Run WebNow on Your

Computer

The Graduate School’s electronic imaging system is called ImageNow.

ImageNow is a client-based system, which means that users must have a specific program installed on their computer to complete some of the work in the system. However, graduate programs may retrieve documents online using the internet-

based program called WebNow. WebNow is available at this link:

https://imageweb.umsystem.edu/webnow/ . Notes about this application:

1. It runs using JAVA. If you do not have JAVA installed on your computer

or you need to update your version go to http://java.com and download a

free copy. Then follow the prompts below.

2. You might have trouble running it on particular web browsers such as

Mozilla Foxfire. If that is the case then try switching to a different browser such as Internet Explorer.

Send Your Documents to

the Graduate School

or Document Submission

The following documents will be acceptable forms to submit and be be archived in WebNow:

a. All M-forms, DM-forms, D-forms, EdSp-forms

b. Graduate Certificates

c. Minors

d. Change of Committee forms

e. Course Substitution forms

1. Scan and email your signed forms to: [email protected] This

can be done in a variety of ways:

a. Attach multiple files (in PDF or TIFF) for different students to the same email (see example on next page).

b. And each attachment may be as many pages as you wish.

c. In the body of your email please list the following information:

Student’s Last Name

Student’s First Name

Student ID

Form Type(s) (eg. M1)

Expected graduation date

CAUTION: Do not, however, send a multipage document with a mixture of different students in the same attachment. (see example on next page)

Email No. 1 contains: one attachment for Jane Smith’s M1, and another attachment

Doug Kumar’s D2, which is three pages – THIS EXAMPLE IS OK

In summary, multiple attachments may be sent in one email message to the

[email protected] email box if:

 Each attachment contains only one student’s form.

 Each attachment contains only one document type per student (e.g. only a

D1 or only a M1 or only a Change of Committee).

In the following manner, please list in the body of the email the information outlined in this example. D2 D. Kumar Pg 1 (PDF) D2 D. Kumar Pg 2 (PDF) D2 D. Kumar Pg 3 (PDF) If an attachment has multiple pages

it must be all for the same student and all for the same document type. This example has a 3 page attachment all for D. Kumar for the D2 form.

An email with multiple attachments is ok. This example has two PDF attachments; one for J. Smith and one for D. Kumar

In summary, multiple forms for multiple students should not be sent included in the same, single file attachment.

View Your Documents

Using WebNow

or Viewing and Tracking Your Documents

The following steps will provide you with a basic working knowledge knowledge of how to search for your student records and view them in them in WebNow. The advantage to this process is that you can see its

progress from submission to approval without waiting on the Graduate School to return the approved document.

1. Log into WebNowusing your MU PawPrint and password.

2. Once you log in, you will see the Documents search page along with the

“views” you have access to. This example account has access to

Journalism MA and PhD records as well as records for students in the Graduate Minor in Law and Conflict Resolution.

Enter your PawPrint and password and click on ‘Connect’

2. To search for student files:

 Click on the “view” you wish to search; for this example, the C GS

Journalism view has been selected. This view contains records for masters and doctoral students in Journalism.

 Select a Quick Search option from the first drop-down tab.

Select a Quick Search option. Most common searches are: 1) Student Number

2) Name

Search by Name

 Change the first drop-down field to ‘Name.’

 Change the second drop-down field to ‘Starts With’ to search by LAST

NAME.

o Note: If you wish to search by first name then select ‘Ends With.’

Search by Student Number

 Change the first drop-down to ‘Student Number.’

 Change the second drop-down to ‘is equal to.’

For a Last Name Search update the second drop-down to ‘Starts With’

For a Last Name Search update the first drop-down to ‘Name’

Change to ‘Student ID’

In the blank field type the student’s last name

Update to ‘is equal to’

About Search Categories

 There are several search options in ImageNow/WebNow.

 Below is a “Search Option”guide for the first drop-down box.

 These options correspond to the column headers on your screen.

ImageNow/WebNow = Graduate School

Drawer = Academic Program

Student Number = Student Number

Name = Student’s Last , First & Middle Name

Program Code = Abbreviation of Dept Name (ex. ELPA)

Advisor = Taken from myZou

Admit Term = When admitted into program

Document Type = Type of document at MU (e.g. M1)

Any Document Key = Will search all categories

Custom Property… = Other properties to search by (see below

More About Search Categories

 You have even more columns in your view.

 You can search by many of these by selecting.

 “Custom Property…” in your dropdown menu.

ImageNow/WebNow = Graduate School

Pages = Number of pages in the entry

C GS Plan Description = Degree (ex. ELPA-PhD)

C GS Program Description = Major (ex. ELPA)

C GS Sub-Plan Code = Emphasis (ex. Ed.Amin_PhD)

Completion Term = Term student graduated

4. After clicking ‘Go,’ a simple search for a name containing “Smith” returned 54 files.

5. To view a TIFF image of a document, highlight and double click on the record. Highlighted below are the various components of the “document view”.

6. To toggle thumbnail views select the F9 function on your keyboard.

Click on the thumbnails to view different pages within documents.

Customizing Your View

or Ease of Use

The Graduate School recognizes that not everyone works in the same the same way. Therefore, the following information is to help you you customize your view of WebNow so that you find it efficient and useful for your daily practices.

Please note that although when customizing your view you will need to reset it each time you log into WebNow, it can be well worth the brief moment it takes you to reset so that your experience working in WebNow can go smoothly.

How to add additional columns of information to your view

Wish you had more information about the document you are looking at? To add more columns to your view, simply point your cursor over one of the column headers, right click, move your cursor over ‘column’. Several column options will show up.

One that we suggest adding is ‘Notes.’ This is where a Graduate School staff member might leave a brief note for the reader.

How to move columns

Wish the columns were in a more convenient order? Simply left click and hold down the cursor over the column you wish to move. Then drag it to the desired location and release the cursor.

How to sort alphabetically

Click once on the column header you wish to sort from A to Z. Click it once again to sort it from Z to A.

Custom Searches

The Graduate School staff can work with you to set up advanced searches

(“Private Filters”) in WebNow. Please contact Terrence Grus ([email protected] ) or 882-9573 with questions or for assistance.

Documents that should NOT be sent through WebNow

-Registration Forms (Late Changes to Registration, Term Withdrawal, Course Withdrawal)

-Admissions Forms (Change of Degree forms, Acceptance forms, Reactivation forms) -Electronic thesis or dissertation forms
