1. Purpose of training – Report Card Processing

Report Card Distribution – Thursday; 10/23/2014

• HCISD Grading Guidelines

• TAC Gradebook Category Type Scale – ‘REG’ and ‘NUM’ - (converts letter grades to numeric and vice versa) • Work Habits – If blank, Satisfactory grade is understood

2. eSchoolPLUS Mark Reporting Center > Checklist (use the procedures to produce Report Cards (RC))

3. Step A – Review Student Schedules

• Cognos Reports:

i. Scheduling – Active Students with No Schedules

ii. Scheduling – Inactive Stud with Active Sched or Active Sched for Diff Bldg iii. Scheduling – Schedules for Active Students By Grade Level incl. modeled sched iv. Registration – Alpha List with Students No Mailing Address

4. Step B – Run the Scheduling Synchronization to build report card records (see handout) • eSchoolPLUS > Mark Reporting Center > Calculations > Scheduling Synchronization 5. Step C – Ensure TAC Posting Window is Open otherwise contact Data Systems Department 6. Step D – Run the Attendance Calculations to build attendance records (see handout)

• eSchoolPLUS > Attendance Center > Calculations > Day Total Calculation (confirm process completes before next step)

7. Step E – Run the Interval Calculation – totals attendance by attendance code based on the day totals • eSchoolPLUS > Attendance Center > Calculations > Interval Calculation

8. Step F – Run the Missing Submission Reports to examine which teachers have not posted RC grades in TAC • eSchoolPLUS > Mark Reporting Center > Reports > Report Cards > Missing Submission

1. Teacher Access Center – Teachers Post Grades to the RC link – refer to TAC Webpage 2. eSchoolPLUS > Mark Reporting Center > Mark Entry by Course

3. eSchoolPLUS > Mark Reporting Center > Mark Entry by Student 9. Run the following recommended reports to analyze report card data

• eSchoolPLUS > Mark Reporting Center > Reports > Report Cards > Verification Sheets

• Cognos Report > Report Cards > Elem Schools – all marking periods 9 wks by homeroom or Stud.ID • Cognos Report > Mark Reporting > RC Information – Missing 9WK Grades

10. Step G – Print Report Cards – elementary schools use Cognos Reporting

• Cognos > Report Cards > Elem_Report_Cards > rc….

11. Step H - Run the following calculations as applicable to your building:

• eSchoolPLUS > Mark Reporting Center > Calculations > Honor Roll Calculation

• End of Year only – Mark Reporting Center > Calculations > Average Calculation for MP 4 for final grade 12. Items to Review on the Report Card

• Campus, Principal Name, Heading Titles, Student Name, Grades, Attendance, Campus Rating

13. Step I – Run Generate MR Data Warehouse in order to sync grades on Parent Access Center/Parent Link (see handout) • eSchoolPLUS > Mark Reporting Center > Calculation > Generate MR Data Warehouse

14. Trailing Report Card grades only occurs after MP grades are issued - Upcoming Workshop TBD

Elementary Report Card Printing – Checklist

2014-2015

Use this page to complete the options for generating report cards. This page helps to ensure that the

required tasks are run in the proper order. It also tracks the tasks to let you know which options have

already been run.

Mark Reporting Center > Checklist

1.

Click the link for the checklist’s first task. Be sure to run all tasks in the order listed. If the

Task field displays ---Other Task---, then the Note field will provide direction on the

step.

Complete the task’s processing page, then click

Mark Reporting Center > Checklist

to return to the Checklist page. The Done box

for the task you just ran will be checked.

If the Task column displays ----Other Task----, check the Done box to indicate the task in

the Note column was completed

Run the next task by clicking its link. Repeat Steps 1-3 until all tasks are completed.

If in MP4, enter the number of

days remaining for the school

year; otherwise, enter zero.

The ‘Finish’ button will not

darken until you enter a

number. The number entered

will add days present for MP4.

This is in place because

elementary schools print

Report Cards a few days before

school ends in May.

If marking period is after M1, make sure to

select prior marking periods. If no check

mark is indicated, the attendance for that

marking period will not appear on report

card.
