TRIMS Cloud Computing

TRIMS Workstation iPhone, iPad, Android

TRIMS Cloud computing lets you access your TRIMS Grounds Management Software®

data from any iPhone, iPad, Android Device or any web browser. Whether you're in

a meeting, out on the course or at home, real-time TRIMS data is as close as your

smart-phone. Just open your web browser App, select www.trims.com/cloud, log in

with your User ID and Password and that's it!

TRIMS Cloud Computing puts some of the most requested TRIMS functions right at your

fingertips.

Phone Directory

Call anyone in your TRIMS Telephone Directory. Daily Event Schedule

Add or Edit Daily items on the TRIMS Calendar and see Chemical Application Plans, Employee Birthdays, along with other scheduled events.

Record Equipment Usage

Log Equipment Meter Readings and periodic usage. Maintenance Records

View Maintenance History for all of your Equipment. Work Orders

View Work Orders for any Equipment you specify. Vehicle Fueling

Record Equipment Fuel and Usage at your pumps or local gas station. Physical Inventory Count

Check and adjust Inventory stock levels. Purchase Orders

View open and completed Purchase Orders for any selected Vendor. Chemical Application Log

View Chemical Application Plans and Completed Chemical Applications. Chemical Product Labels

TRIMS Cloud Server

Introduction

The TRIMS Cloud server is a small program that monitors the Internet looking for requests for information from an iPhone, iPad, Android Device or Web Browser user that has logged in with the appropriate User ID and Password assigned to your system. Once a request is received, the Cloud Server transmits the requested TRIMS Data, Report or Graph back to the requesting device. All Reports, Inquiries and Graphs are sent in PDF format.

Any TRIMS Workstation with high speed internet service can be used as the Cloud Server. If one TRIMS Workstation is currently acting as the Cloud Server and the Cloud Server is started on another TRIMS Workstation, the role of Cloud Server is then transferred to the newly started Workstation. The Cloud Server must be running in order to respond to requests from remote devices.

Cloud Server Setup

1. Register your User ID and Password

Register your requested User ID and Password with TRIMS Technical Support. Only devices logged in with your User ID and Password can access the Cloud Server. Contact TRIMS Technical Support by Email and provide us with the following information.

Company Name: Users Name: User Email Address: TRIMS Serial Number:

Serial # is located at the top of the Main Menu

Requested User ID: Requested Password:

Turn on Labor Tracking:

Circle YES or NO

If YES is circled, you will also be given a second User ID and Password for Entering Labor Hours via TRIMS Cloud by Employees.

We will enter your requested User ID and Password into the system and notify you by email upon completion. 2. Install PDF995 Printer Driver

Install the PDF995 Printer Driver on all TRIMS Workstations that could be used as a Cloud Server. The PDF995 Printer Driver is included on the TRIMS

Version 12 CD in the

Supplemental Programs\PDF995 Folder. Follow the install instructions given in the

3. Declare Path for Temporary File Storage

TRIMS Cloud Server creates files in the Path for Temporary File Storage as defined in the TRIMS Configuration Editor. This must be setup on each machine that could be used as the TRIMS Cloud Server.

The TRIMS Cloud Server MUST HAVE full access rights to this folder.

4. Configuring TRIMS Fuel Inventory (only needed if recording pump tickets)

TRIMS Fuel Inventory must be configured on each workstation to provide Automatic Fuel Type Detection for each fueled vehicle.

• Workstation Configuration Options for Retail Fuel Purchase and Automatic Fuel Pump Selection must be selected on each TRIMS Workstation.

• Fuel Types (G, D, M) must be defined in the Inventory Classifications • Fuel in Inventory is assigned to its respective Classification

• Appropriate Fuel Type must be assigned to each Equipment Item prior to fueling.

Cloud Server Operation

From the TRIMS Menu, click on the Tools Pull down Menu and then click on Start TRIMS Cloud Server. When Cloud server screen appears, click Start Scan Button.

The Cloud Server must be active in order to allow iPhone, iPad or Android devices to access your

TRIMS System.

The Cloud Server may be minimized if desired.

Requests from remote devices will appear on-screen as they are received. As transactions for Equipment Usage, Inventory Physical Count or Vehicle Fueling are entered, a log of each transaction that has modified files is stored in the TRIMS_DataFolder\CloudLog.txt file.

Any TRIMS Workstation can act as the Cloud Server. The Name of current machine acting as the Cloud Server is stored in the TRIMS_DataFolder\~SpScanner.txt file.

Auto Start Cloud Server

The Cloud Server can be started automatically when TRIMS is launched and will remain “STARTED” or “ON” until the

Stop Scan button is pressed.

From the Main Menu of TRIMS, click on Tools Pull-Down Menu and select Workstation Options. Scroll down in the list until you locate Auto Start

Cloud Server and click to place a checkmark in the

box. Click on the X in the upper left corner. The next time TRIMS is launched, the Cloud Server will be started.

iPhone, iPad or Android Device Setup & Operation

Setup

1. Go to App Store to download and install Adobe Acrobat Reader or its equivalent. 2. Open your web browser App, navigate to http://www.trims.com/cloud and

bookmark this page for future reference OR Add to your Home screen. We have created a special Icon for the TRIMS Cloud and it will automatically appear with the new shortcut on your Smart Phone.

Operation

Tap on the TRIMS Cloud Bookmark or Icon created above and navigate to http://www.trims.com/cloud to display the Login panel.

Enter your User ID and Password and then tap the Login button to display the Cloud Server Menu Once the menu is displayed, select the function of your choice.

Navigation

Each Cloud Server function has buttons that allow you to specify various data selection criteria.

All blue buttons other than the Back button are used to show or hide the various selection criteria panels. Selection criteria panels are also hidden once a selection is made.

Additionally, there are several common navigation controls as detailed below:

Back Button – Go Back to Menu or Previous Display

Search Button – Jump to items starting with a specific letter of the alphabet. Paging Buttons – Select button to navigate through file.

Scroll Bars – Use Scroll Bars or slide your finger vertically or horizontally to scroll display.

Page Rotation – Some screen displays may be easier to view in either Portrait or Landscape mode. You may rotate your

Phone Directory

This Cloud Server function allows you to view your TRIMS Telephone Directory and make calls to the phone numbers.

Phone calls require that your device has cellular phone service. Locate the desired item by scrolling,

paging or using the Search button. Once item is found, tap the Call

button, and then tap either the

Phone or Cell Phone Icon to make

the call.

Daily Event Schedule

This Cloud Server function allows you to add or edit Daily Events on the TRIMS Calendar and see Chemical Application Plans, Employee Birthdays, along with other scheduled events.

The initial display displays All Scheduled Events for today. Tap the Edit button to edit or update an existing Event.

Tap the New button to add an Event. Click on down arrows to select Time and Classification. Enter Subject, Location, and Details. Tap Save when Event entry is complete.

If you would like to add or view Events on another day, tap on the date window to display the pop-up calendar and tap on another day.

Record Equipment Usage

This Cloud Server function allows you to record Equipment Usage Hours/Miles from either Hour Meter/Odometer readings or periodic usage.

The initial display includes All Active and Leased Equipment. Use the

Equip Group button to select a specific Equipment Group. Use the

Status Select button to display only Leased Equipment.

Locate the desired item by scrolling or paging. Once Equipment item is found, tap the Edit button.

Enter the New Meter Reading or Usage Hours and tap the Accept

button. Changes will be sent to the TRIMS Cloud Server and your TRIMS data will be updated.

After Edit – Difference between New Meter and Last Meter is recorded as Usage:

Equipment Maintenance Records

This Cloud Server function allows you to view Equipment Maintenance Records in PDF format.

The initial display includes Active Equipment in all Equipment Groups. Use the Equip Group button to select a specific Equipment Group, Status

Select button to display All, Active, Leased or Inactive Equipment and

finally, use the Time Period button to select the amount of Maintenance Record history to display.

Locate the desired item by scrolling or paging. Once Equipment item is found, tap the Sel button to download the Maintenance History.

Equipment Work Orders

This Cloud Server function allows you to view Equipment Work Orders in PDF format.

The initial display includes Active Equipment in all Equipment Groups. Use the Equip Group button to select a specific Equipment Group, Status Select button to display All, Active, Leased or Inactive.

Locate the desired item by scrolling or paging. Once Equipment item is found, tap the Sel button to display a list of Work Orders for the selected Equipment.

Use the selection tools to select Time Period of Work Orders to be displayed as well as your choice of Active, Completed or All Work Orders. Locate the desired Work Order by scrolling or paging. Once the Work Order is found, tap the Sel button to download the Work Order Details.

Vehicle Fueling

This Cloud Server function allows you to record Fuel Usage and Equipment Usage Hours/Miles when dispensing fuel from your own pumps or from a retail gas station.

The initial display includes All Active Equipment. Use the Equip

Group button to select a specific Equipment Group.

Locate the desired item by scrolling or paging. Once Equipment item is found, tap the Fuel button.

Enter the New Meter Reading, Gallons of Fuel dispensed, optional Price per gallon and tap the Accept button. Changes will be sent to the TRIMS Cloud Server and your TRIMS data will be updated.

Physical Inventory Count

This Cloud Server function allows you to record actual quantities of Inventory items on-hand.

The initial display includes All inventory items in the first defined inventory classification. Use the Inv Class button to select a specific Inventory Classification.

Locate the desired Inventory item by scrolling or paging. Once Inventory item is found, tap the Edit button.

Enter the new Inventory Count and tap the Accept button. Changes will be sent to the TRIMS Cloud Server and your TRIMS data will be updated.

Purchase Orders

This Cloud Server function allows you to view Purchase Orders in PDF format.

The initial display presents a list of Vendors. Locate the desired Vendor by scrolling or paging. Once the Vendor is found, tap the Sel button to display a list of Purchase Orders for the selected Vendor.

Use the selection tools to select Time Period of Purchase Orders to be displayed as well as your choice of Active, Completed or All Purchase Orders.

Locate the desired Purchase Order by scrolling or paging. Once the Purchase Order is found, tap the Sel button to download the Purchase Order Details.

Chemical Application Log

This Cloud Server function allows you to view items in the Chemical Application Log in PDF format.

The initial display includes All Planned and Completed Chemical

Applications during the past quarter year. Use the Time Period button to select a specific Start Date and use the Status Select button to choose between All, Active or Completed Chemical Applications.

Locate the desired item by scrolling or paging. Once desired Chemical Application is found, tap the Sel button to download the Chemical Application details.

Chemical Product Labels

This Cloud Server function allows you to view more than 1600 Chemical Product Labels from the CDMS Database.

Locate the desired product by scrolling, paging or using the Search

button. Once item is found, tap the View button to download the Chemical Product Label.

Budget Account Inquiry

This Cloud Server function allows you to view up to the minute status on each of your Budget Accounts.

The initial display presents your Chart of Accounts in alphabetical order with viewing period set to the Current Fiscal Period. Use the

Time Period and Status Select buttons to specify the fiscal period and

transaction type to be viewed.

Locate the desired Account by scrolling or paging. Once the Account is found, tap the Sel button to download the Budget Account Status.

Budget/Expense Graphs

This Cloud Server function allows you to view up to the minute Bar Graphs on each of your Budget Accounts and Pie Charts on your Total Expenses.

The initial display presents your Chart of Accounts in alphabetical order with viewing period set to the Current Fiscal Period. Use the

Time Period button to specify the fiscal period to be graphed.

If viewing individual account graphs tap on the Graph Type button and select either Month vs Budget or YTD vs Budget then locate the desired Account by scrolling or paging. Once the Account is found, tap the Sel button to download the Budget Account Graph.

If viewing pie charts tap on the Graph Button and select either Current Month Pie or Year to Date Pie to download the Budget Pie Chart.

Labor Pie Charts

This Cloud Server function allows you to view up to the minute Labor Activity Pie Charts. Pie Charts detailing Labor Hours and Labor Costs for the Current Month, Current Year or Previous Year can be viewed.

Use the Labor Dept button to select a specific Labor Department or All Departments and Time Period button to specify the Time Period

to be graphed.

Once you've made your selections of Labor Dept and Time Period

tap on the Graph Type button and choose either Labor Hours or Labor Cost to download the Labor Pie Chart.

Labor Hours Data Entry

Employees can now enter to enter their daily labor hours on screen via the TRIMS Cloud instead of filling out timesheets. It is strongly recommended that hours entered are reviewed for accuracy.

Employee Pin Number

Before an Employee can record any hours via the TRIMS Cloud, a Pin Number must be entered in the

Personnel, Employee – Add/Edit/Delete Screen.

Steps to Turning on Labor Hours Data Entry

1. At any TRIMS Workstation, Start TRIMS Cloud Server (see page 5).

2. At any computer that has a Web Browser, the Supervisor must start the TRIMS Cloud and enter a User Id and Password specifically setup for Labor Hours Data Entry. If you forgot this password or don’t have it, please contact TRIMS Technical Support as this is not the usual TRIMS Cloud User Id and Password.

Recording Labor Hours

1. Employee selects their name from the list provided and enters his/her unique PIN Number.

2. Select a Project and Labor Activity from the drop down lists that is captured from data already entered in TRIMS.

Checking the Labor Hours Data Entry

A Cloud Hours Proof Report can be run anytime to verify the accuracy of the labor hours entered that have been

imported into the Personnel & Labor Module.
