Introduction

Welcome to Parity Software’s Workflow Integrator!

Workflow Integrator addresses the business demand for easy to use SharePoint integration as well the ability to dynamically add workflow to any interface within Microsoft Dynamics GP.

Symbols and Conventions

This manual was written using U.S. English. Please consult the glossary in this manual for definitions of unfamiliar terms.

Carefully read all the terms and conditions of this Agreement prior to installing software. Do not register and activate this software until you have read this entire Agreement. Installing this software indicates your acceptance of these terms and conditions.

If you do not agree to these terms and conditions, then return the software and other components of the software package of this product to the place of purchase and your money will be refunded. If you downloaded this software in its demonstration form and you do not agree to the terms of the license, you may retain the software only in its demonstration form solely for the purpose of passing on the demonstration software to another prospective buyer.

No refunds will be given for products downloaded off of the Internet that have been registered and activated.

This software and related programs may be used only on a single site licensed for use of Microsoft Business Solutions-Great Plains® Standard or Professional Edition, for the number of concurrent users as provided for in the original Microsoft Business Solutions-Great Plains® Software

registration and purchase. Registration keys can be obtained directly from Parity Software. You may not distribute copies of the registered and activated software or any of the associated documentation to others. The demonstration version of the software may be distributed freely. You may not modify, reverse engineer, de-compile, disassemble or translate the software or related documentation without the prior written consent of Parity Software (Pty) Ltd.

2. Installation

2.1. Installation Package

Workflow Integrator may be obtained from the Internet. A number of files can be downloaded from our Internet site www.parity.co.za. These files are regularly updated on our web site together with any updates.

These files include:

the installation package the installation guide

the manual and supporting documents

These files are usually available as a zipped or PDF file. Take the zip file and unzip into its own directory.

When the package is unzipped it will contain the following sub-folders:

GP Installation – which contains the Chunk File and Workflow Integrator Assembly SharePoint Installation – which contains the Workflow Integrator SharePoint Solution

2.2. Minimum Requirements

2.2.1. Chunk File & Assembly

Workflow Integrator requires that you have successfully installed Microsoft Dynamics GP2010. Workflow Integrator does not require any specific Microsoft Dynamics GP Service Packs to be loaded in order for it to function. Because Workflow Integrator does not rely on any third party modules, it does not require that any other 3rd party modules are installed.

2.2.2. SharePoint Solution

This must be installed to the Microsoft SharePoint Server. The minimum requirement is Windows SharePoint Services 3.0. You do not require MOSS 2007.

2.3. Installation Process

2.3.1. Installing the Chunk File

In order to gain access to Workflow Integrator with in GP2010, the chunk file needs to be loaded. The procedure for loading the new chunk file depends on whether this is a first time installation or if you are upgrading to a newer version of Workflow Integrator. If you are upgrading to a newer version and changes have been made to the Table Structures, the Workflow Integrator Upgrade procedure needs to be followed. Refer to the Workflow Integrator Upgrade Manual for more information. The Workflow Integrator chunk file needs to be copied to the Microsoft Dynamics GP program folder.

1. Open the Microsoft Dynamics GP folder.

2. Paste the copied Workflow Integrator chunk file into the Microsoft Dynamics GP folder. Right click on the chunk file and select Properties from the list. Unmark the Read Only box. Click Apply and then click OK.

3. Launch Microsoft Dynamics GP.

4. Click Yes when asked if you wish to include new code in your Dynamics.set file. 5. Log into Microsoft Dynamics GP as „sa‟.

6. Please follow the installation wizard of Workflow Integrator and allow this to complete.

Use the standard 3rd party chunk load documentation for

loading the Workflow Integrator chunk file.

Please note: If you are upgrading from a previous version of Workflow Integrator then follow the special upgrade

2.3.2. Installing the Workflow Integrator Assembly

This component will be installed on the client machine using the Workflow Integrator solution from within Microsoft Dynamics GP. The assembly ensures that secure communication between SharePoint and Microsoft Dynamics GP can commence.

The MSI can be found in the package sub-folder called GP Installation. In order to install the Workflow Integrator Assembly follow these steps:

1. Extract that zip to a location on the client machine. 2. Click the MSI "ParityWorkflowIntegrator.msi". 3. This launches the wizard, click Next.

4. Select the Microsoft Dynamics GP folder you will be working from, click Next.

2.3.3. Installing the Workflow Integrator SharePoint Solution

This component will be installed on the SharePoint server. The component is a custom SharePoint approval workflow called "Parity - Approval Workflow". Should your server only have WSS then this component must be installed, as WSS does not have approval workflow like the MOSS application.

The Executable file can be found in the package sub-folder called SharePoint Installation. Please note: This installer has to be run on the server on

which the SharePoint site is hosted! The installer should not be run from a network folder. Ensure that the files are run from the SharePoint server.

In order to install the Workflow Integrator SharePoint Solution follow these steps:

1. Extract the zip to a location on the SharePoint server.

2. Click the EXE " ParityGPWFInstaller.exe". This launches the Installer. 3. Enter the SharePoint URL and click Install.

4. The program will install and a progress window will appear. This may take a few minutes.

3. MS Dynamics GP Security Roles

Once the Workflow Integrator chunk file has been installed the required security Tasks and Roles should be configured in Microsoft Dynamics GP so that the users may access the Workflow Integrator windows.

3.1. Security Tasks

Tasks should be setup for all windows types and reports.

3.2. Security Roles

An existing security role or a new security role should be set up to include the Workflow Integrator tasks.

The Workflow Integrator Setup and Object windows should be restricted to administrative user.

3.3. User Security

Finally link the appropriate users to the updated roles.

5.1. Adding the Parity - Approval

Workflow to a list in a SharePoint site

To add this Approval workflow to a list follow these steps

1. Navigate to the relevant SharePoint list to which a workflow needs to be added or modified. 2. Open the “Add a Workflow” page or the “Change a Workflow” page for the Parity – Workflow

Integrator list for which you want to add or change a workflow, by following these steps 3. Open the list for which you want to add or change a workflow.

4. On the Settings menu, click List Settings.

5. Under Permissions and Management, click Workflow settings.

6. On the Change Workflow Settings page, click Add a workflow or click the name of the workflow for which you want to change the settings.

If workflows have already been added to this list, this step takes you directly to the Change Workflow Settings page, and you need to click Add a Workflow to go to the Add a Workflow page. If no workflows have been added to this list, this step takes you directly to the Add a Workflow page.

7. Do one of the following:

If you are adding a workflow, on the Add a Workflow page, in the Workflow section, click the

Parity – Approval Workflow template.

If you are changing the settings for a workflow, type the names of the approvers, in the order in which they will approve in the “Approvers” text box, and click “Save”.

In the Name section, type a unique name for the workflow.

In the Task List section, specify a tasks list to use with this workflow.

8. You can use the default Tasks list or you can create a new one. If you use the default Tasks list, workflow participants will be able to find and view their workflow tasks easily by using the My

Tasks view of the Tasks list.

If the tasks for this workflow will reveal sensitive or confidential data that you want to keep separate from the general Tasks list, you should create a new tasks list.

9. In the History List section, select a history list to use with this workflow. The history list displays all of the events that occur during each instance of the workflow.

10. In the Start Options section, specify how, when, or by whom a workflow can be started. Ensure that the “Start this workflow when a new item is created” and “Start this workflow when an item is changed” checkbox is checked.

Setting up the Workflow

11. Click Next.

12. On the Customize Workflow page, add approvers to the People Picker dialog control. The order in which users are added will be the order in which they approve.

6. Uninstall

6.1. Uninstall Workflow Integrator Chunk File

Use the standard process to remove the chunk from the Microsoft Dynamics GP folder.

1. Ensure the Microsoft Dynamics GP application is closed.

2. Remove the PSWF6828.DIC from the Microsoft Dynamics GP folder.

3. Edit the DYNAMICS.SET file by removing the references to Workflow Integrator. 4. Save the DYNAMICS.SET file.

6.2. Uninstall Workflow Integrator Assembly

This solution can be uninstalled by using the Windows Add OR Remove Programs utility.

1. Search for Workflow Assembly. 2. Select and click Remove.

6.3. Uninstall Workflow Integrator SharePoint Solution

This must be done within the SharePoint environment.

1. The process requires that you first deactivate the feature for the site/s it is used in. Site Settings >> Site Administration >> Site Features

Site Settings >> Site Collection Administration >> Site Collection Features

2. Then the “parity.gpwfintegrator.wsp” solution will need to be retracted from within the SharePoint Central Administration site.
