d3 Document Management Solution

Asseco SEE is the d.velop Competence Center for the region. In addition to providing analysis, implementation and support services, Asseco also offers training courses for d.velop partners and end users.

d.velop AG is a software company committed to the development of comprehensive solutions for digital archiving, document management and business process

management. Through the application of its strategic platform d.3 and unwavering focus on optimizing its users’ business processes, d.velop meets even the most complex requirements of its users.

The core functionality includes digital archiving, document management and business process management, in addition to web-based content management. Numerous

standard interfaces enable straightforward connection to systems such as SAP, Navision, Lotus, Microsoft Exchange, AutoCAD and many others.

d.3 basis

Digital archiving and document management system

d.3 is the central information platform in the company – a sort of a document

warehouse. It is an integrated system, completely open for connection to other systems and applications. It is based on the most advanced technology and international

standards.

Any information (whether a scanned document, SAP system invoice, text document, CAD document, technical calculation, print list, e-mail, video file, audio file, X-ray scan,

application…) filed within the d.3 system is considered a document. Using d.3 means that all documents regarding products, projects, contracts, customers, orders, suppliers etc. can be accessible to all authorized co-workers, customers and suppliers in clear and structured electronic folders. Additionally, d.3 ensures safe long-term storage of all documents, as well as their protection from tampering.

d.3 flow

Business Process Management

d.3 flow is a Business Process Management system designed to optimize business processes through workflow. d.3 ensures document flow (workflow) automation within the company, in keeping with rules of a process affiliated with a respective document. Documents filed into the system enter workflow automatically (in keeping with certain rules) or manually, and are automatically forwarded to relevant employees who are expected to perform certain actions (additional check-ups, elaborations etc.). This eliminates the possibility of document loss in the business process, as well as the cost of copying the documents for processing in different departments. In addition, timely delivery of the document to the responsible person is ensured, time frame within which the responsible persons must perform an action within the process is clearly defined, and each step in the process is recorded (who performed it, when, which actions were

performed). d.3 flow connector

Graphical user interface that allows the execution of business processes formed within the d.3 system and stored in XML Notation.

Graphical user interface for designing business processes by defining rules and designing the client interface in HTML and JavaScript. Completed workflow is transferred to d.3 in the XML format.

d.3 web

Web components of the ECM system are based on XML

d.3 web is a set of XML-based components that can be customized to fit the

requirements of end users with the help of StyleSheets. This approach enables end users to have access to the d.3 system over Internet, i.e. through web browser, with all

standard d.3 functionalities. d.3 web components:

1. d.3 web explorer: research and archiving client and web browser

2. d.3 web portal service: XML-based interface for integration of content from d.3 into Web portals

3. d.3 web webservices: SOAP interface for d.3

4. d.3 web image service: display of bitmap images (TIFF, PDF, PDF/A etc.), including annotation in documents (redlining), within the web client, without additional plug-ins for the web browser

5. d.3 web news: "bulletin board" with Intranet/Internet news 6. d.3 web link: direct access to document in d.3 through URL

7. d.3 web publishing: anonymous access to d.3 system through the web browser

Connecting d.3 to other applications and systems

ECM solution cannot be comprehensive if it does not offer the option of connection to other applications and systems. d.3 offers a range of options for storing all information from different systems in one place, logically interconnected and easily available to everyone authorized to access the d.3 system. Thanks to this approach, even the employees without the applications that the information originally came from (e.g. CAD applications, ERP applications…) have access to information they need. If said

applications are altered in some way, problems may arise when researching past data. However, if such data (e.g. from ERP applications) are stored in the ECM system, they will always remain accessible in their original form. This type information storage also ensures that ALL pieces of information about a job, project, customer etc. can be immediately viewed in one place, despite the fact that they may have originated from different systems. Documents and data from technical, sales, project and other departments are all stored in the same place and available to everyone with proper authorization!

d.link for lotus notes / lotus domino

Information from the Lotus databases and e-mail is archived in d.3. Indices are automatically transferred to d.3 to enable research directly from the Notes. d.link for microsoft outlook / microsoft exchange

Safe archiving of information and e-mail from Microsoft Outlook / Exchange in d.3, with automatic extraction of index data.

Automatic transfer of information from d.3 system to Microsoft Office documents and vice versa. Automatic indexing of documents stored in this way.

d.link for microsoft sharepoint

Documents from d.3 can be displayed on Microsoft SharePoint Portal Server. Documents in d.3 system are included in search from SharePoint, and data in SharePoint libraries can be archived in d.3, together with their meta data.

d.link for novell groupwise

Archiving and automatic data indexing from Novell Groupwise in d.3.

d.link for iSeries

Access to all documents connected to customers, business partners, projects, business transactions and products directly from your application based on 5250/3270.

d.link for microsoft dynamics nav

Using interface for Microsoft Navision, Navision documents are stored in d.3, with automatic transfer of index data.

d.link for archive link

d.link for SAP/R3 is an SAP ArchiveLink certified interface. Data and documents from various SAP modules are filed in d.3, with automatic indexing. d.link for SAP/R3 supports both the RFC and HTTP Content Server functionalities.

d.link for autocad

Archiving AutoCAD documents in d.3 with automatic retrieval of index data.

d.capture

Scanning and processing of paper-based documentation.

d.capture dialog

Application for scanning smaller quantities of paper documents with the help of the TWAIN interface, and for importing scanned documents into the d.3 document management system. Enables management of individual scanned pages (rotation, merging into documents), manual indexing of documents and importing into d.3 in the image format (TIFF). Also enables subsequent processing of image documents already filed in the d.3 ECM system.

d.3 storage manager

Interface for connecting to storage systems

d.3 storage manager is a set of d.3 components that enable the connection of the d.3 document management system to data storage systems. Includes support for single-instance storage, i.e. checking whether there is a copy of the same binary content to avoid duplicate storage.

d.3 Storage Manager modules include:

d.3 local engine

Enables using d.3 system in the offline work mode

Field service often requires access to important documents. This is why field service representatives often have to print out required documents before starting off, or manually copy them to a notebook computer. With the help of the d.3 local engine, it is possible to use the documents at the site, on a computer disconnected from the d.3 network, thus enabling the document research and processing even outside of the office. Additionally, d.3 local engine allows archiving on CD or DVD. Such self-sufficient, closed archiving systems contain a local search engine, which means that they can be used without installing the d.3 system.

d.cold

Application for the high volume data conversion and editing (Enterprise Report Management)

d.cold is an application for automatic conversion, preparation and indexing of CI (Coded Information) and NCI (Non Coded Information) data. It converts files into a graphic format (PDF, TIFF, ...) and determines their attributes automatically. d.cold adjustment is modular, and if required, module chains may be constructed in order to gain desired functionalities in accordance with the incoming COLD data.

Different types of documents can be processed differently. Files and data in the files can be converted in various ways, merging TIFF files with background templates is allowed, as is splitting lists into individual files, extracting attributes, merging into folders etc.
