Hello and welcome to the Texas Early Childhood Professional Development System’s Orientation to the Texas Workforce Registry. This presentation has been designed to provide you with a detailed overview of the Texas Workforce Registry and all the features that account holders can access. This presentation will take approximately 20 minutes to complete and it is encouraged that you watch the full presentation before you proceed to begin the Texas Workforce Registry registration process. Now let’s begin!
In order to obtain an account with the Texas Trainer Registry, there is a short registration process one must complete. During this section we will detail this process.
The first step in the Registration Process is to sign in with a Gmail account. You must have a Gmail account or Google ID in order to log in and begin the registration. If you do not have a Gmail account, you will have the option to sign up for one. This email account is only needed to sign in to the account. Registrants can identify another email address as their primary contact email, during the registration process. Estimated Narration Time: 4
Once logged in, you will be directed to the Registration page. Here you will be asked to indicate which type of account you wish to have, whether one for Practitioners or one for Center Directors and then input your contact and personal information. As with standard online forms, fields denoted with a red asterisk are required and you will not be able to proceed until they are all filled. Estimated Narration Time:
The next step is the payment processing. Upon selecting the “Continue to Payment” button, users will be directed to an external payment page, administered by the Accounting Department at The University of Texas Health Science Center at Houston. Once the user pays, the TECPDS staff will receive verification that the payment has been made and the account will be made active. The cost for registering is $25 for a Practitioner account and $50 for a Center Director account. Estimated Narration Time: 6
During this portion of the presentation we will provide an overview of the Center Director account. This account is specific to Administrative staff, who wish to have an account for keeping track of their own professional development, as well as the professional
development records of their staff.
Once a Center Director logs into their account, they will access their Dashboard. This page includes: ‐ A summary table that details the account information ‐ A series of links, allowing Center Directors to access the following pages: 1. My Center Director Account 2. My Center Director Account On this page Center Directors will be able to review and/or update sections of their profile, including their contact information, employment, education, and training profiles, and their professional development report, for both their own profile and their center’s profile. Contact/Personal Information When the user visits the Contact/Personal Information page, a popup will appear displaying their contact/personal information. Users can select to update this information at any time. This page is the same for both the Center Director and Practitioner accounts. Estimated Narration Time: 10
When the user visits the Employment page, a popup will appear with the details of the employment records that have been added (if any) and will have access to a button for adding additional employment records.
This page is the same for both the Center Director and Practitioner accounts. Estimated Narration Time:
When this button is selected, a popup will open with a form where the user can search for their center or facility of employment, and add additional details about this employment record. If the user’s center/facility does not show up in the search, they can contact us via email to have it added. A user can add as many records as they need. Estimated Narration Time: 12
When the user visits the Education page, a popup will appear with the details of the user’s educational achievements. This form will collect information on Formal Education, Specific Early Childhood Coursework, and Credentials or Certifications that relate to Early Childhood or Child Development. If a person’s degree is in early childhood or child development, then there is no need to complete the Coursework section, however, if their degree is in a different area but have completed relevant coursework, then they have the option to add the list of those courses in the Coursework section. The Credentials/Certifications section is for selecting any early childhood certifications or credentials the use may possess. Each educational record or credential or certification will need to be accompanied by its supporting documentation, so make sure you have electronic copies of all transcripts and certificates for each record you wish to add to this page. All of these records can be updated and new records added at any time and this page is the same for both the Center Director and Practitioner accounts. Estimated Narration Time:
When the user visits the Training page, a popup will appear with the details of the training opportunities added (if any) and will allow users to add more records as they participate in trainings, workshops or conferences. Each training or conference added will need to be accompanied by its supporting documentation, so make sure you have electronic copies of any certificates for the record you wish to add to this page. If users participate in trainings offered by trainers who are listed on the Texas Trainer Registry, then they will have the option of selecting their name from a dropdown list that includes all the trainers listed on the Texas Trainer Registry. When one of these trainers is selected, the user will have the option to evaluate this training session by completing an evaluation form, which will be sent to the trainer and the TECPDS staff. No personal identifiers will be included in the copy sent to the trainer. This page is the same for both the Center Director and Practitioner accounts. Estimated Narration Time: 14
When the user visits the Report page, the first thing they will see, if any records are added, will be the listings of all the records they’ve added throughout the different professional development profile pages. This page is the same for both the Center Director and Practitioner accounts, however, a Center Director’s report may also included the professional development information of their staff, should they select their center of affiliation (more details on this to come). The next option in the Center Director’s dashboard is to access the “My Center Profile” page.

When the user visits the My Center Profile page, they will be able to select a button to add the Center (of Centers) that they administer, and once approved, they will show up on this table.
This page is only accessible through the Center Director account. Estimated Narration Time:
When the Add a Center button is selected, the user will be able to search for the Center or Facility that they administer and must then provide supporting documentation of their identity and documentation of authorization, which is basically any documentation the identifies them as a qualified administrator, such as their Child Care Licensing Director’s Certificate issued by DFPS. Once the TECPDS staff reviews these documents, the user will be approved as the Administrator for that facility and will then be able to view reports which will include the professional development profiles of those who have identified themselves as working for that center or facility. The next option in the Center Director’s dashboard is access to the “My Job Postings” page. Estimated Narration Time:
When the user visits the My Job Postings page, they will be able to select a button to submit job openings to be added to the website’s Job Board, which is publicly accessible. Once job postings are added, they will become visible on this table, and the user will be able to review and/or delete the postings. This page is only available on Center Director accounts. When the Add a New Job Posting button is selected, a popup will open up with a form where the user will be able to add the details of the job posting.
The last option on the Center Director’s dashboard is the “Center Director Account
Renewal” page. Every year active users will have to renew their account in order to keep it active.

When the user visits the Center Director Account Renewal page, they will be able to review and update their contact and personal information and proceed to the payment page. Once payment has been received, the user’s account will be extended for another year.
This page is the same for both the Center Director and the Practitioner accounts. Estimated Narration Time:
Now on to the Practitioner Account. Though most of the pages are the same for both accounts, we will go over the ones that are specific to those who have Practioner accounts. A practitioner is anyone who works directly with young children and common job titles include Teacher, Assistant Teacher, Provider, and Caregiver. Estimated Narration Time: 24
Once a Practitioner logs into their account, they will access their Dashboard. This page includes: ‐ A summary table that details the account information; and ‐ A series of links, allowing Center Directors to access the following pages: 1. My Practitioner Account 2. As you’ll notice, this page closely resembles the My Center Director Account page and here users will be able to access and update the same profile pages. The one difference, is that they also have access to a page where they can Manage Center Affiliations.

When the user visits the Manage Center Affiliations page, they will be able to select a button to Add a Center they wish to be affiliated with. Once centers are added, they will become visible on this table, and the user will be able to review and/or delete the record. Estimated Narration Time:
When the Add a Center button is selected, a popup will open up with a form where the user will be able to search for the Center or Facility where they work, and authorize the Center Director of that facility to view a report of their professional development profile. Practitioners will have access to authorize and un‐authorize the Center Director from viewing their information at any time. Estimated Narration Time: 28
The other option on the practitioner dashboard is the access button to the “Practitioner Account Renewal” page. Same as with the Center Director account, practitioners will have to renew their account yearly in order for it to remain active. Selecting this option will open the renewal form, which will allow practitioners to view and update their contact/personal information before proceeding to pay. Estimated Narration Time:
Now that you have reviewed the registration process, we want to let you know what to expect from the review and approval process. Once your payment has been received, your account will be made active by TECPDS staff and you will receive an email letting you know that you have access to your account. Estimated Narration Time: 30
So now that you know what it takes to create and maintain a Workforce Registry Account, you might be wondering, what are the benefits?
For both Center Directors and Practitioners, this system will offer an avenue for accessing their professional development information anytime. Center Directors will have the added benefit that they will also be able to access reports pertaining to their staff, which can be then provided to their regulatory agencies, such as DFPS – Child Care Licensing. Center Directors and Practitioners can also utilize these reports for the purposes of professional development planning and use the information to help determine areas in which most and least training or coursework is being attained. Lastly, Center Directors have the added benefit that they can submit job posting and make them visible on the website’s Job Board, for anyone to access. Being that this website is specifically tailored to those who work in the early childhood field, the pool of candidates can be more targeted. Estimated Narration Time: 32
