7.3 Using Emails
Your messages in electronic form can be sent through email client like Outlook Express. Operations on emails like Composing, sending, replying and forwarding are very easy.
Similar to other office software, mails are systematically kept in different folders. Incoming emails are kept in Inbox folder and outgoing mails are kept in Outbox folder. Mails that have been partially written and not sent can be kept in Draft folder.
7.3.1 Opening Email Account:
Many site provide the e-mail account free for every user.Some popular e-mail account website are yahoomail,gmail,rediff etc.
For example consider the yahoomail web site
1. Go the home page of Yahoo at www.yahoomail.com. You will see a new page that looks like this:

After submitting the form it confirm the e-mail account id and password.Using this id and password we can open a e-mail account.
7.3.2 Mailboxes Inbox
Inbox folder is places your incoming e-mails. To open you Inbox, click Inbox icon on the bar or folder list. Once the messages are in Inbox Folder, they can be read. You can read your messages using a small preview pane, or in a separate message window. If you receive lots of i-mails, you will probably use the preview pane to sort interesting messages. For really importing or long messages, you can open a separate window that will give you more reading room.
To view a message in the preview pane, follow these steps:
In the message list, click the subject line of the message you want to read. The text of the message will appear in the preview pane located beneath the list.

To view the message in a separate window:
In the message list, double-click the message you want to read. A separate window for the message will open as shown in figure
When you are finished reading the message, close it by clicking the button x in the top right- hand corner of the window.
Checking for New Messages
If you want to check for new messages, simply click the Send and Receive button on the Outlook bar. Outlook Express will download your e-mail and show you a list of subject titles in your Inbox.
Outbox
It is not necessary to be connected to the Internet to compose a message. With Outlook Express you can write a message while you are “Offline” and send it later when you are online. Composing your e-mail while you are offline will save you valuable connection time and lots of money.
1. Compose your e-mail message. 2. On the File menu, click Send Later.
3. Your message will be saved in the Outbox.
You may want to compose several messages and save them in your Outbox before connecting to the Internet. When you are online again, click the Send and Receive button and your messages will be delivered all at once.
7.3.3 Creating and Sending a New Mail
With Outlook express, you can create a new message with following steps: 1. Click on Mail Message of New option form File menu.
2. The above screen appears with options for writing e-mail address of recipients, subject and area for writing the contents of mail.
3. In the To box, type the e-mail address of the person you are sending the message to. For example [email protected] mailto:[email protected]; [email protected] <mailto : [email protected]> as shown in above figure. 4. Type the e-mail addresses of the recipients in the CC box. If there is more than one
address, separate them using a semi-colon (;) . This means the e-mail addresses of the people receiving it do not appear on the e-mail message. This means the e-mail

recipients will not know who else has received the message. Type the e-mail address of the recipients in the Bcc box.
5. Type your message in the message area. As shown in the message area. As shown in the above figure.
6. On the toolbar, click the Send Sutton. Depending on the connection you have to the Internet, a message box may appear telling you that the e-mail message is being moved to the Outbox. If it does appear, simply click OK. To send the message from the Outbox, click the Send and Receive button. Are you sure your message has been sent? If not, look inside the Sent Messages folder. To open this, folder, double-click the Sent Items button on the Outlook bar.
Saving a Message for Later use.
You don’t need to worry about finishing that message you’ve started. You can save it for later.
1. To keep a work-in-progress in a safe place: In the window that you are composing your message, go the File menu and select Save.
2. A message box will appear to tell you that the message has been saved to your Drafts folder as shown in the figure.
Retrieving a Saved Message
When you have time to finish your message, retrieve it using following steps:
1. On the outlook Bar, click the Drafts icon. A list of message titles will appear as shown in the above figure.
2. Find the message you want to work on and double click it. Your message will open in a new window.
3. Complete your message, and click the Send button.
7.3.4 Replying to an e-mail message
With Outlook Express, replying to an e-mail message is very easy. All you have to do is decide who should see your reply, then click the appropriate button. A simple reply to the person who sent the e-mail is used most often. Follow these steps to reply to the author:
1. In the message list, click the message you want to respond to. The message will be highlighted with a blue box.
2. On the toolbar, click the Reply button. A message window will open. You will see original message in it.
3. In the message area, type your message.
4. Click the Send button to transfer your message to the Outbox. Replying to everyone who received the Message
Follow these steps to reply to everyone who received the message: 1. In the message list, click the message you want to reply to.
2. On the toolbar, click the Reply to All button. An e-mail message window will appear. 3. Type your reply, and click the Send button. All the people who received the original
message will now receive your response.
7.3.5 Forwarding an e-mail message
When an e-mail message is very interesting, you want to share it with others. With Outlook Express, you can simply forward the original message to other e-mail addresses using the method given below.
1. In the message list, click the message you want to forward. 2. On the toolbar, click the Forward button as shown in figure.

3. A forward message window will appear. The original subject line will appear in the Subject box, along with the abbreviation.
4. In the To box, type the recipient’s e-mail address.
5. You can add your comments by typing in the message area. On the toolbar, click the Send button.
6. Once the e-mail is sent, the Forward message window will be closed.
7.3.6 Sorting and searching e-mails
You can sort your messages based on different kinds of information: the date you received them, who you received them from, or their subject. You can sort messages in a couple of ways: using the Actions menu or using the column headers.
To sort messages using the Actions menu:
