3.4.1 Manage Local Folder
3.4.1.1 Create Local Folder
Creating Local Folders is one of the activities that form part of Local Folder management; the other two being Rename Local Folder and Delete Local Folder. In case you are allowed to manage the local folders, you will see a Manage Local Folder option on the Advanced Options screen:
A Portal Page consists of a number of portlets viz. Navigation Portlet, Content Portlet, Opinion Poll Portlet etc.
A Navigation Portlet allows users to browse through the content held on the local system, using a tree of folders and sub-folders. A Navigation Portlet can either have a tree of folders that are manually created (by you, if you are allowed to do so) or a mix of automatically organized and manually created folders. In the latter case, the automatically organized folders are displayed to you in the respective navigation portlet as you open the portal page and you can manually create your own tree of folders/sub-folders, using Create Local Folder option, underneath the automatic folders.
In the former case, there will not be any pre-defined folders and you will create your own tree of folders/sub-folders in the navigation portlet(s) using Create Local Folder option. For more details on Navigation Portlet, refer to the discussion on portlets provided in the section on Visit Other State PR/
Panchayat Sites.
The below picture provides a sample picture of the Create Local Folder form as it appears on your screen. The title of the form viz. Create Local Folder is displayed at the top. This is followed by a
message that says - * Mandatory Field(s) must be filled in. This indicates that the fields marked with asterisks must be filled-in and cannot be left blank.
Create Local Folder form contains two fields as indicated below.
Parent Folder – This field refers to the folder under which you wish to create your own sub-folder.
Once you select the Parent Folder by clicking the Select Folder button, placed beside the text-box, the name of the selected folder is displayed in the corresponding text-box.
Local Folder Name – This field refers to the name of the local folder that you wish to create under the selected Parent Folder. You can type the desired name in the prescribed text-box
Besides, you will see the following buttons on the form:
Select Folder – This button takes you to the Select Local Folder form that allows you to select the parent folder under which you wish to create the local folder.
Save – This button allows you to save the entered data.
Cancel – This button enables you to abort the Create Local Folder operation and will take you back to the Advanced Options screen, from where you chose to open the Create Local Folder form.
To be able to create a Local Folder, follow the steps given below:
1) Open your Panchayat Portal Page (see the section on Visit Other State PR/
Panchayat Sites for details). Login with your UserId and Password. Refer to the section on Login for more details.
2) As you successfully login, the Portal Page displays an Advanced Options button.
Click this button to open a screen that displays a set of advanced options. In case you are allowed to manage the local folders, you will see a Manage Local Folder option on the Advanced Options screen.
3) Click Create Local Folder option placed under Manage Local Folder option. This opens up the Create Local Folder form.
4) Click Select Folder button to select the parent folder under which you wish to create the local folder. This opens up the Select Local Folder form
5) Select the Portal Page and Navigation Portlet from the respective drop-down lists.
As you select a portal page and navigation portlet, a tree of folders/sub-folders for the selected navigation portlet is displayed to you. Click the folder/sub-folder under which you wish to create your own folder. In case the selected folder does not allow creation of sub-folders underneath it, a message: “Creating Folder at this level is not allowed” is displayed to you. See the list of Messages given at the end of this section for more details.
6) Click the Confirm button to confirm your choice or click Cancel button to abort your selection.
7) In case you chose to confirm your selection in the previous step, you are taken back to Create Local Folder form and the Parent Folder that you selected in step 6 is displayed in the Parent Folder text-box.
8) In case you chose to cancel the operation in the step 7, the system takes you back to the Create Local Folder form without saving your selection.
9) Enter the name of the local folder that you wish to create under the selected parent folder in the Name text-box.
10) Click the Save button to save the details or click Cancel button to abort Create Local Folder operation.
11) In case you chose to save the details in the previous step, a message: “Local Folder created successfully” is displayed to you. Click OK to continue. As you click OK, you are brought back to Create Local Folder form to enable you to create more local folders, if you desire.
12) In case you chose to cancel the operation in step 11, you are brought back to Create Local Folder form without saving the details entered by you.
What happens when a Local Folder is created?
1) The newly created local folder is displayed on the portal page in the navigation portlet under which you created the local folder once you create at-least one content item in
the newly created local folder. To reach to the portal page from Create Local Folder form, click the Back button. This takes you to the Advanced Options screen. Once again, click the Back button on the Advanced Options screen to reach to the portal page. On the portal page, you may need to expand the folders in the navigation portlet by clicking on the folder name to locate the folder created by you.
2) The folder created by you will be available to you as a parent folder when you go for creation of a new folder.
3) You will be able to view the newly created folder in the list of local folders in case the Local Folder field is visible to you while creating the content item, using Create Content Item. Refer to the section on Create Content Item for more details.
As you create a local folder, you may be prompted with one of the following messages:
