If you are already familiar with how to reserve Press Accommodation there are a few key changes to note for London 2012:

– All rates include VAT and, in most cases, breakfast (the few exceptions are noted in the descriptions)

– No payment is due before January 2012

– Payment can be made with Visa credit card

– There will be no minimum stay period

– Reservations must be made by

The London Organising Committee of the Olympic Games and Paralympic Games (LOCOG) has reserved more than 5,000 rooms on behalf of the world’s press, photographers and non-rights holding broadcasters with E-category accreditation for the Olympic Games.

The Paralympic Games will have a separate Accommodation Guide. For many of you, selecting accommodation will be the first step in your London 2012 planning process. If your press organisation has never covered an Olympic Games, please take time to review this Press Accommodation Guide thoroughly, both in terms of the accommodation on offer and making your initial housing request.

Quick guide to reserving press accommodation

1. Study this Press Accommodation Guide, giving particular attention to the hotel descriptions and the section ‘Important information about press accommodation’. 2. Go to the Accommodation tab

of the Press Operations extranet, the Exchange, and download the electronic form to select your top three press accommodation choices before 27 May 2011. Select your top three press accommodation choices before

rooms available is likely to be significantly reduced. Please save your completed form and email it to pressoperations@london2012. com or print it out and fax it to the attention of Press Operations at +44 (0) 203 2012 001. 3. If you need rooms before Friday

6 July 2012, please email the Press Operations team at [email protected] 4. In autumn 2011, Press

Operations will send you the name of the hotel(s) to which you have been assigned, along with the electronic link to access LOCOG’s Accommodation Reservation System.

5. Follow the instructions on the system to reserve your room(s), after careful consideration of the dates and the number of room nights you will need. The deadline to make your reservation is 27 October 2011. 6. You will not be allowed to

reserve more rooms than the number of accreditations awarded to your press organisation.

7. A 50 per cent deposit is due by 5 January 2012. When you make your accommodation reservation, you will be given the following options:

– Request to be invoiced to pay the 50 per cent deposit by wire transfer. Payment will need to be received by LOCOG by the deadline of

5 January 2012 and this will require the download, completion and return of a Customer Details Form to the LOCOG Finance department. – Pay the 50 per cent deposit

online immediately by Visa credit or debit card.

– Defer the 50 per cent deposit online by Visa credit or debit card for any time prior to the deadline of 5 January 2012. – Pay 100 per cent online

immediately by Visa credit or debit card.

8. Regardless of the option you choose, you must pay a 50 per cent deposit by 5 January 2012 or you will lose your reservation.

9. You must make the second (final) payment by 27 March 2012 or you will lose your reservation and your first 50 per cent deposit.

With the vast infrastructure of existing first-class accommodation options offered in London, construction of a Media Village was unnecessary. The LOCOG Accommodation team resolved to reserve clusters of hotels for each group of the Olympic Family.

Experience from previous Games has shown that the success of the Media Transport System depends largely on the proximity of press accommodation to the Media Transport Hub.

To that end, LOCOG has contracted with hotels and university

accommodation in the Bloomsbury area of London, most within 15 minutes walking distance from Russell Square, the site of the Media Transport Hub. Feeder shuttles will also take accredited press from the accommodation to Russell Square, in most cases where the accommodation is more than a 10-minute walk away. Please be sure to read the description of each accommodation option to learn whether or not there is a feeder shuttle.

The Media Transport Hub at Russell Square will have regular service to and from the Main Press Centre in Olympic Park and to and from every competition venue, with the exception of the Lee Valley White Water Centre (Canoe Slalom) and Hadleigh Farm (Mountain Bike). All press accommodation options are also in proximity to St Pancras International station; from there, the high-speed Javelin®_{train will travel}

to Stratford International rail station in seven minutes. The Javelin®_will

be free of charge to all accredited media, but there will be no reserved carriages. Upon arrival at Stratford International, you will need to enter through a security checkpoint and take a loop-road shuttle bus around the Olympic Park to access the Main Press Centre. This shuttle bus journey will take approximately 10 minutes.

Accommodation facilities may require a major credit card (eg: Visa) or cash deposit in GB pounds to guarantee coverage of these expenses, and have agreed to maintain reasonable, customary and competitive prices and charges.

Accreditation requirement

Only accredited members of the press are allowed to reserve rooms from LOCOG and the number of reservations cannot exceed your accreditation allocation. So, if your organisation has nine E-category accreditations, you will not be able to reserve more than nine rooms.

Rooms near the Olympic Park

LOCOG has no press

accommodation located near the Olympic Park in Stratford.

Prices

Prices include Value Added Tax (VAT) and, in most cases, breakfast. A few university sites do not have restaurant facilities and therefore do not offer breakfast. However, they do have shared, fully-equipped kitchens. Please refer to descriptions in this guide.

All prices for rooms are per room per night (regardless of occupancy). If you choose to put two people in one room, the price of the room remains the same but you may be charged for an additional breakfast.

LOCOG cannot hold rooms unless they are reserved, confirmed with your online reservation and paid for in full. LOCOG is committed by contract to return to the hotel all rooms without a confirmed, paid reservation in early 2012. After that, the hotel will set its own rate, driven by the open market and supply and demand.

Room allocation

LOCOG will allocate rooms to specific hotels based on the date that you return the Press Accommodation Request form. LOCOG will make best efforts to place your organisation in the accommodation of your choice, but cannot make any guarantees.

Confirmation and amendments

Final confirmation of accommodation assignments will be made only after LOCOG receives your online reservation and corresponding payments.

Upon final confirmation, no changes, exchanges, refunds or credit transfers to other rooms will be allowed, unless released to LOCOG before 5 January 2012 (see ‘Release of rooms’ page 13).

No minimum stay period

In the past, press organisations had to reserve and pay for accommodation throughout the entire period of the Olympic Games, whether or not they actually needed it.For London 2012, you are able to reserve only the room nights you actually need: there is no minimum stay period.

For example, if you are a sports specialist, you may only require accommodation for the days of competition for your sport.

Please plan carefully. Because there is no minimum stay period, you will need to study the competition schedule carefully and have a high degree of certainty if you choose to reserve rooms for less than the complete period of the Games (27 July–12 August).

If you determine later that you need additional room nights, LOCOG may no longer have press rooms available. If you then reserve directly from the hotel (outside the LOCOG Accommodation system), the prices of rooms – even in the same hotel – may increase substantially.

LOCOG signed agreements with the hotels years ago, reserving rooms on behalf of the press, in order that you might benefit from the ‘benchmark average rate’. The rate was established using the average over the past four years of the room rates for the same category accommodation.

Payment deadlines

Once LOCOG receives your online reservation, you may pay by Visa credit or debit card or you may choose to be invoiced. For all payment methods, the deadline for the first 50 per cent deposit is 5 January 2012 and the deadline for the second 50 per cent payment is 27 March 2012. Press organisations may, if they wish, pay prior to those dates.

As in the past, all rooms must be reserved, confirmed with an online reservation (which will constitute a contractual agreement between LOCOG and your press organisation) and paid for in full by the final payment deadline of 27 March 2012.

Room types

Room sizes and amenities vary from one hotel to another. We have made the room descriptions as consistent as possible, and these were correct at the time of print. Please note the following standards when reserving your room: – Suite – Executive Double – Standard Double – Executive Single – Standard Single – Executive Twin – Standard Twin

Release of rooms

If you have reserved rooms online and then decided that you do not need as many room nights as originally thought, you can release rooms back to LOCOG until 5 January 2012 at no charge (be sure to check the terms and conditions upon reservation). If you have already paid for the room nights, the corresponding payment will be applied to the rooms you keep or refunded completely if you release all the rooms. If you wish to release rooms after 5 January 2012, please contact Press Operations at [email protected] and we will make our best efforts to put you in contact with another organisation who is seeking to reserve rooms. You will remain liable to LOCOG for all payments and the buying organisation would pay you directly. Please see the terms and conditions when reserving online for further details.

Paralympic Games

LOCOG has also reserved rooms for the Paralympic Games, but not in Bloomsbury.Details of the Paralympic Accommodation Programme will be available in autumn 2011.

Internet access

Internet services vary and some hotels charge for internet access. Please refer to hotel descriptions for details on internet services, current as of autumn 2010, when the information was compiled for this publication.

Parking

Few hotels or university rooms in London offer parking. Please refer to hotel descriptions for details on parking, current as of autumn 2010, when the information was compiled for this publication.

Accommodation in co-Host Cities

LOCOG offers accommodation in the co-Host Cities of Cardiff, Coventry, Glasgow, Manchester and Newcastle (the Football venues), as well as Weymouth and Portland (the Sailing venue), under the same terms and conditions as rooms in London’s Bloomsbury area.
