at the Athabasca Regional Multiplex

Show Information

This event is growing with your involvement and efforts to promote

your business and the Athabasca area.

Up to 80,000 square feet of displayers under 1 roof.

Reach consumers interested in the outdoors, whether at home, vacation or throughout Alberta. Automotive, RV, lawn & Garden, tourism, suppliers and all businesses are invited to take advantage of the 200 booth spaces available in a number of configurations.

This event is not just for show but to create sales opportunities for you. Capitalize and make this work for you.

Display bookings

Each 10’ display includes:

2 chairs & 1 table

(available as needed from the Multiplex)

1 – 1500 watt outlet

4’ sidewall drapes & 8’ back drape

Additional equipment and services may be procured from our show

provider.

Event marketing

This event will be highlighted on 4-5 radio stations surrounding Athabasca.

Website marketing.

Outdoor signage.

Specific marketing options with booth rental is available to you.

Additional multi-booth discounts are available.

Event preparations and show times

Show participant set-up is May 9th 4p-6p, May 10th 8a-2p.

Show is open to the public Friday May 10th 3p-8p &

Saturday May 11th 10a-5p.

Note that any food or candy giveaways must be approved prior to the show

and comply with health codes.

Additional equipment and services can be arranged with show supplier

Superior Show Service (1-780-992-0404).

Every effort will be made to provide you with your preferred booth

selection, but all booths are on a first come – first serve basis.

Choose booth, booth size and your preferred location.

Those that advance book will be able to confirm their display location in the Field house once final layouts are determined. This will be done on a first come first serve basis. We will fill the Field house first then make space available in the Curling Rink and the Arena

All feature aisle booths (starred on building layouts) are at 10% more then below*.

Outdoor display spaces are available and are based on square footage needed.

When you take advantage of a display with radio ads note that all ads air by May 11, 2013 or will be forfeited.

There is no exclusivity of displayers as to like products or services in the show.

be at the cost of the exhibitor.

I understand my booth must be manned at all times (reasonable breaks understood). If not,

show management has the right to dismantle my booth or allow another exhibitor to use the

booth spaces.

Rules & REGULATIONS

Booking Payment/Cancellations:

 All booths otherwise booked must be paid in full at time of registration.

 Cancellation of a booth/space must be received either by letter, e-mail or fax. Messages on the answering machine will not be acceptable unless confirmed by a call back from 94.1 The RIVER that such a message was received.

 Cancellation must be received by 94.1 The RIVER 30 days prior to the Show. If cancelled 30 days or more, prior to the show, a full refund will be reimbursed with the exception of a $100.00 administration fee. If any ads have run, that come with your show package, then you are not eligible for a refund. (Cancellations less than 30 days from show date – NO REFUND).

 NSF checks will have a service charge of $50.00.

 94.1 The RIVER has the right to rent/use any exhibitor’s space if not occupied by the exhibitor by 2:00

p.m. on Friday, May 10, 2013 or during the show if booth is left unoccupied. Payment will not be refunded.

Security/Damage/Waiver:

 94.1 The RIVER will take reasonable precautions to protect the property of the Exhibitors, however 94.1 The RIVER will not be held responsible or accountable for any losses or damage to any of the exhibitors merchandise and property. The building will be locked with security system after show hours. No other security is provided for outdoor displays.

Exhibitors are responsible to check their own insurance policies to be sure coverage includes Trade Show participation.

 94.1 The RIVER reserves the right to limit duplicate Booths or similar products though no exclusivity of products or services is implied. So book early.

 An exhibitor will not use space for any purpose now shown on the contract without prior approval of 94.1 The RIVER.

 Exhibitors are liable for any and all damages caused by members of his/her staff or items going to, from or in rental space, or to any portion of the shows facility if damaged. i.e. dragging displays across floors, damage to curtains, etc.

 It is understood and agreed by the Exhibitor that NewCap Inc can cancel the said Show and may cancel this contract if, in the opinion of the Show Organizers, such Show would be impractical and/or inadvisable.

Each 10’ Booth will include:

Booths

:

 There is no power provided to exhibitor’s booths before/after show hours unless specifically requested

on the application form and verbally the day of show to the actual show organizers and Display Company.

 Any exhibitor bringing in large display items: cars, trucks, boats, etc. will need to arrange to set up with 94.1 The RIVER to ensure easy accessibility. Upon takedown we ask all exhibitors to not block the entrances with their vehicle/trailers.

 The RIVER has the right to add or change layout/floor plan of show at any time, when in their opinion such moves are necessary to maintain the character and/or good order of the Show. However, 94.1 The RIVER will make reasonable efforts to notify you of the changes.

General Exhibitor Information:

 Each booth will receive four (4) exhibitor passes.

Additional passes (FOR STAFF ONLY) may be ordered only at time of application for a cost of $3.00 each – be sure to advise all staff and volunteers of this. Should you leave your passes behind you will be required to purchase another one in order to enter the facility. Passes must be worn at all times. Passes may be exchanged when changing booth personnel only. Anyone giving their badges to others to circumvent rightful payment for entry to the show will have their passes revoked and require to pay full admission.

 Exhibitors parking in the front of the facility displaying promotional vehicles or signs may be asked to relocate to a different area.

 All rules and regulations relative to public buildings as prescribed by the Fire Regulations of the Town of Athabasca will be adhered to. All codes pertaining to Liquor, Health, Fire, Town Ordinates, Safety and Electrical must be adhered to.

 All exhibits must remain intact and manned until the close of the show on Saturday at 5:00pm. Unmanned booths are not permitted and will be dismantled by 94.1 The RIVER.

 All booths sold are to be used by the purchaser and are not to be sublet or shared with any company or organization without prior approval of NewCap Inc.

 All exhibit structures, activities and materials must be confined to within the limits of the space assigned. Salespeople are to keep within the boundaries of their specified booth.

 Garbage Bags (bags only not boxes) placed in the garbage receptacles located in the facilities at the closing each day.

 Show management reserves the right to refuse admission to the show to any visitor, exhibitor,

exhibitor’s employee, family, friends, who: does not have an exhibitors badge or daily stamp to whom in the opinion of the management is unfit, intoxicated or in any way likely to create a disruption to the show.

I understand that 94.1 The RIVER has final authority to make changes to booth locations.

I understand that, if I require extra equipment (i.e. carpet, different table size, etc.) I must preorder with Superior Show Services.

 Please be advised that the Athabasca Outdoor Show will be booked on a first come first serve basis.
