They used their IP phone system, to automatically create Outlook journals associated with each call. These journals were then copied to a public folder (using small piece of software added to Outlook). When a contact is opened it uses the journal record to automatically show the last date the client was called. The Traffic light on the form shows visually whether this contact can be called today. (Green Light means OK, Red Light means don’t call, they have already been called very recently.)

For a mail merge, you can use all of your Outlook contacts or selected ones only, as well as all contact fields or the fields that only appear in the current Outlook view or a custom view you created. You can add the merge fields to a new Word document or to an existing one. You also have the option of saving the contacts in a merged file to use again. The document types available for the merge are form letters, mailing labels, envelopes, and catalogue. After selecting the document type, you can choose to merge the data to a new document, printer, e- mail, or other destination you have available.
Click Contacts to open the Contact manager. Then open the More actions menu and choose Find and merge duplicates (shows a list of duplicates). Uncheck any contacts you don’t want to merge and click the Merge button. Gmail merges unique information from the deleted contact record with the remaining contact record.

Connection of a folder as a directory does not influence the contact folder. The data is not changed or moved. Each contact folder can be used as before — it is possible to add, remove and contacts, etc. The only effect is that whenever a new contact is added, its first name and surname and email address will be added also to the address book. By default, searches are performed in the Outlook Address Book directory. The Outlook Address Books administration can be found in the Tools → E-mail accounts → View or change existing directories or address books menu (see figure 8.1).
A vCard is a virtual business card that contains information about a contact saved to a file. The vCard is the standard on the Internet for exchanging business cards. You can create a vCard for yourself or one of your contacts and then send it to another user. For example, you may have created an address card for a client that you would like to share with a co-worker. Rather than having your co-worker recreate the contact information, you can forward the client’s information as a vCard to your co-worker. This saves time and prevents data entry errors. The vCard recipient can then open the attachment, which opens the Contact window, and use the Save and Close button to save the contact to their Contacts folder.

These additional sounds provide auditory feedback in Office applications and don’t interfere with your adaptive technology. The type of feedback they provide, for example, is to provide a sound when you delete a message, when you press Enter after typing in a search term [to let you know that search results are visible], and to indicate when saving a file is complete.
