Launching a
Successful
Event App
Introduction
We understand the dedication and
commitment that goes into planning
your event. We want nothing more
than to make sure your mobile
app is a tool to help build attendee
engagement, drive attendee
networking and add value for your
sponsors and exhibitors.
We have a proven track record of
high download rates. There are
certain ways that you can maximize
the value and increase the download
numbers of your app. The following
are some helpful tips, derived from
our expertise in creating successful
apps.
Timing
When Should You Launch Your App?
Timing is critical in developing a solid marketing strategy around your event app. For the most momentum going into an event we recommend launching the app anywhere from 2-4 weeks prior to your event. Within this time period you will have ample build up time as well as a nice window for your attendees to download and take a look at the app prior the event.
Pre-Event Marketing
Let Your App Out of the Box
All too many conferences make the assumption that their attendees will guess that they have an app and download it. You must make sure from beginning to end that your app’s existence is well communicated to attendees.
The best way to deliver a clear message about your app is to have an email blast that is dedicated solely to the event app rather than just adding a line or two about the app to another email. Be clear on how to access the app.
Ensure that this email includes links to download the app in a very obvious button format, as well give information for people who do not understand what the app will provide (We recommend including some of its features and benefits, QR code, and written instructions on how to download the app).
2. Use Signature Links
5. Use Social Media
Links to your app should be available in the e-mail signatures of all
of your staff members. As they communicate, the link will always be visible.
Use your social media channels to promote your speakers, sponsors and exhibitors, and include a link to the app. Tweet & post consistently in the weeks leading up to the event.
3. Use Your Website
Create a tab on the home page of your website with info on downloading the app. Be sure to direct people to this page on the website in every pre-event email.
4. Boost Your Event City
Highlighting your event city will encourage app downloads. Remind attendees the app includes TripBuilder Media curated city
content of great places to eat & visit to see the city like a local.
On-Site Marketing
Don’t let your attention flag on this. Don’t think that just because the event has started that everyone has downloaded the app. We know that’s not the case. And, in fact, a lot of people download right at event’s start. We have found that some of the largest download
numbers occur on the first day of the event. The following are some helpful on-site guidelines.

Ensure that you have proper signage at the event. Post signage around the event (at registration, entrances of the exhibit hall, etc) that contains a QR code and easy instructions on how to download the app.
Hand out a business card at
registration when attendees receive their badges. The card can be simple with just “Download the 2015
meeting app” Search [APP NAME] on the app stores or scan this QR code (and include image of QR code).
3. Understand Bandwidth
4. Spread the Word
Ask all of your speakers and, in particular, the Keynote Speaker to reference the app and all its features like surveys, notetaking capabilities, handouts and more. Word of mouth does make a difference!
Event planners need to have a basic knowledge of WiFi and connectivity issues. The Bandwith Calculator from the Convention Industry
Council is perfect for estimating the bandwidth required for your event.

5. Motivate with Gaming
6. Use Print as a Partner

Reward engaged attendees with prizes. Our Client Challenge Game is perfect for creating a buzz about the app at the event and a great tool for attendees to engage with your sponsors and exhibitors, all while having fun.
