1 Introduction to Web Mail
Web Mail provides you with web-based access to their Everyone.net account. With functionality similar to desktop email applications, web mail provides a rich experience to instantly access your email, calendar, contacts, and one_storage files.
Web Mail works best with the following system configuration:
A laptop or desktop computer manufactured within the last 3 years
o Internet Explorer o Firefox
o Safari o Chrome
A 56 Kbps Internet connection or faster
Note: Smartphone and tablet users should use one_mobile instead of Web Mail. Everyone.net cannot support a browser that does not support Flash or Java at this time.
1.2 Recommendations for using Web Mail
Always enable pop-ups from the Everyone.net site because some options, such as Printing, appear in a new browser window. You’ll also need to enable pop-ups to save a message to your computer. Just go to your browser and in the Tools menu, click the option to enable pop-ups.
Web Mail performance is influenced by your computer’s CPU speed (often measured in GHz) more so than the speed of your Internet connection. If Web Mail runs slowly on your compute, you can switch to Classic Web Mail. However, you should be aware that you will lose access to some functionality, such as one_storage.
1.3 Accessing your Web Mail
To login to your email account:
1. Go to your Web Mail login page.
2. Enter your username (first portion of your email address, before the @).
3. Enter your password. 4. Click Login.
Checking Remember Me saves your user name and password on your computer. Do not select this feature when accessing your account from a public computer.
The exact web mail URL is provided in your administrative Control Center, or by your site admin. 1.4 Enabling and Disabling Web Mail
You can easily enable and disable the rich Web Mail interface at any time.
1.4.1 To enable Web Mail:
1. Click Options. (This link is located in the upper-right-hand corner to the left of the Help and Logout links.) (This instructions are for if you are currently using the Rich web. When using the Classic, it is a button on the left side.)
2. Click Preferences.
3. Scroll down to Web Interface and select the radio button for “Yes, enable the new features.” as shown below.
1.4.2 To disable Web Mail: 1. Select Options. 2. Select Preferences.
3. Scroll down to Web Interface and select “No, use the Classic interface.”
1.4.3 Admin functionality
The administrator of your service can initially set what interface an end-user has to start out with.
2 Your Web Mail Home Page
The Home page opens when you log into your web mail account. Initially, you’ll see two main sections:

2.1 Navigation Pane
The Navigation Pane shows icons that you use to access your address book, view your calendar, write a new message, and apply folder actions. It also lists all of your web mail folders such as Mail, Contacts, and so on.
The standard system folders (Inbox, Spam, Drafts, Sent, and Trash) are shown above. You can add your own folders and subfolders. Folders that you add can be renamed, moved, and deleted. These functions are described in the section titled Web Mail Folders.
Note: System folders are not changeable by using the Folder Actions menu. Viewing Folder Contents
When you click a folder in the Navigation pane, that folder’s contents will appear in this area of the Home page. This is where your email will appear.
2.2 Usage Summary
The Usage Summary provides information about your storage capacity, and your account status.
Information and messages from your administrator may occasionally appear below the Usage section.
3 Using the Inbox
Click the Inbox folder to see all new mail, except for email being filtered by SpamShield or Email Rules. The picture below shows the inbox with the Reading Pane visible.

3.1 Resizing Columns and Panes
You can change the width of the From, Subject, Date Received, and Size columns. Using the same technique, you can change the width of the Navigation Pane and adjust the height of the Reading Pane.
3.1.1 To change column width:
1. Move the mouse pointer over the column border until the double-headed arrow appears. 2. Click the left mouse button and drag the double-headed arrow left to decrease and right
to increase the width of the column.
3.1.2 To change the size of the Reading Pane:
1. Move the mouse pointer over the column border until the double-headed arrow appears. 2. Click the left mouse button and drag the double-headed arrow up to increase and down

3.2 Moving messages
You can move messages in two ways. You can use the Move menu or simply drag the message to a new location.
3.2.1 To use the Move menu:
1. Select the message you want to move.
2. In the Web Mail toolbar, click Move to display the list of folders. 3. Select a destination folder and click.
3.2.2 To drag-and-drop a message:
1. Display the contents of the folder that contains your message. 2. Select the message.
3. Drag the message to the desired location or folder. 4. Drop the message by releasing the button.
Note: The message will indicate whether the location is valid or invalid.
3.3 Selecting a message
As in other email programs, you can select one or several messages and then move or delete them.
3.3.1 To select or deselect a group of messages:
1. Press the Shift key and select the first message in the group. 2. Without releasing the Shift key, select the last message in the group.
3. Move or delete the group of messages.

3.3.2 To select discontinuous messages:
1. Select the first message and click the Ctrl key.
2. Without releasing the Ctrl key, select the next messages.
3. Release the Ctrl key once you are finished selecting all desired messages. 4. Move or delete the selected messages.
Note: Mac users should use the Command key instead of the Ctrl key.
3.4 Sorting messages
Messages in a folder can be sorted by the sender name, subject, date and time, or the size of the message.
To change the sort order of messages in a folder: Click the column header.
3.5 Reading a message
You can read text messages or files in Web Mail. You can also forward or reply to received emails. Any of the attachments in the original mail may be attached or inserted inline to a forwarded email.
Click a message to preview it if the Reading Pane is open.
Double-click on a message to open it if the Reading Pane is hidden. This picture below shows the header portion of an open email with an attachment.
Fields in the email header are:
From Contains the sender’s name and email address.
To Displays the name and email addresses of the recipients.
Subject Describes the subject of the message if the sender specified one.
More/Less Clicking More displays more headers and information about the message. Hide this information by clicking Less.
Attachments If you received an attachment with your message it will be displayed in this section. Here you can select Download to save this
attachment to your computer: In addition, you can save to one_storage if available.
To View or Open the Attachment, click the file attachment’s name. A new browser will open displaying the document
To Download the Attachment, select the Save link next to the attachment name.
To save to one_storage:
1. Click the one_storage link. 2. Choose where to save the file.
External Images Externally-hosted messages might be hidden and appear as a broken image. A yellow info banner will display above the message when external images have been blocked. Click Load External Images to view these images.
Web Mail hides externally hosted images by default to protect you from web bugs used to track your activity, and accidental exposure to undesired content.
Choose View Options in the yellow info banner to specify how Web Mail behaves when it encounters a hosted image.
3.6 Replying to a message Select a message and click Reply. 3.7 Replying to All
Select a message and click Reply All. 3.8 Forwarding a message
By default, forwarded messages are sent as attachments and show just below the subject line of your message.
3.8.1 To forward a message:
1. With the message selected, click Forward.
2. Enter the email address of your recipient in the To: field. At least one email address is required.
3. Click Send.
However, you can change the default behavior and have your forwarded messages sent inline with the new message.
3.8.2 To change your Preferences:
1. In the upper right corner of the web mail page, click the Options link. 2. Under Additional Options, click Preferences.
3. Click the radio button to have your messages forwarded inline.
3.8.3 Forwarding settings
In most instances, we recommend using the forward as attachment instead of using inline. Attachment – attaches the entire message chain so the recipient can view the entire
message, and the previous messages in the RFC format. Also, this retains original formatting of the message.
In-line – when headers to not matter, and you want to compress the message to remove images, and remove some formatting.
3.9 Printing a message
We recommend you always allow pop-ups from our site because Printer View opens in a new browser window.
3.9.1 To print a message:
1. Select the desired message. 2. Select Print from the menu.
3.9.2 Browser print function
If you use your web browser’s print function, you are printing the entire page on-screen. This will include the top borders, side menu, etc. We provie the print function to print just the email message itself by using a pop-up to focus strictly on that message along with it’s headers. 3.10 Deleting Messages
If your account reaches the maximum storage quota limit, you will not be to receive new messages. You will receive a quota warning message when you near your storage limit.
1. Select the desired message or messages. 2. Select Delete from the menu.
3.10.1 To permanently delete emails from the Trash folder: 1. Select the Trash folder.
2. Click the Folder Actions icon.
3. Select Empty Folder. This action permanently removes all messages from the Trash folder.
3.11 Checking External Mail
You can check message from other email addresses using your Web Mail. For more information about the programs you can access, review Check External Mail later in this guide.
3.12 The Actions Menu
This menu contains several message actions which can be applied to one or (in some cases) more email messages.
3.12.1 Flagging a message for Follow-up
Adding a flag to a message simply provides a reminder to you or the recipient that something needs attention or should be tracked. To remove the flag, just select the message and click
3.12.2 Marking messages as read
You might use this to reduce the number of unread messages in your folder but still keep the message.
3.12.3 Viewing the Message Source
Using this menu item shows you detailed information about the message, its format, type, and so on.
3.12.4 Saving a message to your computer
Select this menu item to save a message to your computer. You’ll need to respond to the standard File Download Security message and specify the location for the message.
Note:Make sure you have pop-ups enabled so that you can use this option.
3.12.5 Adding a Contact
This feature is available when a single message is selected 1. Select a single message.
2. Select Add Contact.
3.12.6 Approving Sender(s) 1. Select the desired message. 2. Select Approve Sender.
3.12.7 Reporting messages as spam & deleting them
This will automatically report the message as Spam and move it to the trash or Spam folder
3.12.8 Showing and hiding Reading Pane
Select Show Reading Pane to view the message of a selected email without opening the email message.
4 Creating a Message
In the Navigation Pane, click the Compose icon to open a new message window.
Below is a brief summary of the fields and features available when you compose a message. By default, auto-save draft saves messages every minute but you can change this preference.
To Here you can enter the email addresses of your
recipients. Please keep in mind that an email address consists of firstname.lastname@example.org. (Is it notable to add that we have an auto-fill feature from the address book if they start typing in a person’s name or email address?)
Cc This field is to be used when you wish to send
copies of the message to people other than the recipient. Your recipient will then see that the person(s) who received the copy. Hence the name carbon copy (Cc).
Bcc Blind Carbon Copy works similar to Cc, however
none of the recipients will see any email addresses entered in this field.
Use Address Book You can use the Address Book to find names, email addresses, and groups.
1. While on the compose page, click Use
Address Book to display your contacts
from a pop-up window. Either use Find or select the first letter of either name to find the contact or group.
2. Click To, Cc, or Bcc to place the contact name in the correct field.
3. Compose your email message, and then click Send.
Add Contacts If you enter an email address not currently in your Address Book:
1. After clicking the Send Message button, click the box next to each recipient you want to add or click All.
2. Then click Add Contacts. 3. Click Return To Inbox.
Subject Enter the subject of your message.
Save copy to Sent folder Check the box next to Save Copy if you wish to save a copy of the email message in your Sent Folder.
Spell Check Check the spelling of the message you’re writing
by clicking this icon. Click any highlighted words to see a list of suggested corrections.
Plain/Rich Text This feature allows you to change the formatting of the message from Rich Text to Plain Text and vice-versa.
Note: All formatting changes will be lost when you switch from Rich to Plain text.
Font Select a font from the list.
To change the font at the beginning of the message:
1. While in the body of the message select the desired font from the list

Font Size Select a font size from the list.

Font Color This feature allows you to select a font color from the list.

Highlight Color This feature allows you to highlight text within the message.

Italics This feature allows you to change normal text to italic within a message.

Underline This feature allows underline the text within a message.
To underline text: 1. Select the text

Strikethrough This feature allows strikethrough for the text within your message.
To strikethrough text: 1. Select the text
2. Select then click on the Strikethrough icon
Superscript/Subscript This feature allows you to create superscript and/or subscript text.
To superscript/subscript text: 1. Select the text
2. Select then click on the Superscript/Subscript icon
3. Select the option from the drop down list
Paragraph Alignment This feature allows you to change the alignment for different paragraphs or the complete email. To change the paragraph alignment:
1. Select the paragraph
2. Select then click on the Paragraph Alignment icon
3. Select the option from the drop down list
Indent/Outdent Allows outdenting or indenting of certain text. To indent text:
1. Select the text.
2. Select then click on the Indent/Outdent icon.
3. Select Indent. To outdent text:
1. Select the text which has already been indented.
2. Select then click on the Indent/Outdent icon.
3. Select Outdent.
Bullet List/Numbered List Lets you create a bulleted or numbered list in your message.
To create a bullet or numbered list: 1. Select the text.
2. Select then click on the List icon 3. Select the option you want.
Horizontal Rule Lets you to add a horizontal line to your email messages by selecting the Horizontal Rule Icon.
Background Color This feature allows you to change the background color for the message.
To select a background color:
1. Click the Background Color Icon. 2. Select the color from the chart.
To deselect the background color:
1. Click the Background Color Icon
2. Select the “white/transparent” color from the chart.
Background Image (optional)
If this feature is available, you can chose from one of the many backgrounds available to you.
Note: This feature must be enabled by the account administrator.
To remove the background:
1. Click the Back Ground image button. 2. Select None.
Emoticon Use an emoticon in your message:
1. Move your cursor to the location where you would like to place your emoticon. 2. Click the Emoticon button.
3. Select the image.
This feature allows you enter images which are found on the internet.
To insert pictures as embedded images: 1. Click the Link Image button
2. Enter the location of the image which must be available online.
3. Click OK
Link URL This feature allows you to link selected text to a website.
To add a link:
1. Type the word(s) you will be linking to the URL
2. Select the word(s) by highlighting these 3. Click the Link URL button
4. Enter the URL 5. Click OK
4.1 Sending Messages
4.1.1 To send a message:
1. Ensure you have enter the email address of your recipient in the To field. At least one email address is required.
2. Click Send.
A confirmation message appears notifying you that your message was sent.
4.1.2 To Save All Sent Messages to your Sent Folder 1. On the left of the page, click the Options link.
2. Under the Additional Options button, click the Preferences link.
4.2 Creating Drafts
Saving a message as a draft allows you to compose a message and return to it later without sending. By default your auto-save draft option will save messages every minute.
4.2.1 To save a message as a draft: Click Save Draft.
4.2.2 To retrieve the draft message: 1. Click Mail to display the list of folders. 2. Select the Drafts folder.
3. Find the message and add more text, correct the contents, or send the message.
4.3 Canceling a message
Once a message has been sent you can not stop the delivery. However, you can click Cancel any time before you send it.
4.4 Sending a file with a message
Web mail has two ways to send a file over the Internet. You may see one or both buttons depending upon your account.
4.4.1 Attach a file
Use Attach to send files or pictures with email messages. Attachments can be text documents, spreadsheets, graphics, photographs, or sound files.
To Send an Attachment:
1. Click the Compose icon to open the window for writing a new email. 2. Select a file from the file browser window, and click Open.
3. The file you selected appears below the subject field.
Note: You can send up to 25 MB of attachments per email, either as a single file or group of smaller files.
4.4.2 Sharing a file
Use Share to send files with email messages and upload the file to your one_storage service.
To share a file:
1. Click the Compose icon to open the window for writing a new email.
2. Click Share and choose whether to share from the computer or from one_storage.
Click Open to add the file to your message. (A note should be set that the file shared will automatically be uploaded to the one_storage.)
If you choose to share from one_storage, the window that appears contains all of the files you have stored there.
Select one or several files and then click Close.
Note: You can share up to a 1 GB (1,000 MB) file from your one_storage service.
5 Address Book
In your Address Book you’ll find the contact details, such as email addresses, names, and phone numbers. All services come with the default Personal Address Book. However some services also include a Shared Address Book which contains shared contacts for that domain.

5.1 Accessing your Address Book
Click the Contacts icon at the top of the Navigation Pane or click the Contacts tab. .
5.2 Selecting an Address Book
Your Address Book has two sections, Personal and Shared Contacts. Personal contacts are contacts you add. These contacts can be changed and modified at any time. Shared Contacts can be changed and modified only by your web mail administrator.
This address book is your primary address book that all settings are defaulted to. You can edit and such as describe below.
5.2.2 Shared Contacts
With our one_business service, all accounts have a shared contacts based off our administrative level Shared Address Book. Entries in this area cannot be edited in any way. Only the admin has the functiolity to change information through the Control Center.
5.2.3 Additional books
As an added feature, you can create more address books personaliszed to yourself. The default setting will always be the “Personal” contacts. However, anything moved to your other books can be searched and used.
5.3 Searching the Address Book The Address Book can be searched by:
First Name Last Name Email Address
Just select the folder or subfolder you want to search and enter a first name, last name or email address.
5.4 Sorting the address book
The Address Book uses standard sorting with an upward pointing arrow indicating that the names are sorted in ascending order of first name, last name, or email address. Clicking the column header resorts the list of last names in descending order. If there is no name, then the email address is displayed, and will sort by that first.
5.5 Adding a New Contact
In the Address Book, click New to open the new contact screen.
5.5.1 Adding New Contact Information About adding the email address:
1. Click the link to add an email address.
3. Enter the email address in the field provided. (This is the primary address for a new contact).
4. Repeat if you want to add a second email address, but be aware that the first email is still considered the “primary” email address.
Note: If no email address is entered, the Auto Complete preference will not recognize this contact when composing a message.
Entering the Name information
Be sure to complete the Name fields so that search can find this contact.
Add a Photo (optional)
You can attach a photo by clicking the Add link.
Add a phone number
1. Click the “add phone number” link.
2. Select the type of phone number and enter it in the field provided. 3. Repeat if you want to add more numbers.
Add an instant message ID
1. Click the “add IM entry” link
2. Select the type of IM service from the drop-down list. 3. Enter your screen name for that service.
4. Repeat to add additional screen names for different services.
Add an alternate physical address for deliveries
1. Click the “add delivery address” link. 2. Select the type of address.
3. Enter the address details.
4. Repeat if more addresses are needed.
Add a website url
1. Click the “add url” link.
2. Select the type from the drop-down list. 3. Enter the website address.
4. Repeat to add more websites.
You can entered more information about the contact in the notes field. When you’ve finished entering all information, click Save in the upper right corner of the screen.
5.5.2 Adding Contacts after Sending a Message
The Address Book lets you automatically add an unknown contact after sending an email message. This application detects when the email recipient is not already added to the Address Book and gives you the option to add them.
1. Compose your email message, and then click Send.
2. On the Add Contacts screen, click the box next to each recipient you wish to add to the Address Book, and then click Add Contacts.
(If the recipients are already in your Address Book, no checkboxes will appear.) 3. Click Return to Inbox.
(Not sure, but I know you wanted to take out duplicates. This was already stated above.)
5.6 Adding a New Group
You can create a single group name to send a message to several contacts at once. 1. Click the New List button.
2. In the Name field, type the name of the List.
3. Type in the email address you want to add in the “Entries” field, then press the add button.
Note: Typing in the name or the email address in the “Entries” field will use the Auto
Complete preference as it does when you are writing a message, so it will find entries from your Address Book.
4. Repeat adding entries as needed.
5. Click Save Changes to take you back to your Compose page. 5.7 Importing Contacts
In order to import contacts into your address book, you will first have to export the contacts from a supported mail client. Once you have that file, you can add this to your Web Mail address book by clicking Import:
To import the address book:
1. Select the application that exported the contacts 2. Upload the file from the hard drive that contains the file. 3. Click Submit.
Note: Entries will only be imported once. Duplicate or invalid entries will be ignored. If you need assistance with this, contact support.
5.8 Editing a Contact
From within Contact Address Book:
1. Select the contact you want to edit.
2. Click Edit in the upper right corner of the screen.
3. Make changes and then click Save in the upper right corner of the screen. 5.9 Deleting a Contact
From within Contact Address Book:
Select the contact and then click Delete.
There is no prompt to confirm deletion. Once deleted, the contact is gone. 5.10 Sending Mail to a contact
1. Highlight the email address from the address book list. 2. Click Send To.
To send to multiple contacts:
1. Highlight the block of contacts while pressing the Ctrl key. (Command key on Mac) 2. Click Send To.
5.11 Adding a book
Using the action menu or right clicking on a folder,,you can add another address book by selecting new, then naming the book. The name cannot be the 2 names listed.
Once you create the book you can always rename it using the actins menu, or right clicking the folder name.
If you delete a contact, and it was not in another address book, you have completely removed that contact from your entire Contact section.
5.12 one_mobile service
Our one_mobile can sync your contacts to your mobile device. In addition, when you create and modify contacts from your mobile device, it will update your web mail contacts.
Caution: Before you use one_mobile, be sure to back up the contacts on your mobile device.
6 Web Mail Folders
The Navigation Pane displays a list of available folders. From this pane you can easily drag and drop messages and folders. You can also add new folders.
6.1 Selecting Folders
To select a folder click on the folder’s name
To select a sub-folder:
1. Click the arrow next to the top level folder. This expands the list so that you can see all subfolders.
2. Select the desired folder from the list. 6.2 Creating Top-Level Folders
To create a top level folder:
1. In the Folder Actions menu, select New. 2. A new untitled folder will appear.
3. Enter the name of the folder and press Enter. 6.3 Creating Subfolders
To create a sub-folder:
1. Select a top level folder.
2. Click Folder Actions to display the menu and select New Subfolder. 3. Enter the name of the folder and press Enter.
6.4 Moving a Folder
You can move user-added folders in two ways. Use the Move menu or simply drag the folder to a new position.
To Move a folder using the Move menu:
1. Select the desired Folder
2. In the Folder Actions menu, select Move to display the possible destination folders. 3. Select the location.
To move a folder using drag and drop:
1. Select the folder to be moved. 2. Drag it to the desired folder.
3. Drop on the folder by releasing the button.
Note: The folder will indicate whether the location is valid or invalid.
6.5 Changing Folder Properties
You can control behavior of some folders by changing Folder properties.
1. Select the folder you want to change.
2. Display the Folder actions menu, and click Properties.
The Folder Properties window is specific to the folder you selected. This one shows the preference choices for the Trash folder.
The Folder Janitor allows you to specify when to empty or delete messages.
If you need to get back to the Home page while you’re using Web Mail, just click the Home link located on the upper right section of Web Mail.
6.5.1 Using Folder Janitor
Folder Janitor Properties Page
To use the Folder Janitor: 1. Select the desired folder
2. In the Folder Actions menu, click Properties. 3. Choose the options you wish to use, then click Save. 4. Click OK.
6.6 Renaming a Folder
To rename a sub-folder:
1. Select the folder you want to rename.
2. Display the Folder Actions menu and click Rename. 3. Enter the new name.
6.7 Deleting a Folder
To delete a folder:
1. Select the desired folder
2. In the Folder Actions menu, click Delete.
3. You will be asked to confirm the deletion of this folder. Click OK or click NO to cancel deletion.
Note: The Inbox, Sent, Trash, and Spam folders cannot be renamed or deleted.
6.8 Emptying a Folder
To empty a folder:
1. Select the desired folder
2. In the Folder Actions menu, click Empty Folder.
Note: This action is only available for the Trash and Spam folders.
7 Searching for Messages
7.1 To start a simple search: 1. Select the desired folder
2. In the search field shown below, enter your keyword and click Search.
7.2 To refine your search:
1. Click the magnifying glass in the Search Field to display fields that allow you to narrow your search.
2. Enter the search criteria. 3. Click Search.
This search is very strict, and may not yield the results you are looking for at all times, especially if searching for the body of a message.
8 Viewing Web Mail Options
To see Web Mail Options, click the Options link located in the upper right hand corner of the Home page. Depending on the account plan you have, you will see one of the following Options lists.
These pages are organized as described in the sections below. 8.1 Your Information
Here you can update your personal information and change your password for your account. These options are available for all accounts. You should update this information as needed and change your password regularly.
8.1.1 To update your personal information: 1. Click the Personal Profile link. 2. Update your information. 3. Click Save
Note: This does not change your display name.
8.1.2 To change your password: 1. Click the Password link.
2. Enter current password, then choose a new password.
a. Please make sure your password adhers to the password policy. 3. Re-enter your new password again to ensure it matches your first entry. 4. Click Save.
8.2 Mail Handling
Options in this section allow you to specify how your mail should be handled.
8.2.1 Email Forwarding
You can forward all your email to another email address and optionally keep a copy in this mailbox too.

Enter one or more email forwarding email addresses separated by commas. For example; email@example.com for a single email address and
8.2.2 Auto Response
This feature will send a custom message in response to all email that you receive for the duration of time that you specify. Also, your senders will only receive one notification in a 24 hour period. Therefore they can freely email you without constantly receiving your auto response message. Auto Response is turned off by default when you open your web mail page.
To turn on Auto Response:
1. Select Turn on Auto Response. 2. Choose a Start date.
3. Choose an End date.
4. Enter the subject line for your message. 5. Enter your message
6. Select Yes if you want to save all incoming mail in your Inbox.
7. Select No if you if you want all email to be rejected until the end date specified.
8.2.3 Check External Mail
You can read email from your other accounts (work, home, or remote locations) if your service provider or company provides a POP server.
You must enter the following information for your external account: POP Server Hostname
POP Server Port
POP Account Username POP Account Password
Note: Check External Mail does not support IMAP accounts.
8.2.4 Email Rules
Email Rules route messages to the designated folders and can be used to approve or block senders based on advanced criteria.

Note: If you do not have any rules set up there will be none listed on the page.

8.2.5 Email Notification
You can set up your mailbox to notify you when a new email is received. You can receive notification from another mailbox even when you are not logged into your account.
To set up mail notification:
1. On the web mail home page, click Options. 2. Click Email Notification.
3. In the “Receive a notification of new mail at this address” field, type the address of a
second email account.
4. Specify a preference for the “Receive no more than one notification every” field. The options are one hour, four hours, or one day.
5. Click Save.
8.2.6 SpamShield (Lite or Pro)
SpamShield provides powerful tools to block junk email. You can block senders, hide external images, add approved senders to your list, and with our Pro service, you can insert a SpamShield header in your messages.
To specify SpamShield preferences:
1. On the web mail home page, click Options.
2. Click the SpamShield link to display the page where you can make your choices.
8.3 Additional Options
Additional options may vary based on your account type. See your web mail administrator with any questions about your account. You may see other services listed here.
8.3.1 Check Email With Outlook or Other Software
8.3.2 Shared AddressBook
Tutorial section on how to set-up your email program to use the LDAP service to see the contents of the Shared AddressBook in an email program. Please make sure to follow the inputs as indicated, as they are exaxctly for this account logged into.
This is for the remote wipe functionality if the administrator has allocated the function to the end-user.
*NOTE: This feature is potentially dangerous. Please do not use this feature if you have not lost your mobile device. This will factory reset your mobile device, therefore wiping out all data on it.
This is a download section for users if the one_sync service is available. Please keep in mind one_sync only functions with Outlook versions 2003 and 2007.
You can append a customized signature to all of your outgoing messages.
Set these preferences to customize how your messages are managed: Enter the name you would like displayed on the From line
Select the Reply To address you would like to use for outgoing messages. Most email programs will automatically reply to the Reply to Address if it’s different than the From address.
Choose the form of forwarded messages. Chose Inline to forward contents with your message, or Attachment to forward content in its entirety.
Set auto-save to save messages every minute.
Turn on Auto Complete to get suggested contacts from your Address Book and have the names filled in for you. You simply type a few letters of the contact you want, and you’ll see a list of possible matches from which to select.
Choose the text editor for your messages. Rich Text Editor features document styles like a word processor, while the Plain Text Editor creates messages readable by most any email program
Set the default font for your RichText Editor.
Save Sent Messages On or Off. Sent messages are saved in your Sent folder, which can be automatically synchronized with other email programs that use IMAP or one_mobile.
Set your Time Zone, Date Format, and Time Format. Choose whether or not to enable new features.
9 Using Web Calendar
The calendar icon is on the Navigation Pane of the Web Mail home page. Like any other email calendar, you can view a specific date, week, or month.
The web calendar can be used for personal and business appointments. It can also be used with other one_business products, specifically one_sync and one_mobile.
Settings in one_sync allow you to give other users access to your calendar and see their
calendars. See the subsequent section describing how to use the Web Calendar with one_sync.
9.1.1 Scheduling Events
When you are the organizer of a meeting or event, you’ll be able to check the free/busy times of your attendees by using the Event Editor in Web Mail.
18.104.22.168 To schedule an event in Web Mail:
1. With the calendar open, select the time period and double-click the left mouse button to open the Event Editor.
2. On the Appointment tab, enter the subject or title of the event. 3. Click the Attendees tab, and enter names of attendees. 4. Click Add after each entry.
5. When finished, click Save and Close.
As shown below, free or busy time will be clearly indicated for attendees who share their calendars with you.
9.1.2 Moving Events
If you need to change the time of a meeting or event, you can easily drag it to a new position just as you would in Outlook.
If you are an attendee who needs to reschedule an appointment or meeting, you should always contact the event organizer and ask to have the event moved.Youcan update your own calendar by moving events. But be aware that the event organizer will not see the change you make.

When you release the left button, the event expands to its full size. You can also drag the event to different places on the calendar.

The one_sync application used with web mail is discussed in more depth in the next section. The web calendar uses the one_sync application to synchronize a calendar with Outlook. Settings in one_sync will upload all the appointments and meetings from Outlook to the server and will populate the web calendar for you.

The one_mobile service allows synchronization of the web mail calendar, as does the contacts. Creating a calendar event on the mobile device, and setting it to your one_mobile calendar will create the event. In addition, managing your events from your mobile device will s ync the events back and forth.

10 Using one_sync with the Web Mail Calendar
One_sync integrates Microsoft Outlook with the one_business platform, keeping your
information in the cloud synchronized with your Outlook client. No longer is an Exchange Server needed to get the most out of your Outlook application. With one_sync and one_business, you can take advantage of enterprise-class messaging and collaboration tools without the cost and complexity of hosted Exchange Server or an on-premise solution. Whether events are created from the Outlook calendar or from the web calendar, both calendars will always stay in sync.

You can send meeting invitations from Outlook and have them automatically synchronized to your web calendar. When scheduling a meeting in Outlook, you can view free and busy times of attendees so that finding an available time slot is easy.
Use the shared calendar feature for publishing company events or to administer your boss' calendar. Shared web mail and Outlook calendars can be viewed in either side-by-side as shown below or in overlaid mode.
You need *.NET 2.0 SP1 or later to install/run one_sync. One_sync is designed to sync calendars for Outlook 2003 and 2007 with Web Mail.
10.2 Downloading one_sync
To download the one_sync application: 1. In Web Mail, click Options.
3. Click the link and when a new screen appears, click download one_sync.
10.3 Configuring one_sync for sharing
Once the application has been downloaded, you need to add email addresses using one_sync tool bar (accessible by right clicking on the one_sync icon located on the bottom right of your screen). You will be able to share Web Calendars and Outlook Calendars with other users on your domain once they have added your email address to their one_sync configuration and you have added them to yours. For more detailed configuration instructions, see the one_sync
Getting Started Guide.
If you are an email administrator, you'll be able to add email addresses for sharing from the Control Center.
1. From the Everyone.net Control Center home page, select the Manage Users tab. 2. Click the one_sync Calendar Administration link.
3. On the Calendar Admin Role Management page, enter the email names of users whose calendars you administer.
4. Add users separated by commas in the field provided.
11 Using one_storage with Web Mail
One_storage creates a completely secure online account to upload and share any file type including documents, photos, or videos directly from your email account. Recipients can view files from any web browser. One_storage is the ideal solution to reduce email clutter.
Integrated online storage service
one_storage is completely integrated with your email service. An intuitive user interface saves email attachments directly to a user-defined nested folder system. Document organization is quick and easy and simplifies locating, attaching and sending files via email.
Anywhere access to your files
Your one_storage documents are always available. All you need is an Internet connection and web browser to access critical information with ease.
Secure online storage and access
All files uploaded to one_storage are scanned for viruses. Access is secure and further enhanced when SSL is enabled by the administrator. Online storage has never been easier and now it can be done from a single solution.
The one_storage service works together with rich Web Mail. All one_business services will have one_storage available. Some reseller services may not have this function nlaity.
11.2 Using one_storage
Select the one_storage tab on the left to open the home page. As in web mail, you have a navigation pane on the left and an area listing your files on the right. Folders in the navigation pane contain your files and
any sub folders you choose to add for storage. You can drag and drop files to move them between
Icons on the tool bar allow you to upload or download files, and send, move, rename or delete files.
11.2.1 Uploading files
To upload a file from your computer to one_storage:
1. Click the plus sign next to “Add files to upload.”
2. In the standard browse window that appears, locate the file or files to upload. 3. Select a file and click Open. If you want to add more files, click the plus sign again. 4. Click Upload.
The upload session is encrypted if the user session is under SSL. Upload files are scanned for viruses and malware.
11.2.2 Downloading files
To download a file from your document folder to your computer:
1. Select the file. 2. Click Download.
3. You’ll be asked if you want to open or save the file. 4. Click Save.
11.2.3 Sharing files
Selecting a file and clicking Share will automatically link the file to a message and go directly to the Compose page in one_mail.
By using the “Shift” key and selecting multiple files then pressing the Send button, one_storage will link all selected files.
The download link is encrypted for secure transfer. Linked files are available for 30 days.
Links can be accessed a maximum of 100 times.
11.2.4 Deleting files
To delete a file and put it into the Trash folder, click Delete.
By using the “Shift” key and selecting multiple files then pressing the delete button will delete all selected files and move them to Trash.
Note: Delete does prompt you to confirm that you want to delete. Once deleted from Trash, the file is gone from one_storage.
11.2.5 Moving files
1. Select a file, and then click Move.
2. Choose the location from the drop-down menu. (Or you can simply drag the file to the desired folder.)
11.2.6 Renaming files
Click Rename and fill in the new file name.
Instead of attaching a file, you can create a link from the file as to not transfer a potentially infected file.
1. Right-click a file to access the menu, then click Get Link.
2. The actual link will open a new window where you can use a copy option. You will then need to write a new message and paste the link into that new email.
11.3 Accessing one_storage while Composing Email While writing a message, click Share and then:
If you choose to upload from your computer, the file is automatically uploaded to one_storage, and then presented as an attachment.
If you choose to upload the file from one_storage, the file is automatically attached to the message.
If you choose the attachment option, your maximum attachment file size is 25MB. Files that exceed the limit are not attached.
Saving to storage from a message
You can also download an attachment directly to one_storage while writing a message by clicking the Download link next to the attachment you want to download, as shown.
11.4 Limits to one_storage
Individual files cannot exceed your storage limit or 1 Gb
Links are only available for 30 days
