This document provides an overview of the new features in the technology preview release, and is intended to get you started using MetaFrame Conferencing Manager for evaluation and testing.

Using Draft MetaFrame Conferencing Manager

Documentation

Full documentation is available in draft form only for the technology preview. This information has not been tested and verified. Some features may not yet be fully documented and some documents may not have been updated since MetaFrame Conferencing Manager, version 2.0. Some online Help in the software may include MetaFrame Conferencing Manager information in draft form. This information has not been tested and verified.

Citrix recommends that you use this Getting Started guide as your primary documentation resource for learning about and accessing new features in the technology preview release, and unless otherwise specified, use the remainder of the supporting documentation set for conceptual information and for details about features included in MetaFrame Conferencing Manager.

Getting Started with MetaFrame

Conferencing Manager

New Features in this Technology Preview Release

This technology preview release includes the following new features and enhancements.

User Interface Update and Usability Improvements

The MetaFrame Conferencing Manager interface has been updated with usability improvements, making it easier to navigate and use.

Flexible Control for Enabling Attendees to Manage

Conference Applications

A new feature in MetaFrame Conferencing Manager, Attendee Moderated

Keyboard/Mouse Control, extends your ability to determine who, within the

conference, can interact with the files and applications that are being shared. In the previous release, the conference host determined who could interact with shared files and applications by selecting those attendee names from a list. All of the selected attendees were given keyboard and mouse control in the Conference Room, allowing them to interact with the file simultaneously.

Now, the host can continue to use this method, or choose to assign these rights to one attendee only. The attendee interacts with the file or application (e.g., performs the modifications to a file), and then passes this ability (keyboard/mouse control) to another attendee. This provides a more orderly method of interacting.

! To change between Host Moderated and Attendee Moderated control

1. Click the Attendees icon to display the Attendee list.

2. Right-click anywhere in the Attendee list and select Control Settings.

3. In the Control Settings dialog box, choose one of the following and then click

OK to accept the change and close the dialog box:

Click Host moderated and select the check boxes, preceding the attendee names, of the attendees that will have keyboard and mouse control (editing rights). All of the selected attendees will be able to edit the file.

Click Attendee moderated. Once the dialog box closes, right-click the attendee that you want to be the first to have editing rights. From the appearing menu, click Pass Control.

! To request control from another attendee

• Right-click while the mouse is positioned anywhere in the Attendee list and click Request Control. You will notice that the icon preceding your name (in the Attendee list) changes from green to yellow.

! To pass control to another attendee

• In the Attendee list, right-click the name of the person you want to pass control to and click Pass Control.

! Host: To regain control from another attendee:

Attendee Application Sharing

Previously, only the host of the conference could open a published application. The host can now select a setting that allows attendees who have mouse and keyboard control to open a published application within a conference. If the attendee is granted keyboard and mouse control, he can open and share an application (from a MetaFrame farm that he has access to) with the others in the conference.

! To give permission to attendees to launch applications:

1. Right-click while the mouse is positioned anywhere in Attendee list and click

Control Settings.

2. Select the Attendees with keyboard and mouse control can launch

applications box.

Note You must give an attendee keyboard and mouse control before he can open a published application.

! To open a published application while a conference is running

Installing MetaFrame Conferencing

Manager

You can deploy this technology preview release of MetaFrame Conferencing Manager as a complete installation only. Upgrading from previous releases or versions of MetaFrame Conferencing Manager is not supported.

Important To evaluate MetaFrame Conferencing Manager, you must already have a version of MetaFrame installed and licensed. MetaFrame Conferencing Manager can be installed with:

• Citrix MetaFrame XP Server for Windows with Service Pack 3 • MetaFrame Presentation Server 3.0 Technology Preview

For instructions on installing MetaFrame Presentation Server 3.0 Technology Preview, refer to the Getting Started with Citrix MetaFrame Presentation Server 3.0

System Requirements

MetaFrame Conferencing Manager can be run only on the following operating systems:

• Microsoft Windows 2000 Server • Microsoft Windows Server 2003

All operating systems must have the latest Microsoft service pack installed.

Installing MetaFrame Conferencing Manager with the MetaFrame

Presentation Server 3.0 Techology Preview Release

! To begin MetaFrame Conferencing Manager Setup

1. Exit all applications.

2. Insert the MetaFrame Conferencing Manager CD-ROM for your server operating system into the CD-ROM drive. If your CD-ROM drive supports Autorun, the MetaFrame Conferencing Manager splash screen appears. 3. Click Install MetaFrame Conferencing Manager.

Installing MetaFrame Conferencing Manager with MetaFrame XP

Server for Windows with Service Pack 3

You must deploy all components of MetaFrame Conferencing Manager on servers that belong to the same domain or to trusted domains. The procedures for installing all three components are identical.

Important The Conferencing Manager user interface and the Conference Room component are automatically published to MetaFrame XP when you install them. The Conference Room component appears as Citrix Conference Room under the

Applications node in the Management Console for MetaFrame XP. Do not rename Citrix Conference Room within the Management Console for MetaFrame XP.

Doing so renders MetaFrame Conferencing Manager inaccessible to users.

The Conference Organizer service does not have to reside on a MetaFrame XP server. You can deploy this component on a regular domain server or on a

MetaFrame XP server. Only one instance of Conference Organizer per server farm is required. Install this component on one server only.

To install MetaFrame Conferencing Manager, you must: • Be logged on as an administrator of the local machine.

To install the MetaFrame Conferencing Manager user interface or the Conference Room component, both of which are automatically published in MetaFrame XP: • You must also be logged on as a MetaFrame XP administrator with permission

to publish applications.

• You must have access to remote registry operations on all machines on which the license type will be configured.

Using the Windows Installer Package for MetaFrame

Conferencing Manager

Windows Installer technology consists of the Windows Installer Service for the Windows operating systems and the package (.msi) file format used to hold information regarding the application setup. You use the Windows Installer Service to modify, repair, or remove an existing application that was installed using Windows Installer technology. Go to Add/Remove Programs in Control Panel to remove or modify Windows Installer packages installed on the system.

You can deploy Windows Installer packages using Installation Manager or Microsoft Active Directory Services or Systems Management Server. For more information about Windows Installer technology and the Windows Installer Service, see the Windows online Help or the Microsoft Web site at

http:// www.microsoft.com.

If you encounter problems when running the Windows Installer package, you can check the Windows Event Viewer for a list of the problems. To open Event Viewer, go to Start > Program Files > Administrative Tools > Event Viewer. Check the Application Log for any entries in the Source column of the type “MSIInstaller.”

! To install MetaFrame Conferencing Manager

1. Exit all applications.

2. Insert the MetaFrame Conferencing Manager CD-ROM in the CD-ROM drive. If your CD-ROM drive supports Autorun, the Citrix MetaFrame

Conferencing Manager Autorun screen appears.

If your CD-ROM drive does not support Autorun, double-click the file,

Autorun.exe, on the CD-ROM. The Citrix MetaFrame Conferencing Manager Autorun screen appears.

3. Click Install MetaFrame Conferencing Manager. 4. Follow the on-screen instructions.

Configuring MetaFrame Conferencing Manager

After you install a component of MetaFrame Conferencing Manager, you must configure it before you can start using it. When you finish installing a component, the MetaFrame Conferencing Manager configuration tool appears. Use the configuration tool to provide the required configuration information for the component you are installing.

• Group Domain Users for servers that belong to a domain • Group Users for servers that do not belong to a domain

Configuring the Conference Organizer Service

You must configure the Conference Organizer to be aware of the location of the servers running the Citrix XML Service in the server farm. Use the Citrix XML

Service tab of the configuration tool to specify the location of a primary and a

backup server for the Citrix XML Service.

The Citrix XML Service is a part of the MetaFrame XP Server infrastructure. It communicates published application information to clients using HTTP protocol and XML data. The XML Service is present on all MetaFrame XP servers in the server farm. However, you must configure the Conference Organizer to use a primary server and a backup server for the XML Service.

To reduce network traffic, Citrix recommends that you designate one of the server farm’s data collectors as the primary server for the XML Service.

Configuring the MetaFrame Conferencing Manager User Interface

and the Conference Room Component

To configure the MetaFrame Conferencing Manager user interface and the Conference Room component, you must perform the following tasks: • Specifying the Location of the Conference Organizer Service • Assigning Users to MetaFrame Conferencing Manager

• Licensing MetaFrame Conferencing Manager with MetaFrame XP Presentation Server for Windows with Service Pack 3 (Conference Room component only) For help assigning user accounts and user groups to a published application, see the Management Console for MetaFrame XP online help. For additional information about users and user groups, see the documentation that came with your Windows operating system or with MetaFrame Presentation Server.

Specifying the Location of the Conference Organizer Service

You must configure both the MetaFrame Conferencing Manager user interface and the Conference Room component to be aware of the location of the Conference

Organizer service. When you finish installing either component, the MetaFrame

Conferencing Manager configuration tool appears. Use the Conference Organizer tab of the configuration tool to provide the required configuration information for the component you are installing.

Assigning Users to MetaFrame Conferencing Manager

Both the MetaFrame Conferencing Manager user interface and the Conference Room component run as published applications and are automatically published when you install them. To be accessible to users, you must assign the proper user groups to both components. For your convenience, both components are

automatically assigned and instantly available to members of the following user groups:

The Domain Users group is assigned to all instances of both components that are published on servers that belong to a domain.

The Users group is assigned to all instances of both components that are published on servers that do not belong to a domain.

Give due consideration to these assignments and modify them as appropriate. Use the Management Console for MetaFrame Presentation Server to manage user assignments to these published applications. When you install additional instances of either component, the existing user assignments automatically apply to those new instances.

Important Only users whose user accounts are assigned both to the MetaFrame Conferencing Manager user interface and to the Conference Room component can access and use the software. Therefore, if you modify the user assignments, make sure that both published components have identical user assignments.

Before You Modify User Assignments

Before you modify user and user group assignments, be aware of the following interdependencies.

To be able to host a MetaFrame conference using a particular published application, a conference host’s user account must be assigned to all of the following:

• MetaFrame Conferencing Manager user interface • Conference Room component

• The particular published application to be used in the conference

For example, if you want User A to host a MetaFrame conference using published application B, you must make sure that the MetaFrame Conferencing Manager user interface, the Conference Room component, and published application B have user assignments that include User A’s user account.

! To modify user and user group assignments

1. Open the Management Console for MetaFrame Presentation Server. 2. Expand the farm node.

3. Under the farm node, expand Applications.

4. Under Applications, right-click the Citrix Conference Room and select

Properties.

5. In the Citrix Conference Room Properties dialog box, select Users. 6. Use the controls on the Users properties page to add or remove user

assignments as appropriate. 7. Click OK when you are finished.

Licensing MetaFrame Conferencing Manager with MetaFrame XP

Presentation Server for Windows with Service Pack 3

To use MetaFrame Conferencing Manager with previous releases of MetaFrame, you must properly license the software. Licensing MetaFrame Conferencing Manager consists of the following tasks:

• Installing the License • Activating the License

• Specifying the Conference Room License Type

To install and activate the software license, follow the instructions below.

Grace Period for License Activation

After you enter a license serial number, you must activate the license within one day.

Demonstration licenses and evaluation licenses must be activated using the same procedure described above. However, these licenses are valid for a limited period even after activation.

Installing the License

To install the software license, you must use the license serial number from the product packaging and add it to the Management Console for MetaFrame XP.

! To install the license

1. Open the Management Console for MetaFrame XP.

2. From the Actions menu, choose New > License. The Add License dialog box appears.

3. In the Add License dialog box, in the Serial Number text box, type the license serial number.

4. Click OK. A message appears, informing you that the license was added successfully, and asking you if you want to activate your license at this time. 5. Click Yes to activate your license immediately or No to activate it at a later time.

! To activate the license

1. Open the Management Console for MetaFrame XP. 2. Expand the server farm node.

3. Under the farm node, select Licenses.

4. In the details pane, on the License Numbers tab, in the Description column, select Citrix MetaFrame Conferencing Manager.

5. From the Actions menu, choose License > Activate. The Activate License dialog box appears.

6. Click Copy to Clipboard. This copies the MetaFrame Conferencing Manager license number you installed to the clipboard.

7. In a Web browser, log on to the Citrix Activation System (CAS) Web page at http://www.citrix.com/activate/.

8. On the CAS Web page, go to Licenses > Citrix Activation System > Activate

Licenses. Paste the license number into the Your License Code text box and

then click Continue. CAS now generates and displays your activation code. 9. Copy the activation code to the clipboard.

10. In the Management Console, in the Activate License dialog box, paste the activation code in the Activation Code text box and then click OK.

Specifying the Conference Room License Type

You must configure a valid license type for every server on which you install the Conference Room component. Use the Conference Room Licenses tab of the configuration tool to provide the required configuration information. Select

Technology Preview in the License Type drop-down list.
