Job Description

About the College

Worthing College is a popular college with over 1700 students. Our mission to provide Opportunity, Achievement, Success and Progression is underpinned by our strong desire to become outstanding. We believe teaching and learning is the most important priority for all staff and students and the quality of teaching and learning and students’ achievements are the most important measures of college performance.

Background to the Posts

Three Apprentices are required to work and train in the college’s Marketing and Events team; to work across all team areas and functions. The work is varied and interesting with no two days the same! The team has a track-record of providing outstanding services to –

o Support effective marketing and events.

o Design and produce effective and attractive publicity materials. o Maintain and develop the college website.

o Develop and maintain the college website and social media. o Ensure people can find out what the college has to offer.

o Provide access to the best information and advice on what to study. o Ensure applications and admissions processes are of the highest standard.

o Support the internal and external communication needs of the college through eg telephone and reception duties.

o Support internal and external postal systems. o Develop and run two college shops on site.

The post holder will work as part of a highly professional and committed team. Apprenticeships

The Apprenticeship scheme provides unqualified staff with the chance to gain a nationally recognised

qualification. Apprentices in these roles work towards an NVQ in Business Administration, but an alternative NVQ subject could be considered. The time it takes to achieve the qualification varies but we would anticipate it would be achieved within 12 months from the start of the apprenticeship. The period of employment as an apprentice will normally end once the Apprentice has achieved the relevant qualification. NVQ training, assessment induction and ‘on-the-job training’ will be provided by Worthing College and team members, as relevant.

Title of post: Marketing and Events Apprentice Reporting to: Marketing and Events Manager

Responsible for: A range of duties within and across the Marketing, Admissions and Events team service areas.

Salary: £132.00 per week1

Other information: Hours: 40 hours per week, full year. Working hours will be predominantly Monday to Friday, although some weekend and/or evening working may be required. The apprenticeship will normally remain in force for 12 months or the normal period for achieving the relevant Level of qualification, if longer. You will complete training, as required, to support completion of the NVQ portfolio and additional study areas, as relevant. You will be required to complete relevant training such as food hygiene and manual handling. The majority of annual leave will be taken during college holidays.

APPRENTICE – Marketing and Events

Duties and Responsibilities:

The Apprentice will be responsible for a range of duties including -

 Assisting with the preparation of marketing materials for distribution or display.  Attending and supporting college events (sometimes in the evenings or at weekends).  Assisting with facilities’ hire and bookings including hospitality and logistics.

 Greeting and providing excellent customer service to students, staff and visitors, responding to all enquiries.  Reception desk duties.

 Dealing with telephone calls, emails, internal and external postal services.  Mailings and distribution of letters and memos

 Photocopying and printing a range of documents.

 Receiving deliveries to the college and assisting with distribution.

 Filing and record keeping including updating electronic database records.  Processing cash and card payments.

 Assisting with balancing cash registers with receipts.  Assisting with pricing goods for sale.

 Assisting with stock control and stock ordering and processing payments, stocking shelves etc.  Assisting with receipt and storage of stock.

 Assisting customers to find the products they are looking for.  Reporting discrepancies and problems/complaints to the Manager.  Ensuring standards of cleanliness and tidiness are maintained.

 Being vigilant within college shops to ensure all shop sales are correctly paid for.

 Ensuring fire exits and escape routes are kept free from obstruction and that all Health and Safety policies and procedures are adhered to.

 Working effectively with the Marketing and Events Team and others to contribute to the team plan and culture of excellence and to ensure that the college offers an outstanding service to applicants, visitors, students, staff and others.

 Participating fully in appropriate professional development, meetings and planning to meet the needs of the team and the college.

 Attending staff meetings, briefings and team meetings and participating fully in discussions about work.  Assuming responsibilities commensurate with developing skill levels.

 Deploying a range of new skills to become an excellent team member and a skilled, reliable individual.  Any other duties reasonably delegated by the Principal.

The postholder will be based within the Marketing and Events team.

NB: This is not a complete statement of all duties and responsibilities of this post. The postholder may be required to carry out other duties and responsibilities in keeping with the nature of the post.

APPRENTICE –

Marketing and Events, full time, 40 hours per week

Key terms and conditions - summary

1. Apprenticeship

Successful candidates will be offered full time employment of 40 hours per week, all year round. The

apprenticeship will normally remain in force for at least 12 months or until the apprentice has completed the relevant qualification, whichever is later. Working hours will be predominantly Monday to Friday although some evening and weekend working may be required.

You will be required to attend training which may include sessions at college or outside of college to support your work and completion of the NVQ portfolio and additional study areas.

The apprenticeship will begin when an apprentice is appointed. These posts will be line managed by the Marketing and Events Manager.

2. Apprentice salary

The Apprentice will be paid £132.00 per week, based on weeks worked and 40 hours per week, or the national minimum wage for an apprentice (currently £3.30 per hour from 1 October 2015), whichever is the greater. This rate applies to all apprentices for the first 12 months, regardless of age. National Minimum Apprentice rates are normally increased in October annually, although such increases are not guaranteed.

The Apprentice allowance is calculated based on the hours worked per week, the weeks worked per year and the annual leave entitlement (see paragraph 3 below). This sum will be divided by 12 and wages will be paid in 12 equal monthly instalments, until the date of leaving when we will calculate how many days have actually been worked up to the date of leaving, and re-calculate any entitlement to pay, as appropriate.

3. Holiday entitlement

The annual holiday entitlement is 25 days including 3 extra statutory days per year, plus 8 bank holidays, increasing to 30 days including 3 extra statutory days per year, after 5 years continuous service, plus 8 bank holidays. Three annual leave days must be used during the College Christmas closure period. All holiday and bank holiday allowances quoted are pro rata for part time staff.

You will be required to take the majority of your leave during the college holiday periods. 4. Pension Entitlement

You may be enrolled in the Local Government Pension Scheme, should you not wish to pay into the scheme you must complete an Opt out form.

5. Notice Period

Standard terms apply, subject to length of service. 6. Pre-employment Checks

This appointment is subject to satisfactory references, enhanced DBS (Disclosure and Barring Service) and health checks and presentation of original qualification certificates. We will always obtain references prior to interview. 7. Probation

A six month probationary period will apply to this post. As part of your probation period you are contractually required to complete the college induction programme. This is organised to inform and support you during the first few weeks of your employment at Worthing College and means you may have to attend induction training sessions outside of your usual pattern of work. Induction will begin on your first day.

8. Other terms and conditions

Standard terms apply, except where otherwise stated in the contract of employment. 9. Disclosure and Barring Service Check

The post is subject to an enhanced DBS check with a check of barred lists, as appropriate. Worthing College aims to promote equality of opportunity for all with the right mix of talents, skills and potential. Criminal records will be taken into account for recruitment purposes only when the conviction is relevant. Having an ‘unspent’ conviction will not necessarily bar you from employment. This will depend on the circumstances and background to your offence(s).

However, various kinds of employment, occupations and professionals are exempted under the Rehabilitation of Offenders Act 1974. Exempted occupations include work that brings the person into contact with vulnerable groups such as young people under the age of 18 and vulnerable adults. You must therefore indicate any spent or unspent convictions on your application and, as part of the interview process you are required to say whether or not you have a pending prosecution or have ever been convicted or bound-over at a court or cautioned by the police for any offence.

Your DBS check will be processed by the college on acceptance from you of an offer of employment. You will be required to pay the full cost of your DBS check (currently £44). If however the check is essential for your

apprenticeship the charge will be refunded on request once the apprenticeship is completed. The cost of the check (£44) will be deducted from your first full month’s salary payment unless it has already been paid by cash or cheque. You will be required to register with the DBS within 14 days of the certificate being issued (the registration fee is currently £13). Full details of this process will be provided on offer of employment.

10. Qualifications

Candidates will be required to bring to interview evidence of any qualifications declared on their application in the form of original certificates, together with proof of identity.

11. Data Protection Act 1998
