New dental system (Compass) FAQs
1. What's happening with POL / dental portal?
POL
Dental Services is replacing Payments Online with a new contract management system. The new system will enable commissioners to do everything they currently do in POL and will provide a lot more additional functionality.
Portal
Dental Services is replacing the dental portal with a new system. In addition to the tasks dentists can currently do in the portal the new system will give them access to much more information than they currently have and will also introduce more self-service functionality.
2. Why are you taking POL / the dental portal away?
Dental Services work is currently being carried out on systems that are end of life and they are increasingly difficult for us to maintain.
To safeguard our business we have decided to replace all our systems at the same time with one system - Compass (that includes systems for commissioners, dentists and Dental Services staff).
3. When will we get the new system?
Commissioners
The new system will go live on 8 February. Dentists
Roll out of the new system to dentists will start on 8 February.
4. How do I get access to the new system / Compass?

The person / people with your health body who is/are currently POL administrators will be set up as administrators for the new system and from 8 February they will be able to create users for the system.
Dentists
From 8 February emails will be sent to every dentist (providers and performers) asking them to activate their accounts for the new system. Once an account has been activated users will have access to the system.
5. Can I use my existing log details?
No, your log in details for POL and the dental portal will be deactivated on 8 February.
6. Are you going to train us on the new system?
Commissioners
A series of awareness sessions will be held round the country at the end of January and early February. Help will also be available via the help screens in the new system, in Ask Us and on the website. www.nhsbsa.nhs.uk/compass

7. What help is going to be available to use to help us use it?

The new system has a completely different look and feel but will still enable you to do everything you were able to do in POL / dental portal.
8. Who'll be able to use it?
Commissioners
Anyone who has an account set up by the administrator for the new system will be able to use it.
Dentists
Every dentist who has an account for current dental portal will be given access to the new system
9. Will all existing POL users be able to use it?
Everyone who currently has an active account for POL can have an account for the new system.
10. Do commissioners and dentists have to use it?
Yes, from 8 February POL and the dental portal will not be available to use. You will have to use the new system.
11. Will people be able to carry out all the tasks that can currently be done in POL / portal?
You will be able to carry out all the tasks you currently do in POL / the dental portal.
12. What's Compass?
Compass is the name Dental Services have given to their new dental system.
13. What's different about the new system?
The new system will have a completely different look and feel. The main menu will be your starting point for each task you need to complete and help is available on

every screen in form of “hover overs” for key fields on the page and page specific help screens.
The new system will give you access to much more information that is currently available in POL and the dental portal and it will also enable to perform more tasks. Information for dentists and commissioners will be the same, there will no difference in the information presented, but users will only be able to view the information that you are entitled to see.
14. What is blackout, what will happen?
Commissioners
To get ready for the launch of Compass Payments Online (POL) will be available to view only from 25 January 2016 until. This means that from 25 January
commissioners will not be able to make any changes to contractual information in POL. Any changes that will be needed during this period must be made ahead of the blackout period starting
Dentists
A couple of key things need to happen to enable Dental Services to get ready for launch of the new system.
• From 25 January 2016 information in the dental portal will not be updated. This means that from that date there will no change to your activity figures. • The dental portal will still be available to view
• From 25 January Dental Services processing systems will enter a period of downtime which means we will pause the process of claims to enable the switch over of systems to happen
• On 8 February we will restart the processing of claims including all those submitted during the downtime period. All claims will be processed in time for you February schedule.
15. Will I still be able to update contracts / make changes during blackout?
No. Commissioners will need to make sure that any changes to contracts that will be needed during the blackout period are made before 25 January 2016.
16. Will I be able to view my latest schedule / latest activity figures during blackout?

You will be able to view your latest and historic pay statements and schedules. Unfortunately you won’t be able to view your up to date activity position. As all dental Services systems will be unavailable during the blackout period our Helpdesk will also not have access to up to date activity information.
17. Will I automatically get access on 8 Feb?
Commissioners
No, your current POL administrator, who will be the administrator for the new system, will have to set everybody up with an account for the new system. Dentists
No, access to the new system will be gradually rolled out so you will have to wait until you receive an email from Dental Services asking you to activate your account.
18. Will I still be able to view / use POL?
