Next-generation search, knowledge
management and analytics
The rise of social computing, mobility, cloud adoption, and the
use of collaborative platforms has brought with it an explosion
of information, ushering in the era of Big Data. As organizations
amass exabytes of content—creating more and more each
year—most of it remains out of reach. Effective business
leaders realize that their success hinges on how they address
and derive value from the exponential growth of data—both
structured and unstructured.
Unstructured data makes up an astonishing 90% of all information, including emails, documents, images, video, phone conversations, chats and tweets—mostly presented in natural language formats. Attempts at tapping into this immense and strategic Big Data treasure trove, however, often fail because businesses lack the right technology platform needed to address and effectively utilize unstructured information residing outside structured databases. Because traditional search and knowledge management solutions rely on yesterday’s siloed technology, they simply can’t keep up with new, diverse data formats and sources, ever-increasing volumes of information, growing security requirements, and the need for sophisticated search that goes beyond keywords. To meet these challenges, it takes a proven search and analytics platform that can mobilize your organization’s collective brainpower and address a broad range of use cases while handling massive amounts of data trapped in enterprise silos.
The need for a next-generation search and analytics platform
Today’s complex IT landscape has more and more organizations scrambling to matchyesterday’s technologies to the task of managing today’s data, as well as the data that will be under management tomorrow. For this reason, there is a new focus on identifying a technology platform that can help manage and reap value from the diverse data that we accumulate. The fact is that massive volumes of structured and unstructured data exist in diverse file
formats and in any number of languages. This data also resides in hybrid environments— across multiple, siloed repositories located on-premises and perhaps in one or more cloud environments—each with their own security requirements and user privileges. This is the type of scenario that has today’s CIOs, technologists, and IT managers looking for ways to best manage the data deluge.
HP IDOL (Intelligent Data Operating Layer) has helped customers improve:
• Time and resource efficiency by over 50% • Employee productivity by over 75% • Business cost reduction by over 35% • Revenue by over 30%
3
Traditional keyword search platforms simply can’t handle complex information challenges, due to:
• Limited connectivity to diverse content repositories and limited support for diverse file types, which result in painful ETL (extract, transform, load) processes
• Limited language support, affecting global reach
• Limited sophistication in keyword-based and metadata search • Inability to implement contextual search-based applications • Inability to address security requirements and user privileges
• Inability to scale effectively to handle large volumes of data quickly and easily • Inability to reduce time to go-live
Consider both present and future needs
When you consider the information you have today and what you’ll generate in the future, does your search platform support all sources in a scalable manner? Can it offer centralized access to all of your information both on-premises and in the cloud while safeguarding access rights? Traditional platform providers typically can’t offer out-of-the-box connectivity to all
repositories and are often limited to supporting only some of the diverse file types that exist across the enterprise. Many are built around a particular ecosystem such as SharePoint and Microsoft Windows. As a result, customers report the need for many third party add-ons to enable the use of “outside” information such as effective connectors to Microsoft or non-Windows repositories. The choice is often to either migrate data into various systems or go through painful ETL (extract, transfer, and load) processes.
Businesses also struggle with the hassle of dealing with many different tools, technologies, and partners. For example, business Intelligence solutions only address structured data, but what about unstructured information such as free text, images, audio, video and social media interactions? And are you required to deploy a different technology for enterprise search, website search, or advanced analytics. Many platforms also don’t allow the flexibility of developing contextual search-based apps that tackle various use cases and solutions. In addition, traditional technologies often lack the scientific rigor needed to derive contextually relevant and conceptually sound intelligence. When you rely on keyword searches in a typical information-rich enterprise, your two or three-word query will inevitably return hundreds, if not thousands, of files that have little relevance to your search. However, with an effective search and analytics solution, you can understand the full context of the search and extract the main concepts in documents to find only relevant knowledge: explicit (for example, documents) and tacit (for example, subject matter experts)—regardless of where the information resides or its format.
Operating without an intelligent platform that effectively provides search and analytics hinders your ability to scale and slows your ability to compete. Information will be found too late to act on it. Key opportunities to know and serve your customers will be missed. For these reasons, you can benefit by making the move beyond the traditional white search box in the upper corner of the screen.

Redefine collaboration for true knowledge sharing
Knowledge is counted not only by the content you produce, but by what you share. Content represents only a subset of an enterprise’s knowledge. To truly maximize your intellectual assets, you must be able to tap into the tacit knowledge held by your knowledge workers. This will expedite knowledge transfer, reduce duplicate efforts, and encourage a collaborative work environment. With true knowledge management in place, users can leverage existing work that might not live in an enterprise system, but perhaps in the expert’s personal storage. This type of socializing and accessibility encourages mentorship and maximizes the full impact of collective knowledge across the organization. But how do you identify a person’s expertise and interests? It’s not enough to rely on HR profile information, which is often outdated or inaccurate. And then there’s the challenge of people interacting across different systems, forming relationships that are constantly evolving. In the era of Big Data, there is an abundance of information that can reveal people’s content browsing, consumption, and contribution habits. We know who emails with which group and which individuals. We know who is working cross-functionally on a certain project. We know who works on the same account team. Using this type of contextual data to deliver precise search results can change the course of business—if it can be understood quickly enough to make a difference.
When you can access the right data, you can identify not just what someone says they know, but what they actually know; not who they claim to know, but who they actually know well. These types of connections can be used to add another layer of context to provide a better,
more personalized search experience.
The HP IDOL platform provides a solution that forms rich, implicit profiles of users based on their content consumption and contribution history to enable you to identify experts without relying on metadata or explicitly defined HR profile information. By developing a rich, dynamic, and multi-dimensional picture of a person’s identity, HP IDOL returns experts as well as documents, when you search for a particular topic. With HP’s intelligent, concept-based search technology, the assets created from collaborative efforts are easily found and reused, saving time and improving the quality of work.
Create information awareness and maximize knowledge assets
Today’s workers are increasingly on the go, embracing the newest mobile technologies to stay connected and productive, as they continue to fuel the migration of content to the cloud. Mobile work practices also contribute to fragmentation of knowledge among multiple systems and repositories. For example, information today lives in email, on mobile devices, in Dropbox and Evernote, and in whatever applications people may choose to install. One of the main challenges with traditional knowledge management systems is that they are not equipped to access information scattered across different systems.HP IDOL platform benefits
• Full access to your organization’s collective intelligence: HP IDOL provides contextually relevant knowledge, with the ability to connect to over 400 repositories and support for over 1,000 file types in over 150 languages. HP IDOL understands virtually all data and connects users to information locked away in silos.
• Facilitation of knowledge sharing and reuse of content: HP IDOL can match and connect employees with similar needs and interests by forming a profile of all users and understanding relationships based on the content they consume and create. HP IDOL can also identify experts based on user activities, instead of relying solely on outdated user profiles. This helps reduce the duplication of effort and expedites task completion. • Information discovery: Concept-based search
and pattern-based analytics lets users discover information they may not have been searching. Advanced analytics functions such as entity extraction, classification, and personalization ensure that all relevant data in the enterprise is being used.
• Risk management analytics: HP IDOL can automatically redact personally identifiable information such as social security numbers from appearing in search results. It can also redact profanities and any of the hundreds of entities that are deemed sensitive or a compliance risk. • Improved decision-making, increased efficiency,
and faster innovation: Advanced search and analytics ensure that users spend their precious working hours on productive tasks instead of wasting time searching for information or recreating content. Users benefit from personalized search results as well as automated delivery of content related to their interests.
• Clear pricing schedule: HP IDOL is offered at a simple, transparent, and expandable pricing structure.
The HP IDOL platform connects to over 400 repositories, including many cloud systems, and understands over 1,000 file formats (including free text, image, audio, video, and social media content), which enables you to effectively unify your data silos and use a single search interface. We make sure that you are taking advantage of your entire knowledgebase, instead of a small slice of intelligence contained in a few systems. This comprehensive access to data ensures that you are making fully informed, data-driven decisions.
Redact sensitive information from your search results
The ability to identify and redact sensitive or offensive information that may exist among your enterprise information is a key component in an effective technology toolkit—one that makes it possible to protect the privacy of users or ensure compliance. One of the key features of the HP IDOL platform is its ability to recognize hundreds of entities in multiple languages, including multibyte languages such as Chinese. Using this capability, HP IDOL can automatically identify and redact profanity or sensitive data, such as information related to Personally Identifiable Information (PII) and Payment Card Industry Data Security Standard (PCI-DSS), before or after indexing, so that the wrong information is never displayed when someone searches or accesses the file. With information being created and disseminated at an incredibly fast rate, it’s somewhat common to find inappropriate content that may not reflect favorably upon your organization. On Twitter, for instance, one in 13 tweets contains profanity. When used with our profanity grammars, this HP IDOL feature can be used to completely redact these words from the index.
The HP IDOL platform in the real world
The HP IDOL platform enables you to go beyond entering keywords into a query box and parsing through the results list. With a powerful and intelligent search engine, you can solve many more challenging problems. Here are a few examples of real-life uses powered by HP IDOL:
Key features of HP IDOL
• Highly relevant, personalized results: HP IDOL-based, conceptual search
• Universal file access: Supports more than 1,000 file formats, including free text, video, audio, and image formats
• Retrieval-concept: Input a sentence or even an entire document as your query to extract the main concepts without relying on keywords. Searching by concept leads to the most comprehensive result set because it will also retrieve relevant documents that do not contain the query term(s) used. • Automatic query guidance: Automatically
groups search results into dynamically generated categories to quickly narrow down your search set. For example, a search for ‘Madonna’ would create information clusters on the singer, the religious icon, and other relevant categories.
• Hyperlinking: Displays links to files of varying formats (even audio and video) that are conceptually related to the document you are currently viewing. For example, if you are reading an article about a competitor, HP IDOL may display links to the company’s latest ad campaign, an audio interview with the CEO, or internal competitive battle cards. Links are generated in real time at the moment a document is viewed, so you can delve deeper into the topic at hand.
• Personalization: Constructs an understanding of your interests and skill set to deliver more accurate, targeted results based on content consumption; for instance, browsing histories, content contributions, and interactions.
• Automated alerts: You can explicitly define your interests and train the search engine to automatically retrieve information relevant to your interests whenever it becomes available. • Expertise locator: Identifies experts based on
their content activities and social cues instead of relying on outdated profile information entered years ago.
• Eduction: Identifies and extracts terms in documents that lend themselves to key fields such as the names of companies or people, locations, addresses, and telephone numbers. HP IDOL offers hundreds of entities out-of-the-box across numerous languages.
• Language independence: Provides the ability to process more than 150 languages.
• Pre-built, enterprise-class connectors: Offers the largest library of connectors anywhere with access to over 400 repositories.
• Mapped security: Honors native security models of data sources and enables finely tuned control over information access.
• Designed for enterprise scale: Used to power the largest environments, and can rapidly and accurately index data and manage information growth inside and outside the enterprise with support for hundreds of thousands of users accessing terabytes of data.
• Centralized administrative dashboard: IDOL Site Admin allows you to monitor and control your entire HP IDOL deployment from a single dashboard. • Comprehensive Professional Services with rapid
deployment offerings: Benefit from decades of knowledge management expertise.
