CHINESE STUDENT ASSOCIATION STEVENS INSTITUTE OF TECHNOLOGY

CONSTITUTION

(REVISED February 26, 2020)

ARTICLE I. NAME

This organization shall be known as the Chinese Student

Association of Stevens Institute of Technology and shall herein be referred to as “CSA.”

ARTICLE II. PURPOSE

A. To promote the understanding of Chinese culture to all students at Stevens.

B. To spread Chinese culture by sharing Chinese holidays and events to uphold Chinese heritage​

.

C. To expose incoming students to Stevens Life.

ARTICLE III. MEMBERSHIP

A. Membership is extended to all members of Stevens’

Undergraduate body .

B. Eligibility for an Executive Board position is restricted to Undergraduate students at Stevens.

C. Active members include those who have attended four General Body Meetings per semester, and have attended at least two events.

ARTICLE IV. THE EXECUTIVE BOARD

A. The Executive Board shall consist of the President, the Vice-President, the Secretary, the Treasurer, the Social Chairperson, the Cultural Chairperson, the Historian, and the Alumni and External Relations Chairperson.

B. The Executive Board may also include one or more of the following minor officers: Performance Director and

Freshman Representative.

C. The Executive Board must provide support(setup, event duration, or cleanup) for all events and general body meetings hosted by the organization unless a valid reason is given.

ARTICLE V. DUTIES OF OFFICERS

A. DUTIES OF THE PRESIDENT

a. Preside over all meetings.

b. Supervise all activities undertaken by CSA.

c. Call meetings when deemed necessary.

d. Maintain any necessary correspondence.

e. Perform any other duties deemed necessary but not described above.

B. DUTIES OF THE VICE-PRESIDENT

a. Assume the duties of the President in his or her absence.

b. Assist the President in carrying out all of his or her duties.

c. Prepare agendas for all executive board meetings.

d. Attend ESC Meetings in place of the Ethnic Student Council Representative.

e. Represent CSA in the Ethnic Student Council General Body Meetings.

f. Relay information from Ethnic Student Council General Body Meetings to the rest of the Executive Board.

C. DUTIES OF THE SECRETARY

a. Record the minutes of all meetings.

b. Notify all members of CSA meetings and events via email.

c. Assist the president in any necessary correspondence.

d. Update CSA google calendar.

e. Take attendance at each general body meeting and events.

D. DUTIES OF THE TREASURER

a. Update records pertaining to the financial matters of CSA.

b. Submit a financial statement upon request from members of the Executive Board, officers of the Student Government Association, and/or officers of the Ethnic Student Council.

c. Advise the Executive Board with financial matters.

d. Compose a budget outlining financial activities for the following term.

e. Maintain a financial correspondence with Student Life.

E. DUTIES OF THE SOCIAL CHAIRPERSON

a. Create advertisements for CSA events.

b. Assume responsibilities for mass distribution of event flyers and advertisements.

c. Update the CSA DuckLink page with information on upcoming meetings and events, and contact

information.

d. Promote CSA on social media.

e. Take pictures at each event and upload them to social media.

F. DUTIES OF THE CULTURAL CHAIRPERSON

a. Help develop material to spread cultural awareness during both general body meetings and events.

b. Educate the general body about Chinese culture through presentations at each general body meeting.

c. Develop culturally relevant ideas and script for the Unity story.(if organization is participating)

G. HISTORIAN

a. Take pictures and/or video records of all CSA events.

b. Assist the Social Chairperson in maintaining and advertising via social media.

H. ALUMNI AND EXTERNAL RELATIONS CHAIRPERSON

a. Facilitate communication between alumni and members of the Chinese Student Association

b. Facilitate co-hosted events within the Stevens Community

c. Facilitate communication between organizations outside of Stevens.

ARTICLE VI. Minor Board

The minor board positions are voted on during elections, with the exception of Freshman Representative.

I. PERFORMANCE DIRECTOR

a. Organize all cultural performances for events and Unity for the Chinese Student Association.

b. Recruit members for cultural performances.

c. Schedule practices for cultural performances.

J. FRESHMAN REPRESENTATIVE

a. Assist the Executive Board with subcommittee meetings.

b. Work with Chinese Student Association eboard.

c. Develop leadership skills in their first year.

ARTICLE VI. ELECTION OF OFFICERS

A. Elections shall be held annually at a general meeting no earlier than the first week of March and no later than the last week of April of every spring semester.

B. Officers are eligible for nomination only if they are active members of the Chinese Student Association.

C. Officers shall not have been convicted of nor confessed to an Honor Board violation.

D. Only active members of the Chinese Student Association are allowed to vote.

E. If an office becomes vacant, a special election shall be held to fill the office within one month after the vacancy occurs. However, a special election is not to be held if there is to be a regular election within one month

following the vacancy.

F. If an office shall become vacant upon the conclusion of the spring semester, a special election shall be held during the first month of the fall semester.

G. Officers shall be elected at a general body meeting by a simple majority of the active, but not limited to, members present.

H. The election meeting must be announced at least one week in advance.

I. The positions that are offered during elections will only include President, Vice-President, Secretary, Social

Chair, Cultural Chair, Treasurer, Performance Director, External and Alumni Relations Chairperson, and Historian.

J. The newly elected board of officers shall appoint the minor board positions.

K. The Office of President and Vice-President shall not be open running for first-year undergraduates and individuals who are not members of the organization.

L. The Freshman Representative will be elected in the Fall Semester no later than November 15th.

M. The Freshman Representative must be a first year student.

ARTICLE VIII. MEETINGS

A. Regular meetings must be held at least twice per semester.

B. Special meetings will be held whenever it is deemed necessary.

C. The President shall have the option of calling forth special meetings for officers only, if deemed necessary.

ARTICLE IX. REMOVAL OF AN OFFICER

A. In the case that an officer has been failing in their duties, he or she may be removed from office provided that one or more of the following conditions have been met.

1. He or she has agreed to step down voluntarily.

2. The board of Officers unanimously agrees.

B. A new officer shall be appointed unanimously by the President and Vice President for the remainder of the academic year.

ARTICLE X. AMENDMENTS

Amendments to this constitution must be approved by the current Undergraduate Student Government and by two-thirds of all CSA members present at a general meeting.

ARTICLE XI. BYLAWS

Bylaws must be approved by two-thirds of the CSA members present at a general meeting.

ARTICLE XII. ADOPTION

A. This constitution shall become effective upon approval by the current Undergraduate Student Government and

two-thirds of the CSA members present at a general meeting.

B. Upon establishment of this constitution, all previously existing constitutions of CSA shall be abolished.

C. Upon request, the President shall promptly make available a copy of this constitution and/or the bylaws of CSA.
