The Rio 2016 team is pleased to announce that the Equestrian Test Event

is scheduled for 6-9 August, 2015. This event, organised by Rio 2016, is part

of the Rio 2016 Test Events Programme and is a great opportunity for the

Organising Committee and National Federations to test the Field of Play

and prepare for the Games.

2 | Logistical Aspects

2.1 ACCOMMODATION

TEAMS

Rio 2016 has appointed the below official hotel for NF delegations:

Location

 Distance in km from the official hotel to the Venue Load Zone: 35 km

 Travel time: 45 min

Located in the heart of the financial center, The Windsor Guanabara is close to main tourist attractions such as Sugar Loaf, Corcovado Mountain with the Christ the Redeemer statue, the Sambódromo, the National Museum of Arts and other attractions such as Lapa (hotspot for carioca nightlife), theater and many museums.

Financial Responsibility and Prices

The accommodation costs are under the NF’s financial responsibility (except Grooms — see below).

Prices include accommodation and breakfast. Rooms are equipped with cable TV, air-conditioning, minibar and wi-fi internet. Room service, swimming pool, sauna, restaurants and bar are also available.

The prices per person, per night are (VAT included):

 Single room: R$ 310.00

 Twin room: R$ 310.00

All accommodation costs will be invoiced in Brazilian Reais.

Bookings

Accommodation at this official NF hotel must be booked through Rio 2016 by email: [email protected]. The deadline for reservations is June 1, 2015. After this date, room availability and prices cannot be guaranteed.

Payment Terms

 30% deposit on 1 June, 2015

 70% deposit on 10 July, 2015

Credit card or wire transfers are accepted as payment. For credit cards, an authorization form for this debit will be sent by email at the time of the reservation request, and it should be filled out and returned to the hotel. For a wire transfer, the bank details will be informed at the time of reservation request as well.

Cancellation Terms

 Up to 1 June, cancellations are accepted without penalty.

 After 2 June till July 10th, cancellations will be deducted by balance payment.  After 10 July, cancellations are not accepted.

Any new request will depend on hotel availability. Cancellations for rooms already requested are accepted before payment. After payment has been made, there will be no refund.

How to Book

Please email [email protected] with details of how many rooms you would like to reserve, date of arrival and departure, as well as any other requirements or questions.

GROOMS

Rio 2016 will provide accommodation for the grooms and the competition vets (to a maximum of one per nation) at the venue (one groom per horse), within 500m of the stables.

All cabins will be double occupancy, composed of two individual single beds, one toilet, one sink and one shower facility.

The accommodation provided by Rio 2016 will also include housekeeping. A laundry service for personnel items will be available at additional cost.

Should an NF prefer to book alternative accommodations, they must make their own arrangements and bear the relative costs.

2.2 CATERING

National Federation delegations

NF delegations are responsible for their own catering (except grooms — see below). Arrangements will be made at the venue for NFs to purchase lunch. Some refreshments (water, cereal bars, fruits, etc.) will be offered free of charge by Rio 2016.

GROOMS

Rio 2016 will provide catering to the grooms free of charge on the venue (breakfast, lunch and dinner).

LOCAL TRANSPORT

NFs that book their accommodation through the Organising Committee (official NF hotel) will have access to the free shuttle service between the official NF hotel and the venue.

HORSE TRANSPORT

Rio 2016 has contracted Peden Bloodstock GmbH (http://www.pedenbloodstock.com) as logistics operator that will coordinate the international transport of all horses (import and export) and also the ground transport from port of entry (GIG) to venue, and from the venue back to port of entry.

2.4 VISA PROCESS

Rio 2016 has developed a thorough Visa Programme that will also cover those participating in all Test Events.

For all the participants who are nationals from countries that require a visa to enter Brazil, Rio 2016 will provide introduction letters that must be submitted with the visa application at the chosen Brazilian Consulate/Embassy abroad. To request an invitation letter, please send an email to [email protected] a list of the applicants, including a copy of their passports and the city where the visas will be requested.

Please check the list below that details the countries that do not need a visa to enter Brazil for tourism purposes (including participation in sports events):

This list serves as a guide only, and it is the responsibility of each participant to check on his or her individual visa requirements. Rio 2016 is not responsible for updating National Federations on amendments or changes to Brazilian immigration policies and procedures. Participants can check the following link prior to applying for a visa:

It is also important to remember that the time frame for issuing a visa to Brazil will depend on the country where the participant is applying. 2.5 OBSERVATION OPPORTUNITIES

All observation requests will have to go through the relevant NOC that should contact its Rio 2016 NOC Relations counterpart by the 17th April 2015.
