Modifications to the first version of the mapping 41

After  all  the  discussions,  work  meetings,  testing  and  analysing  some  

modifications  were  made  to  the  first  version  of  the  mapping  of  the  Livedrive.    

The  first  modification  is  made  in  the  name  of  the  customer.  In  the  first  version   was  mentioned  that  the  name  of  the  customer’s  folder  had  to  be  as  completely  as   possible.  During  the  discussions  and  work  meetings  we  agreed  that  the  name   had  to  be  more  clearly  outlined.  Every  name  should  consist  out  of  the  legal  name   and  (if  applicable)  followed  by  the  trade  name.  Between  these  two  names  an   underscore  or  ‘_’  has  to  be  used.  This  is  explicitly  chosen  because  in  some  legal  or   trade  names  a  normal  stipe  or  hyphen  is  used  ‘-­‐‘.    By  naming  every  customer’s   folder  on  the  same  way  it  should  be  easier  to  find  the  customer  an  employee  of   Wensink  &  Partner  is  looking  for.  Now  every  employee  knows  that  when  the  first   letters  of  the  legal  name  of  the  customer  are  typed,  the  required  customers  will   pop-­‐up.    

The  second  modification  is  performed  in  the  folder  Advices.  In  this  folder  two   subfolders  were  used,  the  name  of  the  first  folder  was  comparisons  and  this   name  is  changed  to  calculations_comparisons.  The  name  ‘calculations’  is  added   to  the  name  of  this  folder.  According  to  the  manager  of  Wensink  &  Partners  this   is  crucial,  due  to  the  fact  that  in  order  to  provide  solid  advice  some  calculations   have  to  be  made.  In  this  sub  folder,  all  calculations  that  are  linked  to  the  advisory   process  and  are  made  by  employees  of  Wensink  &  Partners  have  to  be  stored  in   this  folder.  By  adding  this  name  to  the  subfolder  this  folder  becomes  more   comprehensive.  The  other  subfolders  in  this  folder  remain  the  same.      

The  third  modification  is  performed  in  the  folder  Supplementary  pension  plan   (bijspaarregeling).  This  folder  was  not  present  in  the  first  version  of  the  new   mapping  of  the  Livedrive.  However,  allot  of  customers  of  Wensink  &  Partners  do   have  a  supplementary  pension  plan  and  that  is  why  this  extra  folder  is  added.  In   this  folder  all  individual  overviews  are  stored  by  year.  For  this  folder  the  same   rules  apply  as  in  the  first  version,  this  folder  will  only  be  added  if  there  is  data  for   this  specific  folder.    

The  fourth  modification  to  the  first  version  of  the  new  mapping  of  the  Livedrive   is  performed  in  the  folder  legal  documents.  In  the  first  version,  several  

subfolders  were  used  in  order  to  store  the  legal  documents.  After  the  testing  and   analysing  period  is  revealed  that  the  subfolders  are  unnecessary.  Storing  legal   documents  by  year  with  the  correct  name  of  the  document  will  be  sufficient  for   the  employees  to  find  the  data  that  is  needed.  By  excluding  the  subfolders  in  this   folder,  the  findability  of  the  data  will  increase  because  fewer  steps  have  to  be   performed  in  order  to  get  the  desired  result.    

The  fifth  adjustment  in  the  first  version  is  adding  a  new  folder  named  Scrapbook   (kladblok).  This  folder  is  added  to  store  all  files  that  are  used  to  perform  

calculations,  making  letters,  presentations,  comparisons,  notes  or  other   documents  that  are  not  sent  or  files  that  are  superfluous.  This  will  give  rest  to   the  manager  of  Wensink  &  Partners,  because  he  is  not  a  fan  of  throwing  data   away  as  stated  above.  By  adding  this  folder,  no  data  will  be  thrown  away,  and  all   the  data,  if  necessary,  is  findable.  Moreover,  if  Wensink  &  Partners  provided  a   customer  with  an  advice  often  several  versions  are  given.  The  versions  that  are   not  chosen  will  end  up  in  the  folder  Scrapbook,  but  might  be  required  if  the  AFM   is  asking  how  this  advice  was  performed.    

The  sixth  adjustment  to  the  first  version  of  the  mapping  is  performed  in  the   folders  Pension  calculations  and  Pension  in  own  management.  After  the  testing   and  analysing  period  and  during  the  discussion  sessions  it  can  be  concluded  that   these  folders  are  only  applicable  for  director  and  major  shareholder  files.  These   files  will  use  another  mapping  and  therefore  these  folders  will  be  omitted  in  the   final  version  of  the  Livedrive  mapping.  Because  of  the  fact  that  the  director  and   major  shareholder  folders  differ  allot  from  the  analysed  folders,  no  specific   mapping  for  those  folders  is  provided.  This  might  be  a  topic  for  future  research.      

The  final  modification  to  the  first  version  of  the  mapping  is  performed  in  the   folder  Summary  regulation  (samenvatting  regeling).  In  this  folder  all  files  had  to   be  stored  by  year  according  to  the  first  version  of  the  mapping.  After  the  

analyses  and  the  discussions  this  subdivision  seemed  superfluous.  Therefore  the   final  version  of  the  mapping  the  storing  by  year  will  be  omitted.    

After  all  the  discussion  sessions  the  final  version  of  the  Livedrive  will  be  

produced,  this  will  also  be  the  end  result  of  this  research.  The  final  version  of  the   mapping  will  be  given  below  and  the  explanation  can  be  found  in  appendix  (O,  P,   and  Q).
