Enhanced Tool Box

Quick Steps – Enhanced version 10 [ Payroll Toolbox ]

Each module in Enhanced Fund Accounting has a “Toolbox” that’s designed to provide the user with easy to use adjustment tools for the program’s core modules.

Many of the setup tasks initially taken when establishing the software can now be displayed on one screen.

Adjust Employee Hours Changes can be made to “past” payrolls to correct hours worked.

For example: one hour of vacation time was charged instead of one hour of sick time. Make the appropriate

change here which will “adjust” the YTD categories on the respective employee’s pay stub

Adjust Employee Pay Rates Changes can be made to current earning rates on one screen (provided that they have been setup in accordance with instructions found in our P/R Quick Steps booklet).

Make any needed changes to the Regular, Time and Half or Double Time Rate. The Description of the earning’s record may also be changed (i.e. Supervisor, Board Member etc.).

Important: Do Not make any changes to the Employee’s Name od G/L Number.

Adjust Employee Deductions

Changes can be made to current deduction rates on one screen (provided that they have been setup in accordance with instructions found in our P/R Quick Steps booklet).

Make any needed changes to the

Amount/Rate or Description of the deduction.

Important: Do Not make any changes to the Employee’s Name or G/L Number.

Adjust Employee Allocations

Changes (additions/deletions) can be made to respective employee allocations (time earned) anytime during the year.

Accrued time may also be changed here but it is suggested that a note be included in the employees file for future reference.

Remove Delete Tax Records

Only one income tax record is allowed for Federal and for State - (Payroll module – Select Records – Add/Edit Employees – Tax Specs)

In the event that an “extra” record is established (i.e. more than one USA or more than one NY) mark the record “Delete” (using the drop down next to Active).

Return to the Payroll Toolbox and click on Remove Delete Tax Records. You will receive two prompts that advise of a query being run and what is being affected. Click YES in response to both prompts.

Remove Delete Earning Records

In the event that an erroneous earning record was entered (or one that is no longer needed) mark the record “Delete” (instead of Active) - (Payroll module – Select Records – Add/Edit

Employees – Standard Earnings).

Return to the Payroll Toolbox and click on Remove Delete Earning Records. You will receive two prompts that advise of a query being run and what is being affected. Click YES in response to both prompts.

Remove Delete Deduction Records

In the event that an erroneous deduction record was entered (or one that is no longer needed) mark the record “Delete” (instead of Active) - (Payroll module – Select Records – Add/Edit

Return to the Payroll Toolbox and click on Remove Delete Deduction Records. You will receive two prompts that advise of a query being run and what is being affected. Click YES in response to both prompts.

Reindex Paycheck Hours - When it becomes necessary to void an employee’s paycheck, click on Reindex Paycheck Hours to insure that all records are properly displayed.

Redo W2’s

If there are any inconsistencies or missing employees when “converting” the W2’s, simple click on Redo W2’s and start over.

You will receive two prompts that advise of a query being run and what is being affected.

Click YES in response to both prompts.

[ Accounts Payable ToolBox ] Remove Delete Vendors

Incorrect vendor entries (or vendors who have been entered more than once) may be

removed from the system provided that the respective supplier has not been paid. Mark the supplier

“Delete” (Accounts Payable module – Select Records – Add/Edit Vendors).

Return to the Accounts Payable Toolbox and click Remove Delete Suppliers.

You will receive two prompts that advise of a query being run and what is being affected. Click YES in response to both prompts.

Redo 1099’s

If there are any inconsistencies or missing “1099 designated” vendors when “converting” the 1099’s, simple click on Redo 1099’s and start over.

You will receive two prompts that advise of a query being run and what is being affected.

Click YES in response to both prompts.

[ General Ledger Toolbox ] Remove Delete G/L Numbers

General ledger numbers that have been “setup” may be removed provide that they have not been used. Mark the g/l number “Delete” (General Ledger module – Setup – Enter/Edit Account Information).

Return to the General Ledger Toolbox and click Remove Delete G/L Numbers to remove the respective entry.

You will receive two prompts that advise of a query being run and what is being affected. Click YES in response to both prompts.

Remove Delete Funds

Funds that have never been used may be deleted. Same criteria as above.

[ Purchasing Toolbox ] Reset PO Display

In the event that a Purchase Order does not display when entering Add/Edit Invoices for POs – change the Purchase Order Status from 6 to 2.

[Accounts Receivable Toolbox]

Remove Delete Customer Invoices

Customer invoices that have not been processed (or that have had the status reset – see next page) may be deleted.

Reset AR Display Status

In the event an invoice has been processed and no longer is editable, using this feature will reset the invoice status allowing it to be edited and/or deleted.

Reset AR Invoices

This feature is primarily used for water/sewer billing invoices. If using a network and a water/sewer invoice is not being displayed, simply run this menu step.
