.

 Task 3: Performing User-driven Installation 1. Under Language, select the language to install.

2. Leave 32-bit (recommended) selected.

3. Click install.

4. In the Internet Explorer notification bar, click Run.

5. In the User Account Control dialog box, select Student1, and in the Password box, type Pa$$w0rd, and click Yes.

Note: This step is required because the local user is not an administrator.

6. On the Welcome to your new Office page, click Next.

7. If you get the First things first page, click No thanks, and then click Accept.

8. After the video has played, click Sign in. Alternatively, click Next to skip the video.

9. On the Sign in page, in the e-mail address box, type

[email protected] (where XXX is your unique Lucerne Publishing number), and then click Next.

10. On the Sign in page, in the password box, type Pa$$w0rd, and then click Sign in.

11. Close the Office page.

12. On the taskbar, click the Office icon, and note the status of the download.

It will take several minutes to complete, but applications are now available.

13. Press the Windows key to go to the Start screen.

14. Note that Office applications are now available.

15. On the Start screen, click Word 2013.

16. If you get the First things first dialog box, click No thanks, and then click Accept.

17. Click Blank document.

18. Type some text.

19. Click File, then click Save.

20. Click Browse, and save the file to the Lucerne Publishing Team Site in the Documents folder as Meeting Agenda.

21. Click Save.

You may see a "streaming features" message.

22. Close Word.

23. Switch back to Karen Gruber’s Office 365 session in Internet Explorer.

24. In the top-right corner, click the settings icon, and then click Office 365 settings.

25. On the Office 365 settings page, click software.

26. Note that the installation is listed, together with the computer name.

27. Note also the option to deactivate this installation (for example, if this user wanted to activate on another computer and already had four other activations – five concurrent is allowed.

28. Click tools & add-ins.

29. Note that under Install SharePoint Designer 2013, there is a message: “The administrator has disabled SharePoint Designer 2013 installations. Contact your administrator for information about how to install SharePoint Designer 2013”.

This is because we have not yet re-enabled SharePoint Designer 2013 installations from the portal.

 Task 4: Deactivating Office 365 ProPlus

1. Press the Windows key to go to the Start screen, and then click Internet Explorer, to switch to Heidi Leitner’s session in the Modern apps browser.

2. In Office 365 admin center, click users and groups, and then click Karen Gruber.

3. Clear the check box for Office 365 ProPlus, to remove the license from Karen’s account.

4. Click Save.

5. Press the Windows key to go to the Start screen, then click Desktop.

6. In Internet Explorer, at top-right, click Karen Gruber, and then click Sign out.

7. On the sign page, in the name box, type [email protected] (where XXX is your unique Lucerne Publishing number).

8. In the password box, type Pa$$w0rd, and then click Sign in.

9. In the top-right corner, click the settings icon, and then click Office 365 settings.

10. On the Office 365 settings page, click software.

11. Note that the Office installation is no longer listed, as this user no longer has an active license (although software is available).

 Task 5: Reactivating Office 365 ProPlus

1. Press the Windows key to go to the Start screen, and then click Internet Explorer to switch to the Heidi’s session in the modern apps browser.

2. In Office 365 admin center, click users and groups, and then click Karen Gruber.

3. Select the check box for Office 365 ProPlus, to restore the license for Karen.

4. Click Save.

5. Press the Windows key to go to the Start screen, click Desktop, and then click Internet Explorer, to switch to the user session (Desktop browser).

6. At the top-right corner, click Karen Gruber, and then click Sign out.

7. On the sign page, in the name box, type [email protected] (where XXX is your unique Lucerne Publishing number).

8. In the password box, type Pa$$w0rd, and then click Sign in.

9. On the Get started with Office 365 page, click PC & Mac.

10. In the top-right corner, click the settings icon, and then click Office 365 settings.

11. On the Office 365 settings page, click software.

12. Note under Office, you may get a "Setting up Office" progress message while the license is being provisioned (which may take several hours).

13. Press the Windows key and on the Start screen, click Word 2013. If you cannot see the icon for Word 2013, type “Word” and then click the icon.

14. In Microsoft Word, click Blank document, click File, and then click Account.

15. In the pop-up message, click Enable.

16. Under Subscription Product, click Manage Account.

17. Under software, click Lync.

18. Note that the full Lync client is not available to be installed until Office license is ready.

19. Click get app.

20. In the Windows Store page, click Install.

21. On the Add your Microsoft account dialog box, in the e-mail address box,

type [email protected], (where [email protected] is the Windows Live address you registered in Lab 1A, Ex 1 Task 1), in the password box, type <password>, (where <password> is the password you used to sign up for the Office 365 trial in Module 1, Lab A, Exercise 1, Task 1), and then click Save.

Note: This Office 365 user does not have an associated Microsoft Account at this stage.

22. In the Windows Store page, click the left arrow to return to the Lync app page.

23. Press the Windows key to go to the Start screen.

24. Verify that the Lync 2013 app is now available. If you cannot see the icon, type “Lync”.

25. On the Windows Start page, click Internet Explorer, to switch to Heidi’s session on the Modern Apps browser.

26. In the top-right corner, click the settings icon, and then click Office 365 settings.

27. On the Office 365 settings page, click software.

28. Note under Office, Office installation should now be available again (if not, wait a few minutes and refresh the page).

Results: Lucerne Publishing can control user access to Office 365 ProPlus and demonstrate a simplified, distributed installation of Office 365 ProPlus.
